Owner, admin, and member-type user roles

Limited member availability

The limited member and limited member read only user roles are slowly being released to every Workspace. Owners and admins will receive an email before these roles are activated in their Workspace. 

How do I know if the roles are available in my Workspace?
If Limited Member is an option when inviting someone to a Workspace location or item these user roles are available.

Member user role types

There are different member-type roles to fit the needs of everyone in your organization. This table provides an overview of member-type roles:

Role Overview
Limited members read only

Available on the Unlimited Plan and above.

Limited members read only have view-only permissions to locations and items they are invited to. They cannot be given comment, edit, or full permissions to a location or item. Unlike guests, limited members read only can be invited to Spaces! 

This role eliminates noise for people who don't actively engage in the details. When they need to collaborate and communicate they can use Chat.

Limited members

Available on all plans.

Unlike guests, limited members can be invited to and create Spaces! 

On Unlimited Plans and above, when you share a location or item with a limited member, you can give them view-only, comment, or edit permissions to that location or item.

This role makes it easier to manage user access when you need to limit access by default. This role is great for people who only need access to the locations where they work and Chat.

Members

By default, members have full permissions to all public items. On Business Plus plans and above, Custom role permissions can be given.

This role is helpful for people who work and collaborate on multiple tasks and cross-functional teams. 

Admin role

You can think of admins as members with extra permissions to manage the Workspace, including billing, permissions, and integrations. By default, the admin role has every custom role permission activated except the Custom Role permission.

On Business Plus and Enterprise plans, Workspace owners can disable any custom role permission for all admins. They can also create a custom admin role with access to all permissions. 

Owner role

The owner created your Workspace or had ownership transferred to them. Each Workspace can only have one owner.

Pricing

When you remove a limited member, member, or admin from your Workspace, their seat remains open.

If your Workspace has an open seat, you can fill it by adding a paid user or converting a limited member read only or guest to a paid role at no charge.

If you add a paid user in the middle of your billing cycle, you're charged a prorated amount for the number of days left until your plan renews.

There is no subscription fee for limited members read only.

A subscription is charged for each limited member you add to your Workspace.

Permission level

For example, by default, a member has access to all public Folders. A member with comment permissions to a Folder can comment on tasks in this Folder, but can't edit the Folder settings.

Limited members read only have view-only permissions to locations and items they are invited to.

They can be invited to any location or item in your Workspace, including Spaces! 

When a comment, edit, or full permission to a location or item is given, the user becomes a limited member and a subscription fee is charged.

How do I invite this user type to my Workspace?

Learn how to invite a new person to your Workspace or convert a current Workspace user to another role.

Limited members read only can also request to become a limited member or member. 

Share locations or items with them.

A Workspace can only have one owner. 

The Workspace must be transferred from the original owner to a new owner.  

Manage individual permissions for limited members and limited members read only

Individual limited member and limited member read only individual permissions are available on the Unlimited plan and above. 

To activate individual permissions:

  1. In the upper-left corner, click your Workspace avatar, then Settings.
  2. Select People.
  3. On the Manage People page, select the Limited Members tab.
    • Limited members read only have a View only badge to the right of their name. 
  4. Click the Time estimates, Time tracked, Add/remove tags, or Create views icons to activate or deactivate features for that person.

Identify the members in your Workspace

Owners, admins, and member-type users are easily identified by the circle in the lower-right corner of their avatars. The circle is green when the person is online and white when they're not.

Guest-type users have a green or white square in the upper-right corner of their avatars.

See user status

User status indicates a person's availability in the Workspace. For example, they're out of office, have paused notifications, or are on vacation.

You can see a person's status to the right of their name.

If an owner, admin, or member-type's notifications are paused, there's a z on the white circle in the lower-right corner of their avatar.
