Intro to Chat

With Chat, you'll never have to waste time switching to other tools again.

Create and manage tasks from messages, keep conversations aligned with your Workspace Hierarchy, and use AI to summarize threads and create or suggest tasks.

Availability

We're currently experiencing high demand for Chat. You can join the waitlist from the Chat ClickApp in your Workspace.

Disclaimer: ClickUp Chat is free for now. Certain restrictions may apply later.

What you'll need

  • A Workspace owner or admin must enable the Chat ClickApp.
    • Chat view is not accessible while the Chat ClickApp is enabled.
  • Guests cannot use Chat.

Enable Chat

To use Chat, a Workspace owner or admin must enable the ClickApp for your Workspace. To turn on the Chat ClickApp:

  1. In the upper-right corner, click the Quick Action Menu and select ClickApps.
  2. Search for Chat.
  3. Click the toggle to enable it.

Access Chat

Once the Chat ClickApp has been enabled for your Workspace, you can open Chat from anywhere by selecting it in the Sidebar.

You can also access the Chat for any Space, Folder, or List by clicking the Chat button in the upper-right of any location.

You can communicate with your team from anywhere on the mobile app!

Use the Chat sidebar

Use the left sidebar to navigate Chat and stay up to date on all of the work that you're focused on.

Click the plus button in the upper-right corner of the sidebar to create a new Chat, start a direct message, or open a recent conversation from Launchpad.

Replies

Use the Replies page to see replies to threads you follow.

From here, you can interact with any thread by sending a reply, adding a reaction, creating a task, and more.

Posts

Use the Posts page to view posts created by others in Chats you follow, or create your own. Posts are used for sharing important announcements, ideas, updates, and discussions. Announcing a feature? Asking for feedback? Share an announcement with stakeholders.

There are four types of posts:

  • Announcement
  • Discussion
  • Idea
  • Update

Activity

The Activity page shows messages where you've been mentioned, reactions to messages you've sent, and any messages that have been assigned to you from Chats. You can use the buttons at the top to filter for the type of activity that you want to see.

Click any message to open it in the right sidebar and take action.

FollowUps

The FollowUps page shows all the messages that are currently assigned to you. You can also filter for messages that have been resolved.

You can see messages assigned to others by clicking Assigned to You in the upper-left and selecting someone else.

Assigned messages are also shown on the Assigned to me Card in Home.

Drafts & Sent

Use the Drafts & Sent page to see all of the messages that you've created or sent.

Any message that you create but don't send will be added to the Drafts tab. Use the search bar to quickly find any drafts or use the filters to show only drafts with attachments or drafts in a thread.

Click any draft to open it or use the ellipsis ... to delete it.

Drafts currently do not sync across devices and only display on the device which they were created.

You can find all your sent messages in the Sent tab.

Chats

The majority of your team's communications happen in Chats.

Each Chat is connected to a Space, Folder, or List somewhere in your Workspace. This means that making changes to the Chat will also change that Space, Folder, or List.

The following actions will change both the Chat and Hierarchy location:

  • Adding people to a Chat will also add them to the Space, Folder, or List and give them access to everything that's public at that location. When a Chat's sharing and permissions are updated, their related Space, Folder, or List sharing and permissions are also updated.
  • Making a Chat private will also make the Space, Folder, or List private.
  • Renaming a Space, Folder, or List will also rename the Chat.
  • Deleting a Space, Folder, or List will also delete its Chat and all messages in the Chat.

You can also open a Chat from the Hierarchy location by clicking the Chat button in the upper-right corner of the location.

Follow or unfollow Chats

You can customize the Chats that display in your sidebar.

To follow or unfollow Chats from the Chat sidebar:

  1. Under the Chats section, click + Add Chat.
  2. Search for an existing Chat or choose from the list.
  3. Choose to follow on unfollow Chats:
    • Follow: Click Follow to join the Chat and add it to the Chat sidebar.
    • Unfollow: Hover over Following, then click Unfollow to remove it from the Chat sidebar.

You can open any Chat to view it without adding it to the Chat sidebar. Once open, you can add it to the sidebar by clicking Follow for updates in the upper-right. Chat names appear in italic font until you join them.

Create a Chat

If you need more Chats, you can create them.

To create a new Chat:

  1. In the upper-right corner of the Chat sidebar, click the plus icon to open Launchpad.
  2. Select New Chat.
  3. Name the Chat.
  4. Choose the location.
    • Each new Chat creates a List in the location you choose and the Chat will inherit the people and permissions from that location.
  5. To make the Chat private, click the Make Private toggle. To join a private Chat, you must be invited to the Space, Folder, or List where the Chat is located.
  6. Click Create.

Use the Chat header

The Chat header shows breadcrumbs, views, Followers, and more.

The Views Bar

Under the Chat name and Hierarchy location is the Views Bar. You can use the Views Bar to open any of the views at that location or add a new view.

Adding a view from the Chat will also add it to the connected location in your hierarchy.

See Followers

To see Followers and people with access to the Chat, click the Followers icon in the upper-right.

Update Chat notification settings

You can update your notification settings for the Chat by clicking the bell icon in the upper-right.

Use AI

Workspaces using AI can ask AI about recent conversations or get a summary by clicking the AI icon in the upper-right corner.

Use the details sidebar

You can click the Chat name in the upper-left corner or the sidebar icon in the upper-right corner to see more Chat details.

From the details sidebar, you can do the following:

  • Click the location name to quickly go there.
  • Pin the Chat to your current sidebar layout. Each layout has its own pinned Chats.
  • Click AI to use AI Catchup to generate a Chat activity summary from the:
    • Last Read
      • This option is only available if you have unread messages.
    • Last 24 hours
    • Last 7 days

  • Follow or unfollow the Chat.
  • Add or edit the Chat topic.
  • Add or edit the Chat description.
  • View, search or add Followers and see everyone who has access to the Chat.
  • View or open any files uploaded to the Chat.
  • Update additional Chat options. Options vary based on your user role and permissions.

Send Chat messages

After joining a Chat, you can start communicating with your team. You can compose your message using simple text or rich text formatting.

You can also use the options below the text box to do the following:

Create a post

If you're sharing important information or need extra attention on a message, create a post! Posts are great for sharing announcements, ideas, updates, and discussions.

Brainstorming a feature? Updating stakeholders? Create a customizable and detailed post.

There are four types of posts:

  • Announcement
  • Discussion
  • Idea
  • Update

You can also create a post for any Chat you choose from the Posts page in the Chat sidebar.

To create a post:

  1. At the bottom of the Chat, select the Post tab at the top of the text box.
  2. Choose the post type.

  3. Give the post a title.
  4. Add the post content.
  5. In the lower-right corner, click Post.

Use the message toolbar

You can use the toolbar to interact with any Chat messages or posts.

To view the toolbar, hover your mouse over the message or post that you want to interact with and choose from the following options:

  • Like: Add a thumbs up emoji.
  • Add Reaction: Add an emoji reaction.
  • Reply in thread: Reply to the message in a thread.
  • Share: Forward the message to another Chat or DM or copy the message link.
  • Connect a task: Connect a task.
  • Create or Assign: Create a task from the message or assign it. You can choose to create tasks manually or using ClickUp AI. You cannot assign posts.
  • ClickUp AI: Use AI to summarize the message, create a task from it, and more.
  • Settings ellipsis ...
    • Edit: Make changes to a message that you sent.
    • Mark as unread: Mark the message as unread.
    • Copy link: Copy the message link.
    • Remind me: Create a reminder using the message.
    • Get notified about new replies: Receive notifications when someone replies to the message.
    • Delete: Delete a message that you sent.
  • Resolve: If the message is assigned to you, you can click Resolve in the toolbar.

Use AI Catchup

If you haven't opened a Chat in a while, you can use AI Catchup to summarize what you've missed!

When scrolling through old posts and messages in the Chat, click Catch me up to generate a summary of everything you missed.

Chat settings

To view Chat settings, right click any Chat in the sidebar to open the settings menu.

You can also click + Add Chat and then the ellipsis ... beside any channel in the list to view its settings.

The Chat settings include the following:

  • Mark as unread: Mark the Chat as unread.
  • View details: View the Chat details.
  • Copy link: Copy the Chat link.
  • Catch me up: Use ClickUp AI to get a summary of what you missed.
  • Pin: Pin the Chat in your sidebar.
  • Move to section: Move the Chat to a different section.
  • Sharing & Permissions: View and edit the sharing and permissions for the Chat. Updating a Chat's sharing and permissions also updates the location's sharing and permissions and vice versa.
  • Change notification settings: Update your notification settings for this Chat.
  • Unfollow/Follow: Unfollow or follow the Chat. Unfollowing a Chat will remove it from the Chat sidebar.

You can also make changes to the Chats section of the sidebar.

To open the Chats section settings, click the ellipsis ... beside the Chats section to open the settings.

From there, you can change the following options:

  • Browse Chats: View all available Chats in the Workspace.
  • Show in Channels: Choose which Chats to show in the sidebar using the following options: 
    • All: Show all Chats in sidebar.
    • Unread: Show only Chats with unread messages.
    • Mentions only: Show only Chats where you’re @mentioned. 
  • Sort Channels: Sort the Chats in your sidebar using the following options:
    • Recents: Show Chats with recent activity first.
    • Alphabetically: Show Chats in alphabetical order.
  • Create section: Create a new Chat section.

Direct Messages

You can use direct messages to privately chat with an individual users or a group of users.

Create a direct message

You can create a direct message with anyone in your Workspace, excluding guests.

To create a new direct message:

  1. In the Chat sidebar, click the plus icon to open Launchpad or hover over the Direct messages section header and click the plus icon.
  2. Search for the person you want to message and select them.
  3. Send your message.

To remove a direct message from the Chat sidebar, hover over the name and click the x.

Use the direct message header

The direct message header shows information about who you're talking to, uploaded files from your conversations, and more!

See chat history, calendar, and assigned tasks

You'll see three tabs under the person's name in the direct message header:

  • Chat: View your direct message history.
  • Calendar: View the calendar of the person you're messaging.
  • Assigned Tasks: View all tasks assigned to the person you're messaging in a customizable List view.

Use AI

Ask ClickUp AI anything without leaving your conversation by clicking the AI icon in the upper-right corner.

Use the details sidebar

You can click the person's name in the upper-left corner or the sidebar icon in the upper-right corner to see more details.

From the details sidebar, you can do the following:

  • Pin the direct message in your sidebar.
  • Open their Profile.
  • View their online status, email, and their local time.
  • View or open any files uploaded in your conversation.
  • Update additional options.

Direct message settings

To view direct message settings, right click any direct message in the sidebar to open the settings menu.

The direct message settings include the following:

  • Mark as unread: Mark the conversation as unread.
  • View Profile: Open the person's Profile in the right sidebar.
  • Copy link: Copy the link to the conversation.
  • Pin: Pin the direct message in your sidebar. Pinned messages display in both Chat sidebar layouts.
  • Move to section: Move the direct message to another sidebar section.
  • Close Direct Message: Remove the direct message from your sidebar until you receive a new message.

Connect tasks to messages

Add context to conversations and create action items directly from Chat messages.

Use the floating sidebar

When you're in a Chat or direct message, you'll see a floating sidebar on the right with four options:

  • Search: Search the Chat or direct message for specific keywords.
  • Replies: See replies to the threads you follow.
  • FollowUps: See all of your assigned messages.
  • Relationships: See all related tasks, Docs, or URLs and who posted them in the Chat or direct message.

Each menu displays in a pop-up so you don't have to leave the Chat or your direct message.

Search with Launchpad

Start new conversations or find an existing one using Launchpad! Create new Chats and direct messages or reopen previous messages in a few clicks.

To access Launchpad:

  1. In the upper-right of the sidebar, click the plus icon.

  2. Start a new conversation or revisit one:
    • Create a new Chat or group message: Click New Chat or New Group. If you're creating a new Chat, name it and choose a Hierarchy location.
    • Find an existing Chat or direct message: Type the name of a Chat or person, or select an individual from the Direct messages section.
  3. Send your message!

Change sidebar layout

You can change your Chat layout at any time using the icons in the lower-left corner of the Chat sidebar.

When you pin a Chat to the sidebar, it is pinned to your current layout only. Pinned DMs display in both Chat sidebar layouts:

  • Recents: This layout will show the Chats and DMs with the most recent messages.
  • Organized: Our default layout. This shows all of the Chats and DMs that you've joined separated by sections.

Customize Chat notifications

There are two levels of notification settings for Chat:

  • Global Chat notifications
  • Individual Chat notifications

By default, the Chats you follow will use your global settings, but you can customize each Chat's notifications to your preference.

Global notifications

To customize your global Chat notifications:

  1. In the lower-right of the sidebar, click the settings icon.
  2. In the Chat Notifications section, choose your preferences for browser, mobile, Inbox, and email.

    Browser and mobile notifications are enabled by default.

For each method, you can enable or disable the following types of notifications:

  • Replies to threads I'm following: Notifications for replies on threads you follow.
  • Comments sent to a channel: Notifications for parent comments sent to a Chat.
  • Comments sent to a Direct Message: Notifications for parent comments sent to a DMs.
  • Comments I'm @mentioned in: Notifications for any comments where you are @mentioned.
  • Comments assigned to me: Notifications when any comments are assigned to you.
  • Resolved comments: Notifications when a comment is resolved.
  • Reactions: Notifications for reactions to your comments.

Chat notifications

To customize an individual Chat's notification settings:

  1. In the sidebar, right-click the Chat's name.
  2. Select Change notification settings.
  3. Use the modal to customize the Chat's notifications settings.

After updating and saving new Chat notification settings, you can switch back to the global settings by clicking Revert to global settings in the Chat notifications modal.

Troubleshoot Chat notifications

If you're missing expected notifications, check the Chat's settings first:

  • For customized Chats, confirm the Chat notification settings are correct.
  • For Chats using global settings, make sure they're configured properly.

Profiles and statuses

Click anyone's avatar to see their Profile and status.

Use statuses

Status indicates a person's availability in the Workspace. For example, you might see different statuses if they're in a meeting, on vacation, or traveling.

You can see a person's status to the right of their name. You can click their personal avatar to open their Profile and see if notifications are paused.

To update your status:

  1. In the upper-right corner, click your personal avatar.
  2. Click your existing status or Set status.
  3. Select an existing status or type a custom status.

    When creating a custom status, click the emoji icon to the left to select a custom emoji.

  4. Click Save.

Use Profiles

Open a Profile to start a direct message conversation, see their status, view contact information, and see their timezone.
