Gantt view

Plan time, manage resources, visualize task Dependencies, and so much more with ClickUp's Gantt view.

Add a Gantt view

You can add a Gantt view at any level of the ClickUp Hierarchy.

  1. Open the Views modal.

    • In ClickUp 2.0 from your Views Bar, you'll click + View.
    • In ClickUp 3.0 from your Views Bar, you'll click + Add.
  2. Select Gantt.

  3. Enter a name for the view.

  4. Check the Private view box if you don't want anyone else to access it.

  5. Check the Pin view box if you want it to always display.

  6. Click Add View.

Show items in Gantt view

The Gantt view's sidebar is expandable to see your hierarchy, including Spaces, Folders, and Lists. Each of these can be expanded further by clicking the dropdown arrow to the left of the name.

Hover over the level you wish to expand to reveal an icon to the left of the item. Clicking that icon will expand or collapse all levels to tasks and subtasks.

Easily adjust your Gantt sidebar through drag-and-drop to create your ideal order for tasks, Lists, and Folders.

When you expand a List, all scheduled tasks and subtasks will be shown.

If a task or subtask is not displayed, it's likely unscheduled. To change that, all you need to do is line up with the unscheduled task and click to add it to the date you want.

Tasks in a Done or Complete status are displayed on Gantt views by default. You can hide any status using filters.

Sort tasks in Gantt view

You can sort tasks in Gantt view by:

Sync task sort order of Gantt and List views

The task sort order of Gantt and List views will sync when:

  • The views are located at the same level of the Hierarchy.
  • The Gantt view is manually sorted.
  • And when your List view is:
    • Grouped by: None
    • Manually sorted
    • Subtasks are set to Expand all

Add tasks and more in Gantt view

Easily add Folders, Lists, tasks, and subtasks right from the Gantt view sidebar!

  1. Go to any Gantt view in your Workspace.

  2. Hover to the right of a Space, Folder, List, or task.

  3. Click the + icon to create a Folder, List, task, or subtask.

Right-click on any task and select Use subtask dates to assign any subtask dates to the parent task. 

Manage Dependencies

Draw lines between tasks to automatically set and visualize task Dependencies.

When Reschedule Dependencies is enabled, dragging a task with Dependencies will automatically reschedule all subsequent tasks in the chain.

Delete Dependencies by hovering over and clicking on the Dependency line and then selecting Delete.

Progress Percentage

Quickly determine how much is required to complete a Folder or List by hovering over the progress bar. Progress percentage is calculated by tasks completed divided by the total tasks in the group.

Reschedule groups of tasks

Move an entire Space, Folder, or List on the chart to remap all contained tasks' start and due dates.

Be aware that task text will appear outside of its timeline bubble if the task's duration is too short.  

Bulk Edits

Edit tasks in bulk without ever leaving your Gantt view!

  1. Hover over the tasks you'd like to edit

  2. Click the task selector on the left side

  3. Use the Multitask Toolbar to make your edits

If you're simply looking to make bulk edits to the due date, drag-and-drop those tasks to the correct dates on the Gantt view.

Set up your chart

Click the Show button and select Color Scheme.

Default: Each task is colored by open, active, or complete. Blue tasks are active, Green are complete, and Yellow are Milestones.

Priority: Tasks are colored based on priority flags. Either Red (Urgent), Yellow (High), Blue (Normal), Grey (Low) , or White (none).

Status: Tasks are colored by the status they're currently in. Spaces, Folders, and Lists are colored by type.

Other options available in the Show menu:

Gantt tools

You can switch the Critical Path and Show Slack Time toggles on.

Slack Time allows you to easily identify areas where tasks can be adjusted without impacting the project completion date.

Full screen mode

When full screen mode is enabled, you can minimize the Sidebar and see your Gantt view in full screen.

Hide and skip weekends

The hide and skip weekends option does not update the start and due dates of your tasks. It hides Saturdays and Sundays from being displayed in Gantt view.

With this option enabled, you can't drag and drop tasks to start or end on Saturday or Sunday.

Tasks that start on a Saturday or Sunday will appear to start on Monday. Tasks that end on a Saturday or Sunday will appear to end on Friday.

Tasks with a start and end date on the same weekend will only display the task name and the following text: (within weekend).

Reschedule Dependencies

When enabled, dragging a task with Dependencies will automatically reschedule all subsequent tasks in the chain.

When disabled, tasks are rescheduled independently even if blocking other tasks in the Dependency chain. 

Allow Live Updates

This enables our Web Sockets for Gantt which makes all updates from other users appear instantly. 

Show Planned List Bar

Once a start date and a due date have been added to a List, you can see it reflected in the Planned List Bar. This is used to visualize List's dates against the tasks in your Gantt view.

Tasks in Multiple Lists

  • Show or hide Tasks in Multiple Lists.

Subtasks in Multiple Lists

  • Show or hide Subtasks in Multiple Lists.

Timescales

Click Week/Day to open the Timescales menu and see your project tasks by hour, day, week, month, or year.

  • Day/Hour: the marker line will reflect the current hour.

  • Month/Day: the marker line will reflect the current day.

  • Week/Day: the marker line will reflect the current day.

  • Year: the marker line will reflect the current year.

Columns 

Click the plus icon in the Gantt sidebar to open the Show Columns menu.

Click a column name to view information like Assignee(s), Status, and Time Tracked for each task in the view.

Adjust columns to your desired size by dragging the width in the Gantt view sidebar to fully visualize task details.

Columns with a fixed width, like start date or due date, cannot be manually adjusted.

Export options

Users on our Business Plan and above have the option to export a Gantt view as a PDF or PNG. Add a header or footer with whatever text you desire, or add the Project Name, Current Date, or Current Time!

This is perfect for emailing a copy of your project plan to clients or sharing a Gantt view with anyone outside your Workspace.

The Project Name variable will populate with the name of the List, Folder, Space, or Everything based on where the Gantt view is located.

Milestones

Milestones will be displayed as diamonds in Gantt view. To create a Milestone just right-click on any task that you create and click on the Mark as Milestone option to convert it to a Milestone.

Milestones will display on the due date or start date of the task if no due date is available.

You can convert Milestones back to tasks just as easily by going to the ellipsis ... menu in the task and converting them back.
