Use Personal List

Use the Personal List card to quickly create a to-do list from Home.

What you'll need

Access Personal List

Personal List is a List of tasks that lives separately from the ClickUp Hierarchy. You can quickly create new tasks in Personal List without having to navigate through several Spaces, Folders, and Lists.

To open Personal List:

  1. In your Sidebar, click Home.
  2. Add the Personal List card.
  3. Tasks in your Personal List are displayed in this card.

Share a personal List

You can choose to share your personal List with other users. When sharing a Personal List, shared users are able to access tasks via search and Inbox

To share your Personal List:

  1. In the upper-right corner of Personal List, click Customize.
  2. Select Sharing & Permissions.
  3. In the sharing modal, select or invite users.

Move tasks to Personal List

When you move a task to Personal List, it inherits the sharing settings of your Personal List. For example, public tasks that are moved to Personal List will only be accessible to those who have access to your Personal List.

Create tasks in Personal List

You can create new tasks from Personal List, or add other tasks in your Workspace to Personal List using the Tasks in Multiple Lists ClickApp. Inversely, you can add tasks in Personal List to other Lists using this ClickApp.

To create your first task from Personal List:

  1. In Personal List, click Create a task.
    • Alternatively, click the plus icon in the upper-right corner.
  2. Type the name of your task and add additional optional info.
  3. Click Create Task.

To create additional tasks from Personal List:

  1. In Personal List, click + Add Task.
    • Alternatively, click the plus icon in the upper-right corner.
  2. Type the name of your task and add additional optional info.
  3. Press Enter on Windows or Return on Mac to create the task.

To create a task from anywhere and add it to Personal List:

  1. In the toolbar in the upper-right corner, click + New.
  2. Choose a task type.
  3. Select Personal List from the location dropdown.
  4. Type the name of your task and add additional optional info.
  5. Press Enter on Windows or Return on Mac to create the task.

When creating a task from the toolbar, the task location defaults to Personal List if you are not within a specific Hierarchy location.

Update task statuses in Personal List

To update a task status from Personal List:

  1. To the left of a task, click the status icon.
    • If there are only two statuses, click the check icon to close the task.
  2. From the Status menu, choose a status.

Edit tasks in Personal List

To edit tasks in Personal List:

  1. Hover over a task.
  2. Click one of the following icons:
    • Alternatively, right-click a task name to open this menu.
      • Add subtask: Create a subtask.
      • Edit tags: Add or remove tags.
      • Rename: Rename the task.
      • Ellipsis ... menu: Copy, move, share, and more.

Use Automations in Personal List

To add an Automation to your Personal List, click the Automate icon in the top right of the card.

Customize columns in Personal List

Similar to other List views, you can customize columns or use them to create new Custom Fields in Personal List.

Add a column

To add a column:

  1. To the far right of a task group, click the plus icon.
  2. Choose to show or hide columns, or create a new Custom Field and add it as a column.

Rearrange columns

There are two ways to rearrange columns:

  • Click and drag a column header.
  • Click the column header and select:
    • Move to start: Place the column all the way to the left.
    • Move to end: Place the column all the way to the right.

Hide a column

To hide a column:

  1. Click the column header.
  2. Select Hide column.

Group tasks

To group tasks in Personal List:

  1. In the upper-left corner of Personal List, click Group.
    • Alternatively, click Customize in the upper-right corner and select Group.
  2. Select a criteria to group tasks.

Filter tasks

To filter tasks in Personal List:

  1. In the upper-left corner of Personal List, click Filters.
    • Alternatively, click Customize in the upper-right corner and select Filter.
  2. Select criteria to filter tasks.

Show subtasks

Similar to most views in ClickUp, you can decide how subtasks are displayed in Personal List.

To choose how subtasks are displayed:

  1. In the upper-left corner of Personal List, click Subtasks.
    • Alternatively, click Customize in the upper-right corner and select Subtasks.
  2. Choose how you'd like to display subtasks:
    • Collapse all: Subtasks will not display unless you manually expand them.
    • Expand all: See your subtasks as separate items directly below parent tasks.
    • As separate tasks: Subtasks are shown as separate items and can be moved between columns independently. Choose this option if you want subtasks to appear in filtering results.

Show closed tasks

To show closed tasks in Personal List, click Show closed at the top of the card.

Alternatively, click Customize in the upper-right, select List options, and enable Closed tasks.

Search for tasks in Personal List

Use the search bar in the upper-right corner of the card to quickly search for tasks by their names, descriptions, or content in their Custom Fields.

To choose one of these search options:

  1. In the upper-right corner of the card, hover over the search bar.
  2. Click the ellipsis ... menu.
  3. Click a toggle to select one or more search options.

Customize List options

Customize Personal List to enhance your workflow and personalize your Home experience.

To customize Personal List:

  1. In the upper-right corner of Personal List, click Customize.
  2. Select List options.
  3. Choose from the available List options.

List options

The following List options are available:

List options Description
Show empty statuses Display status groups with no tasks.
Wrap text Automatically wrap and expand the content of your tasks to reveal everything.
Subtask parent names Display subtasks' parent task names.
Closed tasks Display tasks in a Closed status.
Closed subtasks Display subtasks in a Closed status.
Tasks in Multiple Lists

Display tasks added to this List from another location.

The Tasks in Multiple Lists ClickApp must be enabled by an admin or owner to use this option.

Subtasks in Multiple Lists Display subtasks added to this List from another location.

The Subtasks in Multiple Lists ClickApp must be enabled by an admin or owner to use this option.

Personal List's ClickApps

Unlike other locations in the ClickUp Hierarchy, Personal List's ClickApps are predetermined and cannot be disabled.

Personal List has the following ClickApps enabled:

  • Priority
  • Tags
  • Custom Fields
  • Multiple Assignees
  • Time Tracking
  • Incomplete Warning
  • Dependency Warning

If these ClickApps are disabled in your Workspace, Personal List is still able to use them.
