Use Dashboards to visualize Form submissions

When you need to gather information, Forms help streamline the process. Create a high-level look at this info by converting Form submissions into Dashboards.

Create a Dashboard

Create one or more Dashboards to visualize your Form submissions analytics.

Add cards to your Dashboard

Cards are the building blocks of Dashboards. Customize your cards to highlight the most important metrics and insights.

Your marketing team has a Form for creative requests. Here are some tips on how to visualize this data in real time as new Form submissions come in!

When setting up a card, keep in mind the questions asked in your Form and the data you want. For example, if you're surveying people on a scale of 1–5, you may want to see this scale on the x-axis of a Bar Chart. 

Task List card

Task List cards allow you to create a List view using tasks from any location in a Dashboard or Overview.

The data you need

Leadership wants to prioritize projects that increase revenue. How do you create a high-level view of opportunities to increase revenue?

The Dashboard solution

You add a Task List card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are. 

Your Form has a dropdown titled Primary marketing goal. One of the dropdown options is Increase revenue. In the Task List card setup modal, you set the Group by field to Primary marketing goal.

Then, you click Filter and select the following filters: Primary marketing goal, Is, and Increase revenue

You want quick results without using a lot of team resources. The Form also has a dropdown titled Channel. The least resource-heavy channels are social. You click Add filter select And, Channel, Is, Instagram, X, Facebook

You now have a Task List card that is updated in real time and shows the quickest ways your team can increase revenue. As the tasks come in, you can easily add assignees and set priority and status.

Tasks by Assignee card

There are three Task by Assignee cards. You can visualize this data in a pie, battery, or bar chart. 

Tasks by Assignee cards provide a view of the total number of tasks assigned to each person in a selected location. You can see this data in a pie, battery, or bar chart.

The data you need

You need to prioritize increasing revenue without using a lot of team resources. Leadership wants to deprioritize increasing website traffic this quarter since those campaigns have had the least impact. How do you find low-priority, heavily-resourced tasks and reassign those team members to higher-impact tasks?

The Dashboard solution

You add a Tasks by Assignee card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are. 

In the Tasks by Assignee card setup modal, you set the Group by field to Assignees. From the Show Assignees dropdown, you select All Assigness. This will show the work being done by all individuals and Teams. 

Since you've been asked to deprioritize web projects, you click Add filter select And, Channel, Is, Web

You now have a Tasks by Assignee card that is updated in real time and clearly shows which team members can be reassigned to higher-priority tasks. You can easily drill-down into the chart and open a task to reassign it. Or you can use the Bulk Action Toolbar to quickly assign several tasks to the same person.

Calculation card

Calculation cards show calculated data, like profit and loss, actual versus estimated time, or cost of parts and labor. 

Using formulas, Calculation cards can show calculated data, like profit and loss, actual versus estimated time, or cost of parts and labor. 

The data you need

You want to keep an eye on how many Increase revenue Form submissions are coming in.

The Dashboard solution

You add a Calculation card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are.

You click the Field dropdown and select Task count. You click the Include subtasks, Include Tasks in Multiple Lists, and Include Subtasks in Multiple Lists toggles on so that you get an accurate task count.

You now have a task count that updates whenever new Increase revenue submissions are added. You can click the card to see the tasks in a List. You can use the card filter to see tasks by assignee or status.

Bar Chart card

Bar Chart cards show changes to your data over time. 

The data you need

In Q3 your team is prioritizing increasing revenue without using a lot of team resources. Leadership needs to see a high-level view of the results month over month. 

The Dashboard solution

You add a Calculation card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are.

Manage data about your Forms

You can also use Dashboards to manage data about your Forms as submissions come in. Here are two ways you can do this:

Workload by Status

There are three Workload by Status cards. You can visualize this data in a pie, battery, or bar chart. 

You add a Workload by Status card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are. 

In the Workload by Status card setup modal, you click the Display labels as percent toggle on. 

You now have a Workload by Status card that shows the percentage of Form submission tasks by status. The card updates as submissions come in and statuses are updated. Each status is shown as a percentage of all submissions. 

You can use the Dashboard card filters to dig into the data. For example, you can filter by assignee or Custom Field.

Total Time in Status

You add a Total Time in Status card to your Dashboard. You set the Location (data source) to the List where the Form response tasks are. 

In the Total Time in Status card setup modal, you click the Time range dropdown and select This week

You know have a Total Time in Status card showing the number of tasks that are in each status each week. You can easily drill-down into the chart to see all of the tasks in that status. You can open tasks to see blockers and progress. You can Ask ClickUp AI to summarize task activity and generate progress updates.

Drill-down into Form submissions

With any cards that allow drilling-down, you can filter for specific criteria and click into tasks to see the Form submissions.
