Manage the people in your Workspace

These Manage people settings track the users in your Workspace, their info, and activity. Here you can edit guests' and limited members' access to items and locations, and convert user roles.

Open the Manage people settings

User info and settings are located on the Manage people page. By default, only Workspace owners and admins can manage these settings. 

To open the Manage people settings:

  1. In the upper-left corner, click your Workspace avatar.
  2. Select Manage users, then People.

The number of people in your Workspace

The All Users dropdown allows you to see the total number of people in your Workspace. The following tabs break down this total by user role and seat type:

  • All Users dropdown: This dropdown shows the total number of users in your Workspace. Click the dropdown to see the number of users in each role. 
    • Full Seats tab: Full seats require a paid subscription and include non-view-only limited members, members, admins, owners, and most Custom Roles.
    • Guest Seats tab: Guest seats do not require a paid subscription and include guests who have at least one permission controlled item or location shared with them. Each Workspace has a limited number of permission controlled guest seats
    • View-Only Seats tab: View only seats do not require a paid subscription and include limited members and guests with view only access to all items and locations shared with them.

Manage people info

Manage people settings are arranged in a table with each user as a row and the setting as a column. 

Reorder, re-sort, and resize column headers

You can rearrange the settings table in these ways:

  • Reorder: Click and drag a column header to move it.
  • Re-sort: Click a column header to re-sort the column's info. 
  • Resize: Hover between two column headers, grab the handle, and drag to make the column wider or narrower. 

These columns show user info with a few actionable settings:

Column User info and settings
Name

The person's name.

Depending on role or status, the person may have one of these badges after their name:

  • View only: Displayed for limited members and guests with view only access to all items and locations shared with them.
  • Pending: An email invite was sent, and the person hasn't signed into the Workspace yet
  • Owner: This person is the Workspace owner
Email 

The person's email.

To copy the email, hover to the right of their email and click Copy

Role 

The person's role.

You can convert the person's user role by clicking their current role and selecting a new one.

Last active  The date this person was last active.
Invited by The person who invited the user to the Workspace. 
Invited on The date the person was invited to the Workspace. 
Team Memberships The Teams the person belongs to.
Access

This column displays for limited members, limited members view only, view only guests, and permission controlled guests. These user types can only access what is shared with them.

From the Access column, you can edit or remove permissions for a shared item.

Permissions

This column displays for limited members, limited members view only, view only guests, and permission controlled guests. 

These user types can be given individual permissions.

Security Two-factor authentication is enabled if a mobile device icon displays.

To the right of the table are actionable settings like removing a user or resending an email. 

Setting Description
Revoke admin Convert this person to a member. 
Convert to Limited Member

Convert this person to a limited member. 

If there are items or locations shared with them, they won't be able to access anything. 

Convert to Guest

Convert this person to a guest.

If there are items or locations shared with them, they won't be able to access anything. 

Copy member ID Copy the person's ID.
Email secure login link

Admins can send a secure, temporary login link via email to users locked out of their accounts.

Remove Remove this person from the Workspace. 

Edit or remove a guest's or limited member's permissions and access

People can be given four permission levels when individual locations and items are shared with them. 

For example, Cory was invited to the Blue Team's Folder with view only permissions. Then the Blue Team lead decided to give Cory comment permissions. View only no longer displays next to Cory's name.

You can only edit a person's access to items and locations that you can access. 

To change or remove permissions or access:

  1. In the upper-left corner, click your Workspace avatar.
  2. Select Manage users, then People.
  3. On the Manage people page, click the All Users dropdown and select the Limited Members or Guests tab.
  4. In the Access column, click the item or location and select one of the following actions:
    • Remove All: Remove the person's access to every shared item or item in that location.
      For example, you want to remove the person's access to Folders. You do want them to access their tasks in those Folders. In the Access column, you click Folders. From the Shared Folders modal, you select Remove All. They still have access to their tasks, not the Folders. 
    • Remove individual items and locations: Click the x icon to the far right of the item or location name. 
    • Change the person's permissions: Change the person's permissions to their items and locations individually. 
      For example, you want to change the person's permissions for one task from full edit to view only. In the Access column, you click Tasks. From the Shared Tasks modal, you click Full to the right of the task's name and select View only from the dropdown. 

      Changing permissions for view only guests or limited members view only to comment, edit, or full edit also converts their user role
