Requiring people to log in to a Workspace to open attachments securely is easy and seamless!
The Private Attachment Links setting requires that the person accessing a Workspace attachment is logged into that Workspace.
Private Attachment Links availability
The Private Attachment Links setting is available on all plans.
Private Attachment Links is currently in beta. This feature is gradually being released to all Workspaces.
Activate Private Attachment Links
Private Attachment Links is an Advanced Permission setting that is deactivated by default. Attachment URLs consist of an unguessable, randomized string of characters. Private Attachment Links will apply to existing and newly uploaded attachments after the feature is activated.
Owners and admins can activate this feature.
To activate Private Attachment Links:
- In the upper-left corner, click your Workspace avatar.
- Select Settings then Security & Permissions.
- Scroll down to the Advanced Permissions section.
- To the left of Private Attachment Links, click the toggle on.
Public sharing outside of your Workspace
The locations and items these attachment links are attached to can still be shared publicly. When a Workspace item is publicly shared, its attachments are also shared and will no longer require authentication to view.
Attachments added to your Notepad notes and reminders are private to you. Regardless of this setting, they cannot be accessed by another person.
Attachments not supported by this setting
Following are attachments that do not currently require authentication by the Private Attachments setting:
- Clips: Clips are shared publicly and do not require authentication. Clip URLs consist of an unguessable, randomized string of characters. Workspace owners and admins can activate or deactivate the Clips ClickApp.
- SyncUp recordings: SyncUp recordings are Clips. They are shared publicly and do not require authentication. SyncUp recording URLs consist of an unguessable, randomized string of characters. Workspace owners and admins can enable or disable SyncUp recordings by activating or deactivating the Clips ClickApp.
- Imports and exports: Authentication of imports and exports is being released over time. Owners and admins can use custom permissions to limit who can import and export in their Workspace.
- If a Workspace item is publicly shared, attachments of that item are also shared and will no longer require authentication to view.
