Intro to Custom Roles

Take complete control over permissions with Custom Roles.

Create new Custom Roles to suit your team's needs. Custom Roles are based on the standard guest, member, and admin roles but can be customized using specific advanced permissions.

What you'll need

  • One Custom Role is available on our Business Plus Plan.
  • Unlimited Custom Roles are available on our Enterprise Plan.
  • Okta support for Custom Roles is available on our Enterprise Plan.
  • By default, only the Workspace owner can create Custom Roles.
  • Workspace owners can delegate managing Custom Roles to other admin-based roles.

Create Custom Roles

Workspace owners can create new Custom Roles.

  1. In the upper-left corner, click your Workspace avatar.
  2. Select Settings, then Security & Permissions.
  3. In the upper-right corner of the Custom Permissions section, click + New Role
  4. Enter the role name, select a default role for inheriting permissions, and click Create
    • Custom Roles must have unique names.
    • You can also enter a description. 
  5. Your new role is now a column in the Custom Permissions table.
  6. To customize permissions, click the toggles in the new role column.

    • You can assign the new Custom Role to people in your Workspace.

Permit admins to manage Custom Roles

Workspace owners can delegate Custom Role management to a custom admin. This role has access to all permissions. 

By default, the Admin role has every Custom Permission enabled except the Custom Role permission in the Create and Delete Actions section.

To permit some admins to manage Custom Roles:

  1. In the upper-left corner, click your Workspace avatar.
  2. Select Settings, then Security & Permissions.
  3. Create a Custom Role. 
  4. In the new role column, click every toggle to enable all permissions. 

Delete Custom Roles

Before deleting a Custom Role, assign a new role to anyone using it.

To delete a Custom Role:

  1. In the upper-left corner, click your Workspace avatar.
  2. Select Settings, then Security & Permissions.
  3. In the Custom Permissions section, to the right of the new role name click the ellipsis ... menu. 
  4. Select Delete.
    • You can also rename or duplicate a custom role from this menu.

Okta support for Custom Roles

For Enterprise teams that use Okta for provisioning, Custom Roles integrate with Okta.

Any role created in ClickUp can be added as an option within Okta, making it easy to integrate Custom Roles into existing workflows.
