Task templates

With task templates, you can reuse tasks with ease! This is perfect for things like processes, events, bug reports, and anything else you consistently create tasks for.

What you'll need

  • Task templates are available on every plan.
  • Guests only have access to templates for tasks, Docs, views, checklists, and Whiteboards.
  • Guests with edit or full permissions can create, apply, and delete templates.

Create a task template

To create a new task template:

  1. Open a task and click the ellipsis ... next to the Share button.

  2. Select Template Center.

  3. Select Save as Template.

  4. Name the template.

  5. Set sharing and Import options.

  6. Click Save.

Apply a task template

Quickly repeat processes by applying task templates. Once a task template is applied, it cannot be undone.

To apply a task template:

  1. Open a task and click the ellipsis ... next to the Share button.

  2. Select Template Center.

  3. Click Browse Templates.

  4. Search for a template from your Workspace. Or filter for task templates using the left side menu.

  5. Select a task template.

Use /Slash Commands to apply task templates

To apply a task template using /Slash Commands:

  1. Type /temp into a task title or description.

  2. Pick one of the recently used templates or type the name of a task template to search for it.

    • You can also use the up and down arrows on your keyboard to pick from the recently used templates.

  3. Click Browse to search the Template Center for other task templates.

  4. Press enter.

The template /Slash Command is also available when creating a new task in List view, Board view, Calendar view, Timeline view, Box view, Whiteboard view, and Workload view.

Update a task template

Update task templates to stay up-to-date with your processes. Once a task template is updated, the template cannot be reverted to its previous state.

To update a task template:

  1. Apply a template to a task or start with a brand new task.

  2. Make any changes and updates to the task.

  3. Click the ellipsis ... next to the Share button.

  4. Select Template Center.

  5. Click Update existing Template.

  6. Search for and select the existing template you want to update.

  7. Click Next.

    • You can rename your template and update its sharing and Import options.

  8. Click Save.

Use shortcuts

You can quickly create, apply (load), save, or update a task template using shortcuts:

  • Press the keyboard shortcut t to open a task.
  • Or click the + Task button in the lower-right corner of your screen.

  • From the modal, select the wand icon.
  • Select a recent template or click one of the choices to open the Template Center.

Delete a task template

Delete task templates you no longer need. Once a task template is deleted, it cannot be recovered.

To delete a task template:

  1. Go to the Template Center.

  2. Find and select the template you want to delete.

  3. At the bottom of the template preview, click Delete template.

Remap subtask due dates

You can choose a new due date for a parent task and all subtask dates will be remapped based on the difference.

For example, if you increase the parent task due date by five days, all subtask dates will also be increased by five days.

Remap dates in Templates

If any tasks in your Space, Folder, or List templates have start and due dates, those dates can be saved when you create a template.

When you use the template, you can use the original Start and Due Dates or update them to a different date by remapping them.

Instead of manually updating every task, all your tasks will be updated when the template is applied.
