Tasks in Multiple Lists

Can't decide which List a task belongs in? Find yourself duplicating the same task or constantly moving it around your Workspace? Use the Tasks in Multiple Lists ClickApp to add the same task to different Lists. 
If a task is tracked and impacts multiple teams or projects, it doesn't have to just live in one place. It can live in multiple locations. 

Whether you're adding tasks or subtasks to upcoming Sprints, using a List to track your major accomplishments, or just adding to your personal List in Home, using Tasks in Multiple Lists creates a unique view of your work in ClickUp. 

What you'll need

Add a task to an additional List

The List's Space, Folder, and List display as breadcrumbs in the upper-left of the task window.

If the Tasks in Multiple Lists ClickApp is disabled, an owner or admin must enable it.

To add a task to another List:

  1. To the right of the task location breadcrumbs, click the plus icon.
  2. Select the List.
  3. The new List displays in the task location breadcrumbs. If there are more than two additional Lists, their names are collapsed.

Task edits and comments are displayed in every List. 

You can also add a task to an additional List using the ellipsis ... icon in your task window.
  1. From an open task, click the ellipsis ... icon located in the upper-right of the task next to the Share button.
  2. Select + Add to.
  3. Click Add to another List.
  4. Select a List from the dropdown menu.

Tasks in multiple Lists will sync across all Lists. 

Remove a task from an additional List

To remove a task from an additional List:
  1. Open your task.
  2. From the upper-left of your task window, hover over the location and click the ellipsis ... menu.
  3. Click Remove task from this List.

Add multiple tasks to an additional List

To add multiple tasks to an additional List:
  1. In List view, hover over the tasks and click the circle to the left of each task.
  2. From the Bulk Action Toolbar, select the Move tasks or add tasks in multiple Lists option.
  3. From the modal, select the Add to Lists tab and select the List. To notify all Watchers, check the Send notifications box in the lower-left of the modal.

You can move tasks and add them back to their current List using the Bulk Action Toolbar or Automations.

Remove multiple tasks from an additional List

To remove multiple tasks from an additional List:
  1. In List view, hover over the tasks and click the circle to the left of each task.
  2. From the Bulk Action Toolbar, select the Remove tasks from this List option.
  3. Click the Remove from this List button.

Changes to Tasks in Multiple Lists will appear in Activity view and task activity!

 

Lists field

You can also add or remove a task from additional Lists in several Task views by using the Lists field.

To add a task to another List, click the plus icon and select a List from the dropdown menu.

To remove a task from another List, click the collapsed List icon next to the name of the home List. Then, hover over the name of the List and click the X icon.
