Create recurring tasks

Eliminate admin work on repeatable items like weekly reports, team meeting agendas, and client or customer updates with recurring tasks.

What you'll need

  • Recurring tasks are available on every ClickUp plan. 
  • Everyone, including guests, can create recurring tasks.

Create a recurring task

You can set tasks to recur at regular intervals.

Depending on the options you select, some of the following settings will not be available.  The due date is when the cycle of recurrence happens, not the final end date of the task.

To create a recurring task:

  1. From an open task in the Dates field above the task description, click Empty.
    • If a due date is already set, click the due date instead.
  2. From the lower-left of the modal, click Set recurring. 
  3. Select a date on the calendar or enter it into the Due date field. You can set due dates using natural language

    You can set a start date for your recurring task from the Start date field. The start date will always recur the same amount of days before the due date. You can also set a time for the recurring task to be created from the Add time field. 

  4. Choose your recurrence schedule:
    • Daily: Recurs every day with the option to skip weekends.
    • Weekly: Recurs once a week on the day you choose.
    • Monthly: Choose Same day each month, First day of the month, Last day of the month, or the default day of the month. For example, say you chose the second Wednesday of July as your due date. The day of the month defaults to Second Wednesday. Select this choice and all tasks will recur on the second Wednesday of each month.
    • Yearly: Recurs once a year on the day you choose.
    • Days after: Recurs a certain number of days after the task has been marked complete. If the due date is updated, a new recurring task will be created immediately. 
    • Custom: Indicate if the task should repeat every few days, select days in the week, select weeks in the month, or select days of the year.
  5. Choose when the task should recur:
    • When complete: The task will recur when it moves to a closed status. This option will display the name of the closed status of the task's home List.
    • When done: The task will recur when it moves to a done status or when the task is moved to a closed status. 
    • On schedule: The task will recur when in not started or active statuses.
      • Tasks will recur at 11:00 pm in the timezone of the user who set the recurring settings.
      • Tasks set to recur On schedule that are marked as Done or Closed before their scheduled recurrence will recur immediately.
  6. Select any of the following options:
    • Skip weekends: The recurring task will not be scheduled on a weekend.
    • Create new task: 
      • Unselected: A new task will not be created upon recurrence and the current and completed activity, subtasks, checklists, and assigned comments, will be retained on the task.
      • Selected: The recurring task is duplicated as a new task in your Workspace. Click options and choose to include any of the following info from the original task in the recurring task: 
          • Include everything
          • Description
          • Attachments
          • Comment Attachments 
          • Subtasks
          • Remap Subtask Dates
          • Assignees
          • Subtasks Assignees
          • Watchers
          • Tags
          • Checklists
          • Custom Fields
          • Comments
          • Activity
          • Only Assigned Comments
    • Recur forever: Select the length of time the task recurs.
      • Selected: The recurrence will continue indefinitely. 
      • Unselected: Unselect and select from the dropdown:
        • Repeat: Set how many times this task will recur.
        • End on: Set a final date for the recurrence to happen.
    • Update status to: Displays when the task is set to recur on schedule. Select a status to set for the new recurring task. 
  7. Click Save to create your recurring task.

Recurring tasks are not retroactively added to past dates.

Manually stop a recurring task 

If you need to stop a task from recurring before its scheduled time, you can end it manually. 

To manually stop a recurring task:

  1. From an open task in the Dates field above the task description, click Empty.
    • If a due date is already set, click the due date instead.
  2. From the lower-left of the modal, click Set recurring. 
  3. Enter today's date into the Due Date field.
  4. Below the Recur dropdown, there's a dropdown that reads When complete, When done, or On schedule. To stop the task from recurring, you can:
    • Choose When complete, then move your task to a closed status. 
    • Choose When done, then move your task to a done status. 
    • Choose On schedule. Your task will not recur.   

View all recurring tasks

To view all the recurring tasks in your Workspace. You can use the Recurring Task Overview

There are two ways to open the Recurring Task Overview. 

From the Automations button: 

  1. Click Automations in the upper-right. 
  2. Click the Recurring tab. 

From the recurring task menu: 

  1. Open a task and click Empty in the Dates field above the task description
    • If a due date is already set, click the due date instead.
  2. From the lower-left of the modal, click Set recurring.
  3. Select the Recurring Task Overview icon at the top of the modal. 

Recurring tasks and Automations

Recurring tasks made using task templates can't be used as an Automation trigger. This means that when you create an Automation using the Task created Trigger and Apply a template Action, you can't trigger the Automation from tasks created via recurring settings.
