Manually sort Custom Fields

Change how Custom Fields are sorted in tasks across your Workspace.

What you'll need

  • 60 Custom Field uses are available on the Free Forever Plan.
  • Unlimited uses are available on paid plans.
  • Workspace owners on the Business Plus and Enterprise Plans can use custom role permissions to manage Custom Fields.
  • Individual Custom Fields can be hidden from all guests.
  • Guests with edit or full permissions can edit existing Custom Fields, but cannot create new ones.
  • You can pin Custom Fields on the Business Plan and up. 

Custom Fields sorting in tasks

Custom Fields are always sorted in the following order:

  1. Filled required Custom Fields, from largest Hierarchy location to smallest.

    Progress (Auto) Custom Fields are always considered filled.

  2. Empty required Custom Fields, from largest Hierarchy location to smallest.
  3. Filled pinned Custom Fields, from largest Hierarchy location to smallest.
  4. Empty pinned Custom Fields, from largest Hierarchy location to smallest.
  5. All other filled Custom Fields, from largest Hierarchy location to smallest.
  6. All other empty Custom Fields, from largest Hierarchy location to smallest.

Once manual sorting is enabled, you can only change the order of your Custom Fields within these six categories. 

For example, List A has three required Custom Fields and three pinned Custom Fields. You can change the order of the three pinned Custom Fields, but they will always display below the three required Custom Fields. 

Changing the order of Custom Fields won't impact Custom Field columns in List and Table views, but will update the order of Custom Fields shown in Board view and Calendar view.

Tasks in Multiple Lists

When looking at a task that is in multiple Lists, List-level Custom Fields from other Lists display above List-level Custom Fields from its home List.

Enable manual Custom Fields sorting

To enable manual sorting of Custom Fields:

  1. Navigate to your ClickApps.
  2. On the Custom Fields ClickApp, click the button next to Sort Custom Fields manually instead of alphabetically.

Manually sort Custom Fields

After enabled, you can manually sort Custom Fields from the Sidebar using the Custom Field Manager.

From the Sidebar:

  1. Click the Space, Folder, or List settings ellipsis ... icon.
  2. Select settings.
  3. Click Custom Fields to open the Custom Field Manager.
  4. In the upper-right corner, click the Reorder toggle.
  5. Use the drag handles to the left of Custom Fields to reorder them within their categories.
  6. Changes are automatically saved.
