Use AI Notetaker to take notes and record meetings

Never miss important meeting info again! Use AI Notetaker to take meeting notes for you, so you can stay fully engaged.

After the meeting ends, you can quickly access key insights and action items or share notes with colleagues who missed the meeting! You can also access a video or audio recording of the meeting, depending on the call length.

You must connect your Planner to Google Calendar or Outlook Calendar to use AI Notetaker. Once connected, you can use it to take meeting notes with the following apps:

  • Zoom
  • Teams
  • Google Meet

Availability

Admins and owners can view pricing and upgrade or downgrade AI Notetaker from the Add-ons tab in the billing page.

You must have a calendar connected and the AI Notetaker ClickApp enabled.

Meeting note format

AI Notetaker uses private Docs or tasks for meeting notes, depending on your preference.

Workspaces that have purchased AI Notetaker but do not have access to private Docs can still access AI Notetaker notes.

The following information is included in AI Notetaker meeting notes:

  • Meeting name and date: The Doc or task is automatically named with the meeting's title and date, making it easy to locate and reference.
  • Attendees: A list of everyone who joined the meeting.
  • Recording: For calls that last one hour or less, a full video recording of the call will be included in the notes. For calls that last over one hour, a full audio recording of the call will be included.

    Video recordings are in beta. They can be accessed from the meeting Doc or task, or Clips Hub.

  • Overview: A brief summary of the meeting's key points for quick comprehension.
  • Key Takeaways: A list of the most crucial insights and decisions in bullet points for easy review.
  • Next Steps: A checklist of action items to ensure tasks are completed and responsibilities are clear.
  • Key Topics: Categorized meeting information in an expandable menu.
  • Transcript: An expandable transcription of the entire conversation, useful for detailed review and documentation.

Automatic language detection

AI Notetaker can auto-detect the language being spoken in calls. If multiple languages are detected, AI Notetaker will try to determine the primary language, then transcribe the entire call in this language.

There is no configuration necessary for language auto-detection to work.

Use AI Notetaker in a meeting

Once AI Notetaker usage has been purchased, you can enable it for meetings.

Enable AI Notetaker for a meeting in your Planner

To enable AI Notetaker for an upcoming meeting:

  1. In your Planner, click an event with a meeting link.
  2. Click the AI Notetaker toggle.
  3. AI Notetaker will join the meeting as an attendee and leave a comment introducing itself.
  4. After the meeting ends, you will be @mentioned in your private meeting notes Doc or task.

AI Notetaker is not supported in breakout rooms at this time.

Send AI Notetaker to an ad hoc meeting

You can send AI Notetaker to any ad hoc Zoom, Google Meet, or Microsoft Teams meeting.

To send AI Notetaker to an ad hoc meeting:

  1. In the upper-right of your Planner, click AI Notes
  2. Under Send Notetaker, paste a link to your meeting.

  3. Click the send icon.

Once AI Notetaker has generated some meeting notes for you, you can send AI Notetaker to ad hoc meetings from your Home Sidebar or Spaces Sidebar by clicking the plus icon and selecting Send AI Notetaker.

Enable AI Notetaker for all meetings

To automatically enable AI Notetaker for all of your meetings:

  1. In the upper-right of your Planner, click AI Notes.
  2. Under Automatically join meetings for, click the dropdown menu.

  3. Select the calendars for which you want to enable AI Notetaker.

    Only primary calendars can be selected.

  4. After each meeting ends, you will be @mentioned in its private meeting notes Doc or task.

Send AI Notetaker to meetings early

By default, AI Notetaker will join meetings when they begin. Meeting hosts can manually make AI Notetaker join before the meeting starts.

From your Planner or Calendar Glance:

  1. Click the event.
  2. Ensure AI Notetaker is enabled.
  3. Click the expand icon next to your meeting app.

  4. Click Send Now.

Remove AI Notetaker from a meeting

People who have permission to remove attendees from meetings can remove AI Notetakers at any time.

You can also remove your AI Notetaker from a meeting using your Planner:

  1. In your Planner, click the event.
  2. Click the AI Notetaker toggle to disable it.
  3. The AI Notetaker will be removed from the meeting immediately.

Use Zoom for meetings

If you use Zoom for meetings, the meeting host must enable certain settings from the Zoom web application before using AI Notetaker:

  1. Log in to your Zoom account and open the Settings page.
  2. At the top, click the Recording tab.
  3. Enable Record to computer files.

    AI Notetaker does not create local files on your computer. Meeting notes are created as private ClickUp Docs or tasks.

  4. Ensure Internal meeting participants is enabled.
  5. Directly below Internal meeting participants, enable Auto approve their permission requests.

Zoom video conferences can only be added from your external calendar. They can be joined from your Planner.

Allow AI Notetaker to record Zoom meetings

If the meeting host is using Zoom but hasn't set up a personal Zoom integration in ClickUp, they must provide recording permissions to each AI Notetaker that joins the meeting by clicking Approve.

The host can allow all AI Notetakers from invitees to record by checking Apply these permissions to all future requests in this meeting before clicking Approve.

Open meeting notes

AI Notetaker will take meeting notes in a private ClickUp Doc or task and @mention you. Open the Doc or task to access your notes.

You can also open meeting notes from your Planner or the Docs Hub if you use Docs for your notes.

Open notes from your Planner

To open meeting notes from your Planner:

  1. Click the event. Events with notes display a notepad icon next to them.
  2. Select View AI Notes.

You can also open notes from the Recent Notes section in the AI Notes menu in the upper-right corner of your Planner.

Open notes from the Docs Hub

All meeting notes Docs can also be accessed from the Meeting Notes card in Docs Hub. You can quickly locate specific notes by searching, sorting, and filtering.

Ask AI about your meeting notes

After the meeting, you can ask AI questions about any of your notes. 

To ask AI about your meeting notes:

  1. In your toolbar, click the ClickUp AI icon. 
  2. Select Ask about my Meeting notes.
  3. Select a suggested question or type one into the prompt field

What Settings are needed for Google Meet and Teams?

For Google Meet and Teams, the AI Notetaker should work without any additional configuration.

Is usage measured in minutes or hours?

Usage is measured in minutes. 

Can you use the AI Notetaker without using your Planner?

No, the AI Notetaker only works with your Planner.

What happens if the AI Notetaker is accidentally removed from a meeting?

You have the ability to turn off the AI Notetaker and then re-send it to the meeting. However, the AI Notetaker will only capture notes from the meeting the second time.

What happens if you have multiple people using AI Notetaker in one meeting?

All of the AI Notetakers will produce notes after the meeting.

Will I receive notes if my meeting is moved to a different day?

If the meeting is moved to a later date before it starts, your AI Notetaker will adjust and you will receive notes.

If the meeting is moved to a later date after it starts, you will only receive notes for the original meeting. This is because only one AI Notetaker is allowed per user per event. If your meeting gets moved to a later date after it starts, we recommend creating a new meeting so that you will receive notes.
