Docs: Privacy and Sharing

Let's put you in complete control of who sees what, what permissions they have, and who gets added to your Workspace.

This guide has step-by-step instructions to set privacy, permissions, and sharing options for Docs and Pages in ClickUp.

Docs created in Docs Home are private by default on paid plans. Docs cannot be made private on the Free Forever Plan.

Share with the Workspace

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Click on the Workspace toggle to make this doc accessible to everyone in your Workspace

Copy the Internal link to share it with your team!

Share with specific people

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Type the name of the person or Team you want to share the Doc with

  3. Click on the permissions button to set their permissions

  4. Click on the Share toggle, which immediately shares the Doc

  5. Click Save

Invite new people

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Invite people by entering one or more complete email addresses

  3. Choose to invite them as a Guest or Member using the user role button on the left

  4. Set their permissions using the permissions button on the right

  5. Click Invite

The user will receive an email shortly inviting them to join your Workspace!

Share with specific tasks

Docs shared with tasks will be added as an attachment to the task.

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. At the bottom of the modal, click on Select task or location

  3. Choose to share the Doc with a task

  4. Search or Browse to pick a task

Update or remove a doc attached to a task

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Click on the task name where the Doc is currently shared

  3. You can move the Doc:

    • Choose a new task to attach the Doc to

    • Add it as a Doc view to a location

    • Add it to the Sidebar

  4. Click Remove current location

Share with specific locations

Docs shared with a location will be added as a Doc view at the Everything level, or to a Space, Folder, or List in your Workspace. You can only share a Doc to one location as a Doc view.

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Click on Select task or location

  3. Choose to share the Doc with a location

  4. Search or Browse to pick a Space, Folder, or List

Pick Select all to create a Doc view at the Everything level!

Update or Remove a Doc view

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Click on the location name where the Doc is currently shared

  3. Move the Doc view to a new Space, Folder, or List or attach it to a task

  4. Click Remove current location

Export a Doc

  1. Open Docs Home and click on Add to location OR open a Doc and click on the Share button

  2. Click on the Export button

  3. Select your preferred file format: PDF, HTML, Markdown

  4. Click Export

Share publicly

  1. Open Docs Home and click on Add to location or open a Doc and click on the Share button

  2. Click on the Public via web toggle

  3. Click on the Copy public link button to share your Doc with the world!

  4. Set link expiration, allow search engines to include the link in search results, and copy the embed code from the advanced settings section

Click to edit or comment on publicly shared Docs

When a Doc is shared publicly, you can click Edit Doc or Comment in the top-right corner to access the Doc in ClickUp and start editing or adding comments right away!

You need to be logged in to ClickUp and have permission to edit or comment on the Doc for the Edit Doc button to appear.

Protect Docs and pages

Protecting a page or Doc prevents unwanted changes to the content of your pages!

  • Workspace members with edit permissions can protect and unprotect Docs and pages

  • Guests cannot protect or unprotect Docs or pages

Protecting Docs and pages is only available on our Business Plus and Enterprise Plans.

You can also use similar Sharing options with individual pages:

  • With Workspace members using the Internal link

  • Export the page

  • Share publicly

Click on Share this Doc to share the entire Doc using the options listed above!

Pages always inherit permissions from the Doc they live in. If a Doc is shared, all pages and subpages within it are shared as well. If an individual page is shared, all of its subpages are also shared.

Share pages publicly

  1. Open a Doc, click on the page settings ellipsis in the sidebar and click Share or click on Share Page at the top of the page

  2. Click on the Public via web toggle

  3. Click on the Copy public link button to share your Doc with the world!

  4. Set link expiration, allow search engines to include the link in search results, and copy the embed code from the advanced settings section

Click to edit publicly shared pages

When an individual page is shared publicly, you can click Edit Doc in the top-right corner to access the Doc in ClickUp and start editing right away!

You need to be logged in to ClickUp and have permission to edit the Doc for the Edit Doc button to appear on publicly shared pages.

Export a page

  1. Open a Doc, click on the page settings ellipsis in the sidebar and click Share OR click on Share Page at the top of the page

  2. Click on the Export button

  3. Select your preferred file format: PDF, HTML, Markdown

  4. Choose to export just this page or all pages

  5. Click Export
