Availability

AI Notetaker usage can be purchased via the Everything AI Bundle on paid plans or as a standalone add-on on any plan. For more details, read AI Notetaker feature availability and limits.

Please note that pricing may evolve as we assess AI Notetaker infrastructure costs.

Activate the AI Notetaker ClickApp

Before using AI Notetaker in meetings, an admin or owner must activate the AI Notetaker ClickApp in your Workspace.

Send AI Notetaker to a meeting

Once AI Notetaker has been enabled in your Workspace, you can send it to meetings.

There are three types of AI Notetakers you can choose from:

  • Personal Notetaker: The meeting note Doc will only be shared with you.
  • Workspace Notetaker: One meeting note Doc will be accessible by everyone in your Workspace.
  • Shared Notetaker: One meeting note Doc will be shared with all meeting invitees. For ad hoc meetings, it will be shared with all attendees.

Anyone who is invited to a meeting can activate or deactivate a Workspace or Shared Notetaker for it.

Send AI Notetaker to a scheduled meeting

To send AI Notetaker to a scheduled meeting:

  1. In your Planner or Calendar Glance, click a meeting with a video conferencing link.
  2. Click Add AI Notetaker.

  1. Select the type of AI Notetaker you wish to use. This determines who can access the notes.
  2. When the meeting time arrives, AI Notetaker will join as an attendee and leave a comment introducing itself.
  3. After the meeting ends, the meeting notes Doc will be shared in accordance with the Notetaker type you selected.

AI Notetaker is not supported in breakout rooms at this time.

Conflicts between Notetaker types

When someone activates a Workspace or Shared Notetaker for a meeting, any Personal Notetakers are automatically deactivated.

After the meeting starts, individuals can still send their Personal Notetakers ad hoc. These Notetakers will record from the second that they join the call.

Send AI Notetaker to an ad hoc meeting

You can send AI Notetaker to any ad hoc Zoom, Google Meet, or Microsoft Teams meeting.

From your Planner

To send AI Notetaker to an ad hoc meeting from your Planner:

  1. In the upper-right of your Planner, click AI Notes.
  2. Under Send AI Notetaker, paste the link to your meeting.

To change the Notetaker type, click the expand icon next to the send icon.

From your toolbar

To send AI Notetaker to an ad hoc meeting from your toolbar:

  1. In the upper-right corner, click your personal avatar and select AI Notetaker.
    • If it's pinned, click the AI Notetaker icon to the left of your personal avatar.
  2. Paste the link to your meeting and select a Notetaker type.

  1. Click Send Now.

Enable your Personal Notetaker for all meetings

Automatically enable your Personal Notetaker for all of your upcoming meetings:

  1. In the upper-right of your Planner, click AI Notes.

Pin AI Notetaker to your toolbar!

  1. Use the dropdown to select the calendars for which you want to enable AI Notetaker. Only primary calendars can be selected.
  2. After each meeting ends, your private meeting notes Doc will be shared with you.

Change AI Notetaker type

Anyone who is invited to a meeting can activate or deactivate a Workspace, Shared, or Personal Notetaker for it.

To change the type of AI Notetaker for your meeting:

  1. In your Planner or Calendar Glance, click the event.
  2. Click your current AI Notetaker type and select a new one.

If you start a meeting and change from a Workspace Notetaker to a Share Notetaker or vice versa, the original Notetaker will leave and the other will join. The Notetakers will create separate meeting notes for the time they spent in the meeting.

Remove an AI Notetaker

Remove your Personal Notetaker from a meeting

Remove your Personal Notetaker from a meeting.

Once a meeting starts, anyone with permission to remove attendees in your video conference app can remove your Personal Notetaker.

To remove your Personal Notetaker from a meeting:

  1. In your Planner or Calendar Glance, click the meeting and select Personal Notetaker.
  2. Select No Notetaker.

Remove a Shared or Workspace Notetaker from a meeting

Anyone who is invited to a meeting can remove a Shared or Workspace Notetaker from their Planner.

Changing from a Shared or Workspace AI Notetaker type to No Notetaker will deactivate all Notetakers.
To reactivate a Shared or Workspace AI Notetaker, someone must manually re-add it to the meeting.

To remove a Shared or Workspace Notetaker from a meeting:

  1. In your Planner or Calendar Glance, click the meeting and select Shared or Workspace Notetaker.
  2. Select No Notetaker.

Meeting note format

Notes are created in a Doc. When using a Personal Notetaker, your notes will be private.

The following information is included in AI Notetaker meeting notes:

  • Meeting name and date: The Doc is automatically named with the meeting's title and date, making it easy to locate and reference.
  • Meeting Channel: The Channel or direct message conversation in which the SyncUp took place. This is only included for SyncUp meetings.
  • Attendees: A list of everyone who joined the meeting.
  • Recording: For calls that last one hour or less, a full video recording of the call will be included in the notes. For calls that last over one hour, a full audio recording of the call will be included.

Video recordings are in beta. They can be accessed from the meeting Doc or Clips Hub.

  • Overview: A brief summary of the meeting's key points for quick comprehension.
  • Key Takeaways: A list of the most crucial insights and decisions in bullet points for easy review.
  • Next Steps: A checklist of action items to ensure tasks are completed and responsibilities are clear.
  • Key Topics: Categorized meeting information in an expandable menu.
  • Chat History: The meeting's chat history.

For Teams meetings, the chat history is only captured if the meeting chat is accessible to anonymous participants. AI Notetaker cannot capture chat history for channel meetings.

  • Transcript: An expandable transcription of the entire conversation, useful for detailed review and documentation. For some notes, the transcript is on a second Doc page.

Customize AI Notetaker

Customize your AI Notetaker to tailor your notes to your needs.

Automatic language detection

AI Notetaker can auto-detect the language being spoken in calls. If multiple languages are detected, AI Notetaker will try to determine the primary language, then transcribe the entire call in this language.

There is no configuration necessary for language auto-detection to work.

AI Notetaker can auto-detect and transcribe notes in nearly 100 languages. Access the full list of supported languages.

Use Zoom for meetings

If you use Zoom for meetings, the meeting host must enable certain settings from the Zoom web application before using AI Notetaker:

  1. Log in to your Zoom account and open the Settings page.
  2. At the top, click the Recording tab.
  3. Enable Record to computer files.

AI Notetaker does not create local files on your computer. Meeting notes are created as private ClickUp Docs.

  1. Ensure Internal meeting participants is enabled.
  2. Directly below Internal meeting participants, enable Auto approve their permission requests.

Zoom video conferences can only be added from your external Google or Outlook Calendar. They can be joined from ClickUp via your Planner or Calendar Glance.

Allow AI Notetaker to record Zoom meetings

If the meeting host is using Zoom but hasn't connected Zoom in ClickUp, they must provide recording permissions to each AI Notetaker that joins the meeting by clicking Approve.

ClickUp's AI Notetaker relies on Zoom's native recording notification system to inform meeting participants that a recording is in progress. Learn more

The host can allow all AI Notetakers from invitees to record by checking Apply these permissions to all future requests in this meeting before clicking Approve.

Open your meeting notes

AI Notetaker creates meeting notes in ClickUp Docs.

There are several ways to access your meeting notes:

  • In your Planner, click the event and select View AI Notes.
  • In the upper-right corner of the Planner, click AI Notes to see your recent notes.
  • Open Docs Hub and select Meeting Notes in the Docs Sidebar. You can search, sort, and filter all of your meeting notes from here.
  • Ask Brain to search for your notes.

After the meeting, you can ask ClickUp Brain questions about any of your notes:

  1. Open the meeting notes Doc.
  2. In the upper-right, click Brain.
  3. Ask any questions or request a summary of the meeting.

When a Workspace or Shared Notetaker is deactivated before a meeting, individuals must activate their Personal Notetakers if they want meeting notes taken.

What happens if you have multiple people using AI Notetaker in one meeting?

All of the AI Notetakers will produce notes after the meeting.

Will I receive notes if my meeting is moved to a different day?

If the meeting is moved to a later date before it starts, AI Notetaker will adjust and you will receive notes.

If the meeting is moved to a later date after it starts, you will only receive notes for the original meeting. This is because only one AI Notetaker is allowed per user per event. If your meeting gets moved to a later date after it starts, we recommend creating a new meeting so that you will receive notes.
