Intro to ClickApps

Activate specific features, known as ClickApps, for your entire org or individual teams.

For example, if your organization wants to organize its work with Nested Subtasks, you can activate it and set the maximum number of nested subtasks across the Workspace.

If your engineering team uses sprints, you can turn on the Sprints and Sprint Points ClickApps for the Engineering Space, without adding those features to other teams' Spaces.

What you'll need

  • Only Workspace owners and admins can activate or deactivate ClickApps.

  • Some ClickApps are only available on specific plans.

Activate or deactivate ClickApps

Owners and admins can activate or deactivate ClickApps for the whole Workspace or specific Spaces.

These ClickApps can be activated or deactivated for specific Spaces:

  • Custom Fields
  • Email
  • Dependency Warning
  • Incomplete Warning
  • Multiple Assignees
  • Priority
  • Remap Subtask Due Dates
  • Reschedule Dependencies
  • Show status progress
  • Tags
  • Time Estimates
  • Time Tracking
  • Sprints
  • Sprint Points
  • Work in Progress Limits

Update ClickApps for the whole Workspace or bulk update for specific Spaces

To activate or deactivate ClickApps for the entire Workspace or bulk update for specific Spaces:

  1. Open the App Center.

  2. In the App Center ClickApps section, select All ClickApps, select a category, or browse from the Search bar in the upper-right corner. 

  3. Click the toggle to activate or deactivate the ClickApp from the Workspace. 

    • Bulk update ClickApps in any Space using the Spaces dropdown.

Activate or deactivate ClickApps for specific Spaces from the Spaces sidebar

To activate or deactivate your ClickApps for a single Space:

  1. To the right of the Space, click the ellipsis ... icon. Or, right-click the Space.
  2. Select ClickApps.
  3. Click to activate or deactivate ClickApps for the Space.
  4. Click Show more to see additional ClickApps.
  5. Click Done.

    • Optional: From Edit Space settings, you can manage additional Space settings.
  6. Click Save changes.

Available ClickApps

The following table describes all available ClickApps:

ClickApp name Description Plan/important information Permissions
AI Connect tasks, docs, people, and your company’s knowledge with AI.

An owner or admin will need to upgrade to a paid plan to purchase AI.

Feature availability and limits vary by plan and user role. Learn more

Automation Automate manual and repetitive tasks. Usage limits are determined by plan. Guests can't set up Automations.
Chat With Chat, you keep all your work communication inside of ClickUp so that you never lose important context by switching to other tools. Guests cannot use Chat.
Clip: Record & Share Create one-click recordings of your screen, voice, and SyncUps. Share to ClickUp tasks or use a public URL to give anyone access.
  • Available on all plans.

  • Available on Chrome and Firefox only.

  • On the Free Forever Plan, Clips take up storage space.

Guests can't create Clips.
Comment Reactions React to comments using any emoji.

Available on all plans.

The Comment Reactions ClickApp cannot be deactivated while the Chat ClickApp is activated.

Everyone, including guests, can use Comment Reactions.

Connected Search

Connected Search is an early preview release. Functionality and pricing may change as we continue to improve this feature.

Use Connected Search in the AI Command Bar to find your work that lives outside of ClickUp.   Guests can't use Connected Search.
Custom Fields Customize tasks to display dates, phone numbers, emails, dropdowns, checkboxes, links, currencies, and numbers.

Free Forever Plan: 100 uses.

Unlimited Plan and above: unlimited uses.

Guests with edit or full permissions can edit existing Custom Fields but can't create new ones.
Custom Task IDs Easily reference tasks in ClickUp, in conversation, or via integrations. Available on the Business Plan and above. All newly created tasks will have Custom Task IDs, no matter which user role creates them.
Default Private Views Default any newly created views to private views. Available on the Enterprise Plan only. Everyone, including guests, has newly created views default to private.
Dependency Warning See a warning before closing tasks that are waiting on other tasks. Available on all plans. Everyone, including guests, will see Dependency Warning messages.
Duration Enter an estimated duration for a task and keep it intact through date changes. Feature availability and limits vary by plan and user role. Learn more
Email Send and receive emails without leaving ClickUp.
  • Free Forever Plan: 100 uses.

  • Unlimited Plan and above: unlimited uses.

Guests can't use Email in ClickUp.
GIPHY Use gifs in your comments, Docs, and descriptions Available on all plans. Guests with comment, edit, and full permissions can use GIPHY in ClickUp!
Incomplete Warning Prevent closing tasks with unresolved subtasks, comments, or checklists. Available on all plans. Everyone, including guests, will see Incomplete Warning messages.
Personal Priorities Give each person an order of tasks to do next. Available on all plans. Guests can't use Personal Priorities.
Multiple Assignees Allow tasks to have more than one assignee. Available on all plans. Guests with edit or full permissions can assign tasks to Multiple Assignees.
Nested Subtasks Add up to 7 levels of hierarchy to your subtasks.
  • Available on all plans.

  • Available in Task views.

Guests with full permissions can create Nested Subtasks.
Not Started Status Group Adds a status option for tasks that have not been started. Available on all plans. Guests with edit or full permissions can change tasks to Not Started Statuses.
Preview Word, Excel, and Powerpoint files in ClickUp View Microsoft Word, Excel, and Powerpoint files that are posted in your Workspace without having to download them. Available on all plans. Everyone, including guests, can preview Microsoft files.
Priority Set priority levels and organize tasks based on importance. Available on all plans. Guests with edit or full permissions can set and change task Priority levels.
Pulse See who's online, what people are working on, and what they did today in real-time.
  • Free Forever Plan: 100 uses.

  • Unlimited Plan and above: unlimited uses.

Guests can't use Pulse.
Remap Subtask Due Dates Automatically reschedule subtasks by the same amount you change the parent task's due date.
  • Available on all plans.

  • Not available when dragging and dropping tasks in Gantt view.

Guests with edit or full permissions can change task due dates and Remap Subtask Due Dates.
Reschedule Dependencies Automatically reschedule 'waiting on' task start and due dates by the same amount of time their related 'blocking' task start and due dates are adjusted. Available on all plans. Guests with edit or full permissions can change task due dates and Reschedule Dependencies.
Show status progress

See task progress indicated by pie chart icons.

Available on all plans. Guests can see the statuses of tasks that have been shared with them.
Skip Non-Working Days Tasks start and end on working days. Task dates will be adjusted automatically if they fall on non-working days. Feature availability and limits vary by plan and user role. Learn more
Sprint Points Add point estimates to any task.
  • Free Forever and Unlimited Plan: 100 uses.

  • Business Plan and above: unlimited uses.

  • Points per Assignee are available on the Business Plan and above.

Guests with edit or full permissions can add or change Sprint Points on tasks.
Sprints Create sprints as Lists to track the progress of your production cycle. Guests can't create Lists, including Sprint Lists.
Tags Add custom tag labels to tasks to organize and classify tasks. Available on all plans.
  • Guests can't create, edit, or delete Tags.

  • Guests with edit or full permissions can add or remove existing Tags from tasks and Docs.

Tasks in Multiple Lists Allow tasks to be added to multiple Lists. Refer to tasks feature availability and limits. Guests can't use Tasks in Multiple Lists.
Threaded Comments Start a conversation by replying directly on task comments.

Available on all plans.

The Threaded Comments ClickApp cannot be deactivated while the Chat ClickApp is activated.

Guests with comment, edit, or full permissions can use Threaded Comments.
Time Estimates Add time estimates to any task.
  • Available on all plans.

  • Estimates per Assignee are available on the Business Plan and above.

Guests can see Time Estimates if a Workspace owner or admin gives them permission.
Time Estimates Rollup Calculate the total time estimate of a task based on its subtasks. Available on all plans. Guests can see Time Estimates Rollup data if a Workspace owner or admin gives them permission.
Time Tracking
  • Track time using our global timer or log time manually.

  • This integrates with our Dashboard feature for detailed reporting.

  • Time tracking is available on all plans.

  • The following advanced time tracking features are available on the Business Plan and above:

    • Time entry descriptions.

    • Adding labels to time entries.

    • Marking time entries as billable.

    • Tracking time not associated with a specific task.

Guests can see Time Tracking data if a Workspace owner or admin gives them permission.
Time Tracking Rollup Calculate the total time tracked for a task based on its subtasks. Available on all plans. Guests can see Time Tracking Rollup data if a Workspace owner or admin gives them permission.
Total Time in Status Show how much time tasks spend in each status. Available on the Business Plan and above. Everyone, including guests, can see Time in Status.
Use Relative Dates Display dates as relative or absolute dates. Available on all plans. Applies to everyone in the Workspace.
Who's Online? See who's online shown by a green dot on their profile picture, similar to Slack. Available on all plans. Everyone, including guests, can see Who's Online.
Work in Progress Limits In Board view, set soft limits and get visual indicators when you are at or above the designated Work in Progress Limit. Available on all plans. Guests can't see Work in Progress Limits.
Zoom Start a meeting from within ClickUp using the Zoom meeting button or the /zoom /Slash Command. Available on all plans. Guests with comment, edit, or full permissions can start Zoom meetings from ClickUp.
