Manage Custom Fields to make sure your data is captured and maintained consistently.
What you'll need
- 60 Custom Fields uses are available on the Free Forever Plan.
- Unlimited uses are available on paid plans.
- Hiding Custom Fields from guests is available on paid plans.
- Required Custom Fields are available on the Business, Business Plus, and Enterprise Plans.
- Individual Custom Fields can be hidden from all guests.

Require Custom Fields
Owners and admins can make Custom Fields required to help enforce processes and ensure data integrity.
Required Custom Fields need to be filled out when creating tasks in any locations the Custom Field is used in. You can make Required Custom Fields optional for subtasks.
Require Custom Fields from Task view 2.0
To make a Custom Field required using Task view 2.0:
- Open a task.
- In the lower-right of the Custom Field table, click + Add or edit fields to open the Custom Fields manager.
- Hover over a Custom Field and click Required.
- Click Save.
Require Custom Fields from Task view 3.0
To make a Custom Field required using Task view 3.0:
- Open a task.
- In the lower-left, click the caret icon next to Custom Fields.
- In the lower-right of the Custom Fields table, click + Add or edit fields to open the Custom Fields manager.
- Hover over a Custom Field and click Required.
- Click Save.
Require Custom Fields from the Sidebar
To make a Custom Field required from the Sidebar:
- Click the Space, Folder, or List ellipsis ... icon.
- Select the following:
- For Spaces, click More settings.
- For Folders, click Folder settings.
- For Lists, click List settings.
- Click Custom Fields.
- Hover over a Custom Field and click Required.
Enable manual sorting of Custom Fields
Workspace owners and admins can enable the option to sort Custom Fields manually rather than alphabetically. Although Custom Fields can be enabled for individual Spaces, this setting applies to all Custom Fields in your Workspace.
To set your sorting preference:
- Click your Workspace avatar.
- Select ClickApps.
- Browse or search for the Custom Fields ClickApp.
- Check the box to sort Custom Fields manually.
Manually sort Custom Fields
Custom Fields will always be sorted in the following order:
- Filled required Custom Fields
- Empty required Custom Fields
- Filled pinned Custom Fields
- Empty pinned Custom Fields
- Filled Custom Fields that are not required or pinned
- Empty Custom Fields that are not required or pinned
Once manual sorting is enabled, you can only change the order of your Custom Fields within these six categories.
For example, if List A has three required Custom Fields and three pinned Custom Fields, you can change the order of the three pinned Custom Fields but they will always appear below the three required Custom Fields.
Changing the order of Custom Fields won't impact Custom Field columns in List and Table views, but will update the order of Custom Fields shown on Board view and Calendar view.
You can reorder Custom Fields from a task or the Sidebar.
Manually sort Custom Fields from a task
To manually sort Custom Fields from a task:
- Open a task.
- Click + Add or edit fields to open the Custom Fields manager.
- Click and drag any Custom Field to reorder it.
- Click Save.
Manually sort Custom Fields from the Sidebar
To manually sort Custom Fields from the Sidebar:
- Click the Space, Folder, or List settings ellipsis ... icon.
- Select More.
- Click Custom Fields.
- Click and drag any Custom Field to reorder it.
- Changes will be automatically saved.
Hide Custom Fields from guests
On any of our paid plans, you can show or hide individual Custom Fields from all guests in your Workspace.
- Access the Custom Fields menu from a task or the Sidebar.
- From a task: Open a task, scroll to the Custom Fields section, and click + Add or edit fields.
- From the Sidebar: Click the Space, Folder, or List ellipsis ... to open the Settings menu. Select More, and then click Custom Fields.
- Hover to the right of a Custom Field.
- Click the Guests icon.
- Click the toggle to hide or show the Custom Field for all guests.
Move tasks with Custom Fields
When you move a task, we'll ask what you want to do with the Custom Fields in your task's current List that don't exist in the destination List.
Select one of the following options:
- Select all: All Custom Fields will be added to the destination List.
- Choose: Pick individual Custom Fields to transfer.
- Do nothing: Move the task without any Custom Fields.
