Super Agent instructions, triggers, tools, and knowledge

You can configure or edit a Super Agent's instructions, triggers, tools, and knowledge at any time.

To use Super Agents, you'll need to use ClickUp 4.0 and activate the AI ClickApp for your Workspace.

If you want to interact with Super Agents via Chat, you'll need to activate the Chat ClickApp.

Create a Super Agent

You can use our natural-language builder to create a Super Agent

The builder will help you customize your Super Agent's behavior, knowledge, and tools. 

Or, you can create a Super Agent from scratch, and configure the Super Agent from its profile

Open a Super Agent's profile

You can configure a Super Agent from its profile.

To open a Super Agent's profile from the AI Hub:

  1. Browse or filter for the Super Agent.
  2. Click on the Super Agent's Avatar.

To open a Super Agent's profile from a task comment, Chat message, or DM:

  1. From the open comment or message, click the Super Agent's avatar.
  2. The profile will open in a right sidebar.

Super Agent profile sections

The Agent tab on Super Agent profiles contain sections for Instructions, Triggers, Tools, and Knowledge & Memory. 

Use the arrows to the left of each section heading to expand and collapse each section as you review and configure your Super Agent.

The following table describes the sections available on the Agent tab of a Super Agent's profile:

Super Agent Profile section Description
Instructions Instructions tell your Super Agent what to do. Instructions are always required.
Triggers Triggers are signals to the Super Agent that it's time to act. When triggered, the Super Agent will do what you've outlined in its instructions, using its tools, and by searching available knowledge.
Tools

Tools allow the Super Agent to perform different jobs for you.

Memory

ClickUp Super Agents have infinite Memory. They can remember different types of knowledge, enabling them work more effectively as they boost your team's productivity.

Types of memory include:

  • Recent: Episodic memory of recent interactions.
  • Preferences:  Your Super Agent can learn from user feedback.
  • Intelligence: Your Super Agent automatically learns and store helpful memories at its own discretion.
Knowledge 

A Super Agent's knowledge is the data it has access to to do its job. You can select Workspace data source and external data sources.

You can also allow an Agent to access our public-facing help articles, external apps set up via Workspace Connected Search, and the web.

Edit a Super Agent

You can edit a Super Agent either of two ways:

  1. Chat with Brain to update the Super Agent.
  2. Manually configuring the Super Agent's settings from its profile.
     

Don't forget to upvote or downvote based on the quality of the Super Agent's responses!

Chat with Brain to update a Super Agent

To chat with Brain and update a Super Agent:

From the AI Hub:

  1. Browse or filter for the Super Agent.
  2. Click on the Super Agent's Avatar to open its profile.
  3. On the left, using the natural-language builder, send a message to Brain to start updating the Super Agent.
  4. Brain will work with you to clarify the updates you want to make, and automatically update the Super Agent accordingly.

Instructions

Instructions tell your Super Agent what to do. Instructions are always required.

Effective instructions outline the Super Agent's role and objective, as well as the steps to achieve successful outcomes.

Instructions are written in natural language, with some specific structure and formatting to ensure the Super Agent is successful.

You can use Brain to help craft the instructions for your Super Agent, or refer our prompting best practices.

Triggers

Triggers are signals to the Super Agent that it's time to act. When triggered, the Super Agent will do what you've outlined in its instructions, using its tools, and by searching available knowledge.

Most triggers require someone to manually contact the Super Agent. You can also have Super Agents run on a schedule, or Super Agents can be triggered by Automations.

You can give the Super Agent additional instructions for each Trigger. The Super Agent will follow the trigger-specific instructions along with their primary instructions.

The following table describes the available Super Agent triggers:

Trigger Description
Mention You can @mention the Super Agent in task comments, Doc comments, and Chat to request their expertise.
Direct Message Trigger the Super Agent in a private Direct Message (DM) conversation. This trigger allows anyone to have a direct message conversation with the Super Agent.
Assign task Set the Super Agent as a task assignee to trigger it.
Scheduled  The Super Agent will run on the selected schedule.
Automations Use the Super Agents Action to launch a Super Agent using an Automation.

Configure a Super Agent's triggers

To configure a Super Agent's triggers:

  1. From the Super Agent's profile, scroll down to the Triggers section. 
  2. To activate or deactivate a trigger, click the toggle to the right of the trigger.

Edit additional instructions for each trigger

You can edit the additional instructions used by manual or scheduled triggers at any time.

To edit a trigger prompt:

  1. From the Super Agent's profile, scroll down to the Triggers section. 
  2. Hover over a manual or scheduled trigger.
  3. Click Edit Prompt.
  4. Edit the additional instructions.
  5. Click Save.

Add a scheduled trigger

To add a scheduled trigger:

  1. From the Super Agent's profile, scroll down to the Triggers section. 
  2. Click Add Schedule.
  3. Configure the schedule.
  4. Click Advanced to configure timezone and when the schedule ends.
  5. Enter any additional instructions.
  6. Click Save.

Delete a schedule trigger

To delete a schedule trigger for a Super Agent:

  1. From the Super Agent's profile, scroll down to the Triggers section.
  2. Hover over a schedule trigger.
  3. Click the Trash can icon.
  4. Review the warning.
  5. Click Delete.

Scheduling options for Super Agents

The following table describes the scheduling options available to trigger Super Agents:

Scheduling option Description
Repeat

Specify the cadence for the Super Agent to run on.

For example, Weekly on Wednesday.

At Specify the time the Trigger should run.
Starts Specify the first date of the schedule.
Advanced

Advanced settings include:

  • Timezone: Configure the timezone the Super Agent schedule runs on. By default, this is the timezone of the user who created the Super Agent.
  • Ends: Select when the Schedule should end. By default, this is Never. Once the end date arrives, the Super Agent will not be triggered by the schedule.
Instructions Give the Super Agent additional instructions to follow.

View Automations that trigger Super Agents

Each Automation that triggers a Super Agent is displayed in the on the Super Agent's profile.

Create an Automation that triggers a Super Agent

You cannot create an Automation from a Super Agent's profile.

To create an Automation that triggers a Super Agent:

  1. Navigate to a Space, Folder, List, or Channel in your Workspace.
  2. Create an Automation
  3. From the Action dropdown, select Super Agents.
  4. Select a Super Agent.
  5. Customize the additional instructions for the Automation.
  6. Configure the rest of your Automation.
  7. Click Create.

Tools

Tools allow the Super Agent to perform different jobs for you. 

Learn which tools are available to Super Agents.

You can also add Super Agent tools from both Workspace and personal connections to your Super Agents. 

By adding personal app knowledge to a Super Agent, you'll expose data from the connected app to anyone who can interact with the Super Agent. Learn more.

You can hover over a toolset to see the individual tools it includes.

Add tools

To add tools to a Super Agent:

  1. From the Super Agent's profile, scroll down to the Tools section.
  2. Click Add tools.
  3. In the Add tool modal, search or browse for a tool or toolset. You can hover over a toolset to see the individual tools it includes.
  4. Click on a tool or toolset to add it to your Super Agent.
  5. Click Close to return to your Super Agent's profile, or continue adding more tools.
  6. Click Save to update your Super Agent.

Default tools

When creating a Super Agent from scratch, the Super Agent will be given a toolset called Default tools. It includes the tools for the Super Agent to perform basic actions.

You can hover over the Default Tools toolset to see its individual tools.

Remove a tool

You can remove tools from Super Agents at any time. 

Removing tools may cause the Super Agent to be unable to perform some or all of their instructions.

To remove a tool:

  1. From the Super Agent's profile, scroll down to the Tools section.

  2. Hover a tool.

  3. On the right, click the x icon.

Knowledge & Memory

Super Agents have the ability to gather information and context in order to do their work.

Super Agents can find information from:

  • Their own Memory.
  • Selected locations in your Workspace.
  • External apps, through Connected Search.

You can customize each type of Knowledge and Memory each Super Agent can use.

Privacy of Knowledge and Memory

If private or external data is shared with the Super Agent, it can use that data when responding to anyone who has permission to trigger the Super Agent, even if they don't have access to the data directly.

Responses, or any other content Super Agents generate, are visible to anyone with access to that response or content.

Super Agent Memory

Super Agents have Memory. They can remember different types of knowledge, enabling them to work more effectively as they boost your team's productivity.

There are three types of memory available to Super Agents:

  • Recent: Memory of recent interactions.
  • Preferences: Additional requirements to guide Super Agent responses.
  • Intelligence: Super Agents can decide to keep information in their memory to use later on.

You can enable any combination of the three types of memory for each Super Agent.

Activate Super Agent Memory

To activate Memory, from a Super Agent's profile:

  1. Scroll down to the Knowledge & Memory section.
  2. Click the toggle to activate or deactivate each type of memory.
  3. Your Super Agent will start using memory features to improve its+ replies and actions.

You can also view and edit a Super Agent's memories.

Super Agent Knowledge

The Super Agent's knowledge is the data it has access to to do its job. 

You can select Workspace data source and external data sources. Most external sources are apps that need to be connected to your Workspace to be used.

So that Super Agents can be truly ambient teammates, they are required to have access to all public locations and items in your Workspace.

Add Knowledge sources

To configure the Super Agent's knowledge:

  1. From the Super Agent's profile, scroll down to the Knowledge & Memory section.
  2. To activate each data source, click the toggle to the right of the source. 
  3. To add location or items from your Workspace, click add from ClickUp.
  4. To add external apps through Connected Search, click Add connection.
  5. Click Save to update your Super Agent.

Knowledge sources

The following table describes the knowledge sources available to a Super Agent:

Knowledge section Option Description
Workspace Access Your Workspace

Access to all the public Workspace locations and items, including tasks, comments, Chat Channels, and Docs in your Workspace is required.

You can select location and items that you want a Super Agent to specifically focus on.

Add from ClickUp

Options include:

  • Spaces & Lists: Select one or more Spaces, Folders, or Lists.
  • Tasks, Docs, Chats: Search or browse recent tasks, Docs, and Chats
External Search Web search Give your Super Agent the ability to search the web to inform it's responses.
ClickUp Help Center This enables the Super Agent to answer questions about how to use ClickUp from our Help Center articles.
External storage apps

Options include:

  • Box
  • Confluence
  • Google Drive
Add connection Select an external app that supports Connected Search.

Remove Knowledge sources

You can remove Knowledge sources at any time.

Removing knowledge sources may cause the Super Agent to be less helpful.

To remove a knowledge source:

  1. From the Super Agent's profile, scroll down to the Knowledge & Memory section.
  2. Hover over a section, or expand the section to remove specific locations or items.
  3. On the right, click the x icon.
