Use Space templates

Space templates are a great way to give your teams, departments, and large projects a head start.

What you'll need

  • Space templates are available on every plan.
  • Guests can't use Space templates.
  • Members and above can create, edit, apply, and delete templates.

Use a Space template

Create a new Space using a template.

To use a Space template, you'll need permission to access the Space that was used to create the template. This includes private and deleted Spaces.

To use a Space template:

  1. In the Sidebar, hover over the Spaces section and click the plus icon.
  2. From the Create new Space modal, select the Use Template tab.
  3. Search for and select a Space template.
  4. From the open template, click Use Template.
  5. From the Use Space Template modal, configure the following settings:
    • Space name: Space names must be 32 characters or less.

    • Import everything: Import the template exactly as is.
    • Customize import items: Import select items from the template.
    • Import as is: Use the task start dates and due dates included in the template.
    • Remap Dates: Create custom task start dates and due dates.
    • Nope: Do not include archived tasks.
    • Yes, but make them unarchived: Include archived tasks and unarchive them.
    • Yes (keep them archived): Include archived tasks and keep them archived.
  6. Click Use Template.

Your Space will use the selected Template.

Create a Space template

Create a Space with the Folders, Lists, tasks, views, and Automations you want and save it all as a  template.

To create a Space template:

  1. From the Sidebar, click the ellipsis ... next to the Space you want to turn into a template. 

  2. Select Templates, then Save as Template.

  3. From the modal, configure the following settings:

    • Template name: Name the template. 
    • Add description: Add a description so your teammates can quickly understand the uses for this template. 
    • Add tags: Use tags to identify and categorize tasks.

    • Choose to make the template public, private, or shared with specific people. You can only grant members full access to Space templates. Guests only have access to templates for Docs, tasks, views, checklists, and Whiteboards.
    • Import everything: Import the template exactly as is.
    • Customize import items: Import select items from the template.
  4. Click Save Template.

Any required views are saved when creating a Space Template and will be used when the Template is applied to new Spaces. 

Update a Space template

Create a new Space using an updated template.

To update a Space template:

  1. From the Sidebar, click the ellipsis ... next to the Space you want to use for your template.
  2. Select Templates, then Update existing Template.
  3. From the modal, browse or search for a template. 
  4. Select the template and click Next.
  5. From the Update existing Template modal, configure the following settings:
    • Template name: You can rename the template. 
    • Add description: You can add a new description. 
    • Add tags: Use tags to identify and categorize tasks.
    • Choose to make the template public, private, or shared with specific people. You can only grant members full access to Space templates. Guests only have access to templates for Docs, tasks, views, checklists, and Whiteboards.
    • Import everything: Import the template exactly as is.
    • Customize import items: Import select items from the template.
  6. Click Save Template.

Delete a Space template

Once you delete a template, it's gone forever!

To delete a Space template:

  1. From the Sidebar, click the ellipsis ... next to the Space.
  2. Select Templates, then Update existing Template.
  3. Select the template.
  4. From the Template Center modal, select Delete Template.
