Use recurring tasks

Eliminate admin work on repeatable items like weekly reports, team meeting agendas, and client or customer updates with recurring tasks.

What you'll need

  • Recurring tasks are available on every ClickUp plan. 
  • With a paid plan, you can make all future recurring tasks visible. Learn more.
  • Everyone, including guests, can create recurring tasks.

Recurring tasks

You can set tasks to recur on a regular interval with customizable schedules, recurrence, and task options.

Due dates

Recurring tasks use the due date as the date when the task will recur.

Start dates

You can set a start date for your recurring task from the Start date field.

The start date will always recur the same number of days before the due date.

Start and due times

You can also set a time for the recurring task to be created from the Add time field.

Closing a recurring task

When you mark a recurring task as closed before the due date, the task will recur immediately.

The next instance of the task is created immediately, according to the task's recurring settings.

If you want the next instance to be created when it's due rather than when it's done or closed, you can use the On Schedule option.

Show recurring tasks on your Calendar

On paid plans, you can display future instances of recurring tasks on Calendar views.

To see Closed recurring tasks on a Calendar view, the recurring task settings need to have a specified date and use the Create new task option.

Tasks in Multiple Lists

Tasks in Multiple Lists that recur and create a new task will only do so in their home List.

When people leave your Workspace

Recurring tasks assigned to or created by people who are no longer a part of your Workspace settings remain unaltered. The task will continue to recur at the set cadence.

Recurring task limitations

  • Tasks with 500 or more subtasks, including nested subtasks, archived and closed tasks will not recur and the recurring settings will be removed from the task.
    • The total number of subtasks includes nested, archived, and closed subtasks.
    • To enable recurring, move or delete subtasks to less than 500, then set up your recurring settings.
  • Tracked time is not carried over to new tasks on recurring tasks.
  • Recurring tasks do not create instances in the past.

Set up a recurring task

To set an existing task to recur:

  1. Click the dates field above the task description.
  2. From the lower-left of the modal, click Set recurring. 
  3. Select a date on the calendar or enter it into the Due date field. You can set due dates using natural language
  4. Configure your recurring schedule.
  5. Choose when the task should recur.
  6. Choose your preferred task options.
  7. Click Save to create your recurring task.

Recurring task settings

The following table describes the settings available for recurring tasks:

Setting group Setting Description
Schedule Daily Recurs every day with the option to skip weekends.
Weekly Recurs once a week on the selected day.
Monthly

Options include:

  • Same day each month
  • First day of the month
  • Last day of the month
  • Default day of the month

For example, you select the second Wednesday of July as your due date for the initial recurring task.

The default day of the month will be the Second Wednesday of each month.

Yearly Recurs once a year on the selected day.

Days after

Recurs a certain number of days after the task has been marked complete.

If the due date is updated, a new recurring task will be created immediately. 

Custom Indicate if the task should repeat every few days, select days in the week, select weeks in the month, or select days of the year.
Recur

When complete

The task will recur when it moves to a closed status. This option will display the name of the closed status of the task's home List.
When done

The task will recur when it moves to a done status or when the task is moved to a closed status. 

On schedule

The task will recur when in not started or active statuses.

  • Tasks will recur at 11:00 pm in the timezone of the user who set the recurring settings.
  • Tasks set to recur On schedule that are marked as Done or Closed before their scheduled recurrence will recur immediately.
Task options Skip weekends The recurring task will not be scheduled on a weekend.
Create new task

Options include:

  • Unselected: A new task will not be created upon recurrence and the current and completed activity, subtasks, checklists, and assigned comments, will be retained on the task.
  • Selected: The recurring task is duplicated as a new task in your Workspace.
Recur forever

Select the length of time the task recurs.

Options include:

  • Selected: The recurrence will continue indefinitely. 
  • Unselected: Unselect and select from the dropdown:
    • Repeat: Set how many times this task will recur.
    • End on: Set a final date for the recurrence to happen.
Update status
  • Displays when the task is set to recur on schedule. Select a status to set for the new recurring task. 
Task fields

Choose what to include from the original task in future instances. Options include:

  • Include everything
  • Description
  • Attachments
  • Comment Attachments 
  • Subtasks
  • Remap Subtask Dates
  • Assignees
  • Subtasks Assignees
  • Watchers
  • Tags
  • Checklists
  • Custom Fields
  • Comments
  • Activity
  • Only Assigned Comments

View all recurring tasks

Use the Recurring Task Overview to view all recurring tasks in your Workspace.

Edit a recurring task

You can edit instances of recurring tasks without impacting the recurring schedule.

To completely reset a recurring task, you will need to remove the recurrence. 

Edit start dates

To edit start dates: 

  1. Click the dates field above the task description.
  2. Click Start date in upper-right corner of the modal. If a start date has been selected, you can click the x to enter a new one. You can also select a new date from the calendar. 

Edit due dates

Manually updating the due date of a recurring task will update the future instances of the recurring task to match the new due date.

For example, a task is set to recur on June 15th. Future instances occur on the 15th of every month. On June 5th, you change the due date to June 14th. Future instances occur on the 14th of each month.

Clearing due dates

Clearing the due date of the current instance of a recurring task will update all future instances to recur on the current date.

For example, you remove the due date from the current instance of the recurring task on June 10th without clicking Don't recur. The next instance will be due on July 10th.

Overwriting recurring tasks

A task is set to recur on the first Thursday of every month. In August, you manually change the due date back to the first Thursday in July. The next instance of the recurring task will be the first Thursday in September.

If you manually change the due date of the task in August to the first Thursday in September, it will overwrite the September instance of that task, and the next recurrence will be the first Thursday in October.

You can move a task forward up to the day before the next recurrence without impacting the recurring schedule.

If your recurring tasks have inadvertently skipped a recurrence, stop the task from recurring and set it up again.

Stop a task from recurring

To stop a task from recurring:

  1. Open the recurring task. 
  2. Click the due date.
  3. In the lower-left corner of the date selector, click Recurs.
  4. Select Don't Recur.
  5. Task task will not occur anymore.

Recurring tasks and Automations

Recurring tasks made using task templates can't be used as an Automation trigger. This means that when you create an Automation using the Task created Trigger and Apply a template Action, you can't trigger the Automation from tasks created via recurring settings.
