Create a task

Create a task to represent any work item you or your team must complete. Save time by creating and using task templates for repeated work!

What you'll need

Inherit fields from a view

When you create a task from a view that has certain fields set, those fields are applied to new tasks automatically.

Fields are inherited when tasks are created in the following ways:

  • Clicking the +New in the toolbar and selecting Task from the Create Items modal.
  • Clicking +Add task below any group of tasks in a view. 
  • Clicking the location header or the task breadcrumb ellipsis ... menu and selecting Task from the +Create new tab. 

The following fields are automatically populated if they are set in the view:

  • Status 
  • Priority
  • Tags 
  • Start Date and Due Date
  • Label Custom Fields
  • Number Custom Fields
  • Rating Custom Fields
  • Text and Long Text Custom Fields

Quick create a task

You can quick create tasks from anywhere in your Workspace.

  1. From the toolbar at the top-right, click New.
  2. Create your new task.

You can also quickly create tasks using the Command Center.

Create a task from the Sidebar

To create a task from the Sidebar:

  1. From the Sidebar, hover over a List.
  2. Click the ellipsis ... menu.
  3. Click Create new.
  4. Click Task. If the default task type for the List is something else, that will display instead of task. To create a task from a template, click From template.

    If you regularly apply the same task template to all tasks you create in a List, you can set a default task template for Lists. All tasks created in the List will have the template applied.

  5. Name the task and select a location. You can also add optional task details.
  6. Once you've finished drafting, hover over the caret icon next to Create Task to see task creation options:

    • Create and open: Create the task and open it.
    • Create and start another: Create the task, then populate a new blank task.
    • Create and duplicate:  Create the task, then populate another task with the same information.
  7. Click Create task.

Create a task from Task views

You can create tasks from all Task views except Map and Activity.

You can quick create tasks from all views. From the toolbar at the top-right, click New.

When a status, dropdown, priority, due date, start date, checkbox, or tag filter is applied during task creation, all new tasks will automatically be given the values specified by the filter.

List view

To create a task from List view:

  1. Below any group of tasks, click + Add task.
  2. Name the task. You can also add optional task details.
  3. Click Save.

You can also create new tasks in List view by dragging and dropping files from your device directly into the List. Each file will create a new task. 

Board view

To create a task from Board view:

  1. Below any group of tasks, click + Add task.
  2. Name the task. You can also add optional task details.
  3. Click Save.

Calendar view

You can create tasks from any Calendar view.

If you're using the Month time period:

  1. Hover over any day and click the plus icon.
  2. Name the task. You can also add optional task details.
  3. Click Save.

If you're using the Day, 4 days, or Week time period:

  1. Click the day and time want to make your task due.
  2. Name the task. You can also add optional task details.
  3. Click Save.

Gantt view

You can create tasks from any Gantt view.

Timeline view

To create a task from Timeline view:

  1. Click on the day your task is due.
  2. If there's more than one List in the location, you'll need to select a location from the Select List dropdown.
  3. Name the task. You can also add optional task details.
  4. Click Save.

Team view

To create a task from Team view:

  1. Click the plus icon in the upper-right of someone's box. The task will automatically be assigned to this user.

  2. If there's more than one List in the location, you'll need to select a location from the Select List dropdown.
  3. Name the task. You can also add optional task details.
  4. Click Save.

Table view

To create a task from Table view:

  1. At the bottom of the table, click + New task.
  2. If there's more than one List in the location, you'll need to select a location from the Select List dropdown.
  3. Name the task. You can also add optional task details.
  4. Click Save.

Mind Map

You can create tasks in Mind Maps that were created using the Blank structure.

To create a task from a Mind Map:

  1. Click a node. The task name is inherited from the node.
  2. Select + Create Task.
  3. If there's more than one List in the location, you'll need to select a location from the Select List dropdown. 
    • You can also add optional task details.
  4. Click Create.

Workload view

To create a task from Workload view:

  1. To the right of a user, click on a day.
    The task will automatically be assigned to this user and have the due date you selected.
  2. Click an empty area in the column.

  3. If there's more than one List in the location, you'll need to select a location from the Select List dropdown.
  4. Name the task. You can also add optional task details.
  5. Click Save.

Create a task from a Doc

You can create a task from any text within a Doc. 

To create a task from a Doc:

  1. In an open Doc, highlight some text. 
  2. From the text toolbar, click + Task.
  3. Click Select List, and choose the List from the dropdown.

    • To create the task immediately, you can click Create. You can also add additional details like assignee or priority.

Optional task details

Task name and location are the only details required to create a task.

The following information can be added to your task from the task creation modal:

Task details Description
Status

When quick-creating a task or creating a task from the Sidebar, click the Change status button in the upper-left corner.

Different Task views include additional and unique ways to change task statuses.

Assignees

Add assignees to a task by clicking the avatar icon. You can also change or remove assignees by clicking this.

Add multiple assignees by enabling the Multiple Assignees ClickApp.

Task description Type a task description in the Description text box. Type /listview to embed a List view in the description.
Custom Fields

Add Custom Field details to the task. You can also add or edit Custom Fields. Options vary by Custom Field type.

Subtasks Include smaller action items by clicking Add subtask.
Checklist Create a new checklist by clicking + Add checklist or apply a checklist template.
Attachments Drag and drop, click the Add dropdown, or click browse to add attachments.

Priority Set a Priority for the task by clicking the flag icon.
Start date and Due date Add a start or due date to the task by clicking the calendar icon. You can also set the task to recur.
Tags Add a custom tag to the task by clicking the tag icon.
Time Estimate Set a time estimate for your task by clicking the hourglass icon.
Templates

Click the wand icon to take one of the following actions:

  • Create the task instantly from a template.
  • Load a task template.
  • Save the task as a template.
  • Update an existing task template.
Dependencies

Add Dependencies to the task.

Watchers Add watchers to the task.
