What are tasks?
Tasks represent individual, actionable work items.
For example, a task can represent:
- A project to implement a new system.
- A bug reported in your software.
- A deliverable for a client.
- An invoice to be paid.
- A recurring team meeting.

Switch your task view experience
By default, when you're using ClickUp 4.0, you'll see the new task view.
You can switch between the new task view, also known as task view 4.0, and the old task view, also known as task view 3.0.
Switching only updates your personal experience on all tasks. It doesn't change tasks for anyone else in your Workspace.
Key features of tasks
Tasks have several key features to enable you to manage your work.
Task ID
Every task in ClickUp has a unique identifier known as the Task ID. You can also use Custom Task IDs in each Space.
Task title
Every task needs a title. You can click on the existing title to rename a task.
You can use the task name as a Trigger or Condition in Automations. Keep your task names consistent using the change task name Automation Action.
Task types
To help categorize your work items, you can use Custom Task Types to differentiate your work.
You can use Custom Fields by task type to manage task fields based on the custom task type.
Task statuses
Tasks move through statuses which represent their progress from to-do to complete.
Task assignees
You can assign tasks to a person or Team.
You can use Multiple Assignees if responsibility for the task is shared between one or more people and Teams.
Task fields and the task description
Set task fields like status, assignee, priority, start and due dates, and durations.
Write out the task description or ask ClickUp AI to write it for you!
Custom Fields and other sections
Information and action items on a task are displayed in sections below the task description.
Sections include Custom Fields, subtasks, relationships, checklists, assigned comments, and attachments.
You can use Custom Fields by task type alongside Custom Fields by location to manage metadata for your tasks.
Activity and comments
Every task in ClickUp includes a running log of task activity including task updates and comments.
Use ClickUp AI on tasks
You can use ClickUp AI to help manage your tasks.
Subtasks
You can create subtasks and nested subtasks to further break down your work items.
Use relationships and integrations
When you relate work to other tasks, add links to other resources, or connect your tasks with other apps using integrations, ClickUp helps keep track of these connections on the right sidebar of your tasks.
Resize task sidebars
You can click and drag the vertical divider to resize the subtasks sidebar and the right activity section.
You can also close one or both sections to keep the task details and description in focus.
Follow a task
Add yourself and others as followers on a task to stay in the loop with important updates.

Change the task layout
You can customize how to view tasks by choosing a task layout.
Add tasks to your favorites
From a task, in the upper-right, click the star icon to add it to your favorites.
In ClickUp 4.0, click the arrow next to the star icon and select pin to top or pin to bottom.
In ClickUp 3.0, click the minimize task icon to send the task to the Tray.
Add a cover image to tasks
Add a cover image to give your task a splash of color or use a meaningful image, displayed as a banner across the top of the task.
Tasks live in the Hierarchy
Tasks must live in at least one List. You can add tasks to multiple Lists.
The task statuses and Custom Fields are determined by the List where the task lives.
For tasks in multiple Lists, the status and Custom Fields are based on the task's home List.
At the top of each task, the breadcrumbs display the Space, Folder, and the home List, as well as any additional Lists.
Click the move icon to move a task to a different List.
Create or import tasks
You can create tasks from scratch, use templates, ask ClickUp AI to create tasks for you, or import your work from other apps.
Find tasks
There are several views you can use to see and update tasks based on their location. Or see all the tasks in your Workspace with an Everything view.
You can use filters to find tasks within a view.
You can search for tasks using the AI Command Bar, or by browsing their Space, Folder, or List.
Share tasks
Share and discuss your work by mentioning tasks anywhere, including Chat and Docs.
In the upper-right corner, click the Share button in the upper-right corner to open the Share this task modal.
Share the task by invitation, public or private link, or share with people in your Workspace.
You can also publicly share tasks to give view-only access to anyone outside your organization.
Use Automations
You can automate your workflow using Automations that trigger and take action on tasks.
Use recurring tasks
For routine work or scheduled meetings, you can use recurring tasks to save manually creating a new task every time.
