Default permissions for guests, limited members, members, and admins

Quickly understand the difference between limited member, member, and admin role permissions.

The limited member and limited member read only user roles are slowly being released to every Workspace. Owners and admins will receive an email before these roles are activated in their Workspace.

Default permissions by plan

Every plan has the same set of default Workspace-level user permissions. 

Available permissioned features vary by plan. For example, Audit Logs is a permissioned feature that is only available on the Enterprise Plan.

Depending on plan and user role full, edit, comment, and view-only permissions can also be set for individual items and locations.

Edit default permissions

On Business Plus and Enterprise plans, these default permissions can be edited and used to create custom roles.

One custom role is available on our Business Plus Plan. Unlimited custom role permissions are available on our Enterprise Plan.

Permissions in detail

This article is an overview of Workspace-level permissions. Individual people can be given full, edit, comment, and view-only permissions for each Workspace location or item shared with them.

Manage and invite users permissions

The following table shows member and admin default permissions for managing and inviting other Workspace users:

By default, members do not have permission to set up third-party Workspace integrations except for Git.

Task permissions

The following table shows member and admin permissions that can be set for task statuses and task tags:

Edit Statuses

Permits the user to create, edit, and delete task statuses. When Edit Statuses is on and Delete Items off, you can't delete statuses.

Space permissions

Permits the user to create Spaces in the team Workspace.

Views permissions

By default, members and admins can access and create views. There are also permission options for protecting views that can be applied per user and view.

Permits the user to create and edit views on locations.

When disabled, members and admins can still create private views.

ClickApp permissions

Manage Custom Fields

Permits the user to create, edit, and delete Custom Fields. If you have Manage Custom Fields turned on and Delete Items off, you can't delete Custom Fields.

Permits the user to create Custom Fields anywhere but at the Workspace level.

Permits the user to make changes to Custom Fields, including Name, Description, and Location.

Permits the user to merge multiple Custom Fields of the same type into a single Custom Field.

This permission is only available using Custom Field Manager.

Permits the user to convert Custom Fields from one type to another. For example, Dropdown to Label

Permits the user to move Custom Fields up or down the location hierarchy. For example, Space to List, or Folder to Space. Optionally, you can control who can move fields to or from the Workspace level.

This permission is only available using Custom Field Manager.

Delete Items permissions

By default, members and admins can delete Workspace items. This permission can be restricted to only the items that they created.

Advanced Permissions

This permission cannot be overridden when creating new Spaces.

Once enabled, an email will be sent to everyone in the Workspace to let them know that admins can manage private Spaces.
