What is the Inbox?

Open your Inbox to access notifications, get updates, reply to comments, and take action on reminders or comments you saved for later. See conversations and their context side-by-side, saving everyone time.

Your Inbox is personal to you and specific to the Workspace you're in.

What you'll need

  • The Inbox is available on all ClickUp plans.
  • Everyone, including guests, can use the Inbox.
    • Guests will not see the names of all users in the Workspace because they do not have full access.
  • Your Inbox retains 3 months of uncleared notifications and 1 month of cleared notifications.

Open your Inbox

To open your Inbox, open your Home Sidebar and click Inbox.

The number of unread notifications in the Primary tab of your Inbox is displayed in a badge to the right of the Inbox button.

Inbox tabs

Your Inbox is separated into four tabs: Primary, Other, Later, and Cleared. You can add a fifth tab for all of your notifications from the Customize menu in the upper-right corner.

The number of notifications in each tab is displayed under its name, excluding the Cleared tab.

In each tab, your most recent notifications are listed first and your unread notifications are bolded.

Primary

On this tab, you'll see notifications for your most important activity including:

You can choose which types of notifications are displayed in the Primary tab from the Customize menu in the upper-right corner. Some activities always go to the Primary tab.

If any notification in a group is considered important, the entire notification group will appear on the Primary tab, even if the notification has been read. For example, if task A has an important notification, all new notifications for task A will also appear in the Primary tab. 

Other

On this tab, you'll see notifications for any changes made to tasks where you are a follower. The types of task activity include:

  • Newly created tasks
  • Task status changes
  • Assignee changes
  • Task name changes
  • New subtasks
  • Custom Field changes
  • Other less important notifications

Later

On this tab, you'll see:

  • Notifications you've snoozed that aren't due yet.
  • Chat messages you've saved for later. The location of the message is displayed to the left of the message.
  • Comments you've saved for later. The location of the comment is displayed to the left of the comment.
  • Reminders that are due in the future.

You can:

  • Open or clear the notification.
  • Snooze the notification.
  • Mark the notification as read or unread.

Cleared

On this tab, view all of the notifications that you've cleared in the last 30 days. Notifications in this tab are permanently removed after 30 days.

To move a cleared notification back to its original Inbox tab:

  1. Hover over the notification and click the Unclear button or press E.
  2. The notification will be moved back to the tab that it was cleared from and retain the order in which it was originally received.

You can also use CMD/Ctrl + Z to quickly undo the last action you performed. 

Notification groups

In your Inbox, notifications are grouped in the following ways:

  • If Group by date is enabled in your Inbox's customization settings, your notifications will be displayed in sections based on the date they were received.
  • Notifications from the same task, Doc, or List are grouped together and display as one notification.
  • When a task, Doc, or List has both Primary and Other notifications, they are grouped together and displayed in the Primary tab.

For example, a comment is assigned to you on an overdue task you're following. The overdue task notification is displayed on the Other tab. When the comment is assigned, both notifications are grouped together on the Primary tab.

Interact with notifications

Click any notification group to open it.

On the left, you'll see the notification and the latest activity for context. If the notification is related to a thread reply, you can view the entire thread by clicking Expand previous replies above the reply.

On the right, you can interact with the related item or thread in the details sidebar.

Notifications for reminders that were not created from a comment or Chat message are displayed in fullscreen.

There are multiple ways to interact with notification groups.

From an Inbox tab

Each notification group includes a short preview of the latest activity. You can hover over a notification preview to take the following actions:

Using the context menu 

Right-click any notification group to open the context menu, where you can take several actions.

The actions available depend on the type of notification.

Favorite

Add to

Add the item to your Personal List or your Priorities.

Open Open the item in fullscreen.  
Open in new tab Open the item in a new browser tab.  
Copy link Copy the link to the item.  

From a fullscreen notification group

After opening a notification group, you can take several actions by clicking the buttons at the top or using keyboard shortcuts.

The actions available depend on the type of notification.

Open location via breadcrumbs Access any level of the notification's location-based Hierarchy from the breadcrumbs in the upper-left corner.  
Open Open the notification's location by clicking the expand icon.  
Favorite

Stop receiving notifications/Watch to receive notifications

Add or remove yourself as a follower on the task. 

This option is not displayed above Chat message notifications. It can be accessed by hovering over the Chat message and clicking the ellipsis ... menu.

Clear notifications

Clearing a notification group moves it to the Cleared tab for 30 days before its deleted forever. To clear a notification group from your Inbox:

  • Hover over the notification group and click Clear.
  • Hover over the notification and press E.

Unclear notifications

To unclear a notification group from the Cleared tab:

  • Hover over the notification group and click Unclear.
  • Hover over the notification and press E.

Clear all notifications

To clear all notification groups in your current Inbox tab, click Clear all in the upper-right corner.

If you have a filter enabled, only notification groups that meet the filter criteria will be cleared.

Customize your Inbox

Choose which notifications are displayed in your Primary tab, customize your Inbox layout, and more from your Inbox settings.

You can customize the types of notifications you receive on the notification settings page or mute notifications temporarily by updating your status.

Filter notifications

Use the filters in the upper-left corner of your Inbox or their keyboard shortcuts to filter the notifications in your Inbox.

Filters persist if you leave your Inbox and return later.

Mentions Show only notifications where you've been @mentioned. This filter is not available in the Other tab. Shift + 1
Assigned Show only notifications from tasks or comments you're assigned to. Shift + 2
