List Info

Most people use Lists in ClickUp to group together related tasks, and often there is information that applies to all those tasks.

List Info gives you a convenient place for details like List description, you can add a List owner, priority, comments, attachments and more!

List Info details

You can add the following details to any List Info:

  1. Start Dates: Indicate a date to begin working on tasks

  2. Due Dates: Let your team know when items needs to be completed

  3. Descriptions: This is the perfect place to shed light on goals or have a chat with teammates

  4. Time Estimated: See the cumulative time estimated to complete tasks and subtasks in the List

  5. Time Tracked: See cumulative time tracked in all tasks and subtasks within a List

  6. Attachments: Upload files to quickly reference and keep important items attached to a List

  7. Priority: Define the level of urgency for your List (urgent, high, normal, low)

  8. Owners: Assign a List to a member in your Workspace

  9. Watchers: Add people as Watchers to receive notifications about updates that occur in the List

  10. Statuses: Set up custom workflows for your List

  11. Comments: Discuss the list of tasks with your teammates

  12. Colors: Customize list colors with text labels to use colors as statuses, tags, or anything you choose

  13. Sharing and Permissions: Adjust privacy and permissions settings for the List

  14. Automations: great for an efficiency boost in your workflows!

Access List Info

The List Info sidebar can be opened:

  • By clicking Add Details under the List name on any view

  • By clicking the small i icon in List view

  • From the List settings menu in your Sidebar

  • Adding a description from List view when grouped by Status

If the List already has a List Info description or comments, you can open List Info by clicking on the icons under the List name on any view

Show List Info details in List view

You can add, show, or hide the List Info description and the number of comments in a List view when grouping by Status.

  1. Open a List view that is grouped by Status

  2. Hover to the right of the List name

  3. Click Add description or Add comment

  4. The List Info sidebar opens to allow you to edit List Info

  5. Once a comment is added, the number of comments will be displayed above tasks

  6. You can click on the number of comments to open the List Info and comments sidebar

  7. Once a description is added, it will be displayed above tasks

  8. Hover to the right of the List name to Show description or Hide description

List Info and Portfolios

Sections of List Info are highly relevant in Portfolios and Portfolio widgets, which are great for a high-level overview of the progress of tasks by List! In Portfolios, you are able to show List Info details such as start date, due date, priority, assignee, and more!

Who has access to List Info? Can guests see it?

Anyone that has access to a List will also have access to the List Info. This includes guests. List info is not available to people outside of your Workspace, for example, someone viewing the List through a publicly shared link.

Guests will not be able to edit List Info, but if they have full create & edit permissions, they can comment and upload attachments. Additionally, if you hide Time Tracking or Time Estimates from guests, they will not see that information in List Info.

Notifications for List Info

When added as a List watcher, you’ll receive in-app notifications when updates occur in the List Info section (i.e. an attachment or comment is added, priority changed, etc.).

You can also set up granular notifications for Lists via email, mobile or browser:

  1. Click on your profile avatar in the lower left corner of the screen

  2. Select “Notifications”

  3. Scroll down to the “List Info” section

  4. Enable the types of notifications you’d like to receive for Lists you are watching
