Send an email invite
Members and admins are invited via email or converted from other user roles.
To give a member or admin full edit access to all public items and locations in your Workspace, send an email invite from the Manage people settings or the Sidebar.
You can give members and admins edit, comment, or view only permissions to individual items and locations. You can also share individual items and locations with them.

Manage people settings
To send an email invite:
- Click your Workspace avatar, then Manage users.
- In a Free Forever Workspace, you can also click Upgrade.
- From the Manage people page in the Invite by email field, enter one or more email addresses.
- To add more than one email address, use commas between the addresses. You can also copy and paste a list of comma-separated addresses or addresses on separate lines.
- You can't upload a CSV file.
- From the dropdown, select Member or Admin.
- If you invite a guest or limited member, you'll need to share an item or location with them. Limited members and guests can't access any Workspace items or locations by default.
- Click Send invite.
The Sidebar
To send an email invite:
- In the lower-left corner of the Sidebar, click Invite.
- Enter one or more email addresses.
- From the dropdown to the right of the email field, select Member or Admin.
- If you invite a guest or limited member, you'll need to share an item or location with them. Limited members and guests can't access any Workspace items or locations by default.
- Click Invite.
Via API or SCIM provisioning
People can be invited via our API or SCIM provisioning on the Enterprise plan only.
Share an item or location
For guests, limited members, and limited members view only to access items and locations, you'll need to share them. They'll only have access to shared items and locations.

- Only limited members, limited members view only, members, admins, and owners can be given access to Spaces. You cannot share Spaces with guests.
Assign or edit permissions for items and locations
There are four permission levels you can apply to items and locations when you invite people. You can also edit these at any time.
You can assign and edit permissions for any user role from the item or location.
For limited members, limited members view only, guests, and permission controlled guests, you can assign and edit permissions from the Manage people settings.
From an item or location
To assign a permission level from an item or location:
- In the location, click Sharing & Permissions.
- To the right of the person's name, select Full Edit, Edit, Comment, or View Only from the permissions dropdown.
- If the person is a guest or limited member, you can change their permissions from the Manage people settings.
From the Manage people settings
To assign a permission level from the Manage people settings:
- Click your Workspace avatar, then Manage users.
- In a Free Forever Workspace, you can also click Upgrade.
- In the Users table in the person's row, scroll to the Access column.
- Click Spaces, Folders, Lists, or Tasks. The number zero indicates that no item or location is shared.
- Click the permission dropdown and select a new permission.
How does assigning permissions affect user roles?
You can give most user roles any permission. That may change their user role and how you are charged for that user in the following ways:

Free Forever guests:
- Only have full edit permissions by default.
- Are the only guests permitted in Free Forever Workspaces.
- Cannot be given lesser permissions.

Guests:
- Only have view only permissions by default.
- Have a View Only badge next to the right of their names in the Manage people settings.
- When given higher than view only permissions, they become a permission controlled guest.
Learn how the number of permissioned controlled guests is calculated per plan. If you exceed the number of permission controlled guests allowed in your Workspace, a paid member seat is added.

Permission controlled guests:
- Charged a subscription fee.
- Can have any permission higher than view only.

Limited members view only:
- Have view only permissions by default.
- Have a View Only badge next to the right of their names in the Manage people settings.
- When given higher than view only permissions, they become a limited member.

Limited member:
- Charged a subscription fee.
- Can have any permission higher than view only.
- Do not have a View Only badge to the right of their names in the Manage people settings.

Members, admins, and owners:
- Can have any permission higher than view only.
- Have full edit access to all public items and locations.
- Can be given any permission to any public or private item or location.
Public and private items and locations
For someone to access a private item or location, it must be shared with them. By default, items and locations are public. For example:
- A public task is available to anyone with access to its parent List.
- A public List is shared with anyone with access to its parent Folder.
- A public Folder is shared with everyone with access to its parent Space.
Members see all public items and can be invited to private items. Guests, limited members, and limited members view only see only items that are shared with them. Each time you share a private item, you can set one of four permission levels for the person you're sharing it with.
Individual permissions
Individual permissions are available on the Unlimited Plan and above for guests and limited members.
To edit individual permissions:
- In the upper-left corner, click your Workspace avatar, then Settings.
- Select People.
- On the Manage People page, select Guest or Limited member.
- Click the Time estimates, Time tracked, Add/remove tags, or Create views icons to enable or disable features.
If a person has individual permissions enabled, they can do the following:
- Time Estimates and Time Tracking are enabled by default. If these settings are disabled, guests can't use them.
- Add or remove Tags on tasks and Docs.
- Create views, including Docs.
Resend or cancel invitations
Invitations to join your Workspace never expire, but the link in the email is only valid for a short time.
If someone clicks an expired link from the email, they'll be directed to sign up for ClickUp.
When they log in using the email, they'll be prompted to join your Workspace. If the link doesn't work, or they did not get the link, they'll be prompted to join your Workspace when they log in.
If there are any issues with the link, you can ask the person to create an account and sign in. Or to sign into any existing ClickUp Workspace they're a part of. When they sign in, they'll be prompted to join your Workspace.
Once you've sent an invitation, you can resend or cancel it before the invited person accepts and joins your Workspace.
- Click your Workspace avatar.
- Select People.
- From the Manage people page, choose the appropriate user role tab.
- From the Settings column, click the user's ellipsis ... menu.
- Choose to resend or cancel the pending invitation.
Manage user permissions
Admins and owners on all plans can manage certain user permission settings.
