Set a user status

Are you at a doctor's appointment, lunch, out of office, or on vacation? Or do you need to focus for a few hours? Let your team know by setting your status or muting your notifications. 

What you'll need

  • User statuses are available for every ClickUp plan. 
  • If the Who's online ClickApp is off, you'll only see your status.
  • Guests cannot set a user status. 
  • Guests cannot see the user statuses of the members in their Workspace. 

Set your status

Select one of the ready-to-use statuses, or create your own. 

To set a status:

  1. In the upper-right corner, click your personal avatar. 
  2. Click Set status to open the Set status modal. Then choose from the following options:
    • You can select one of these ready-to-use statuses:
      • Your last three custom statuses will display in the Recents section.
      • Or in the section under your company's name, select from common statuses like In a meeting or Focusing
    • You can also type something into the What's on your mind? text box and click the emoji icon to add an emoji.

    • After setting a status, you'll see the following options:
      • Click the Remove status after dropdown. Choose the amount of time or a custom date and time for your status to remain active.
      • Select Out of office. Your OOO status will prominently display next to your name or status.
      • Select Pause notifications to pause email, mobile, desktop, and browser notifications until you clear your status. 
  3. Click Save

Set yourself as out of office and pause notifications

When you select the out of office option, a prominent OOO displays next to your name or status text. You can also choose to pause notifications. 

To set yourself as out of office:

  1. In the upper-right corner, click your personal avatar. 
  2. Click Set status.
  3. In the Set status modal, select an emoji or type something into the What's on your mind? text box.
  4. Select Out of office.
  5. Click the Remove status after dropdown and choose an option.

    • You can also select Pause notifications to pause email, mobile, desktop, and browser notifications until you clear your status. 
  6. Click Save

Clear your status

To clear your status before the set status removal time:

  1. In the upper-right corner, click your personal avatar. 
  2. Select Clear status.

Mute your notifications

Pause your email, mobile, desktop, and browser notifications for a chosen period of time. When notifications are muted, you won't see notification badges. For example, the pink Inbox count badge that displays in the upper-right corner of the Inbox icon in the Sidebar.

  1. In the upper-right corner, click your personal avatar. 
  2. Select Mute notifications.
  3. From the Mute notifications modal, select a period of time or add a custom date and time.

See a user's status

People in your Workspace will see your status next to your name and avatar in various locations, such as:

  • Task and Inbox comments
  • @mentions
  • Profiles
  • Pulse
  • Manage people

Profiles, and task and Inbox comments

Statuses display in the following way in Profiles, and task and Inbox comments:

  • To the right of the person's avatar and name. 
  • When someone hovers over an emoji, the text and remove status time pop up.

@mentions

Statuses display in the following way in @mentions or when typing @:

  • To the right of the person's avatar and name. 
  • When someone hovers over an @mention, the person's status displays. 
  • When someone types @ to select a person, the people's statuses display.

Pulse and Manage people 

Pulse is a ClickApp that must be enabled by a Workspace owner or admin.

Statuses display in the following way in Pulse and the Manage people modal:

  • When someone clicks an avatar, the person's status displays. If their notifications are paused, there's a z on their avatar's online indicator. The indicator is a green circle in the lower-right corner of the avatar.
