Time Tracking cards

For time tracking reporting in ClickUp, use cards to build your own Time Tracking Dashboard.

What you'll need

  • Time Tracking cards are available on all paid ClickUp plans.
    • Time Reporting, Time Estimated, and Time Tracked cards are available on the Unlimited Plan and above.
    • Timesheet and Billable Report cards are available on the Business Plan and above.
    • Exporting Time Tracking cards is available on the Business Plan and above. 
  • The Dashboards ClickApp is enabled in every new Workspace by default, but a Workspace owner or admin may disable the ClickApp.
  • Guests can be invited to specific Dashboards with view-only permissions.
  • Users on the Business Plan and above can export Time Tracking card data. You can search for Custom Fields to add them to your Dashboard card.
  • When a person is removed from your Workspace, their time tracking data will not be removed and still be shown in Time Tracking cards.

Our support team no longer troubleshoots related bugs for the Time Estimated and Time Tracked Legacy cards. These cards will eventually be phased out. 

Time tracking card types

There are several customizable Time Tracking cards designed to meet your reporting needs.

Time Reporting card

See all your time entries, filter by multiple properties, and display in customizable groups. Tasks must have time tracked to be included in the Time Reporting card. Date-defined filters will only show tasks that have time tracked within that period.

  • Group by Space, Folder, List, task, or user. You can group by one or two options. 
  • Enable the Time Estimates option to display the estimated time in a column.
  • Select billable or non-billable time entries from the dropdown.
  • Enable the Include subtasks option to include subtask and nested subtask data. 

The Time Reporting card exports can take up to 10 minutes to complete.

Timesheet card

See time tracked for a given week, month, or any custom range.

When you enable the Me mode filter, tasks only display if you are assigned to them and have time tracked on them.

  • Drill down to the task and the individual time entry.
  • Show time grouped by day and compare against a 12-hour day.
  • Get a total of time per selected time range.

To change the time from a 12-hour day, you can set the default number of hours in a workday in the Time Estimates ClickApp.

Billable Report

Similar to the time reporting card, billable time is a quick way to display a report with only billable time.

Time Estimated (legacy)

Quickly view time as a team resource for planning projects.

  • The time remaining indicator calculates (time estimated) – (time logged) to determine if your goals are on schedule.
  • This report does not provide a time period filter. Time estimated is not related to exact dates. Adding a time period filter for this feature would render its comparison with the time tracked feature useless.
  • This card also gives you the ability to export much more data.

Time Tracked (legacy)

See the total of how much time each person in your Workspace has tracked.

  • With cumulative time tracking logs for each Workspace user, there’s accurate information on how time-consuming a List of tasks has been
  • This includes time tracked manually and automatically, such as with the ClickUp Chrome extension, Toggl and Harvest
  • Enable the Include subtasks option to include subtask and nested subtask data
  • Export the data for even more information
    • In your export, the User Period Time Spent column displays the time tracked by the user on the task you're looking at during the range you selected in the card settings. The Task Time Spent column displays the time that the user spent in total on the task you're looking at.

Create a Time Tracking card

You can create Time Tracking cards for new or existing Dashboards:

Cards do not automatically include data for subtasks. If you want to see the time tracked on subtasks and nested subtasks, you must select Include subtasks when you create the time tracking card. 

  1. In the Sidebar, click Dashboards to open the Dashboards Hub. Select a Dashboard.
  2. In the upper-right corner, click + Add card.
  3. In the left sidebar, click Time Tracking.
  4. Choose a card type.
  5. Customize your card.
  6. In the lower-right corner, click Add card.

Guests and people with view-only permissions can set a time range and choose time entry labels, but cannot filter by people or select grouping options.
To edit your Time Tracking card settings, in the upper-left corner of your Dashboard view click the Edit mode toggle to on.

Customization options

Customization options vary based on card type. The following options are available for most Time Tracking cards:

Customization option Description
Time range Choose a preselected or custom time range to report on.
Time Tags Filter time entries by specific labels.
People Choose which users you want to see time tracking data for in your report.
Billable Choose whether you want to display billable time, non-billable time, or both.
Show Time Estimates

Choose to display time estimates in the data.

Include archived

Choose to include archived tasks in the data.

Include Tasks in Multiple Lists

Toggle on to display time tracked from tasks in Multiple Lists.

This option is only available for the Time Estimated (legacy) and Time Tracked (legacy) cards.

Include subtasks

Choose to include subtasks in your reporting.

This option is available for the Time Reporting, Billable Report, and Time Tracked (legacy) cards.

Task Filter

Add additional filters to further adjust the scope of your card.

Export data from a Time Tracking card

Users on the Business Plan and above can export Time Tracking card data.

To export data:

  1. Open a Dashboard.
  2. At the top, click the Edit mode toggle to on.
  3. Hover over the card you want to export.
  4. In the upper-right corner of the card, click the ellipsis ... menu.
    • To export legacy cards, click the download icon below the ellipsis ... menu.
  5. Click Export.

When exporting data from the Time Tracked (legacy) card, the User Period Time Spent column represents the time tracked by the user on the task you're looking at during the range you selected in the card settings. The Task Time Spent column represents the time that the user spent in total on the task you're looking at.

Card options

Once your card is created, you can hover over it to display several options in the upper-right corner.

Your Dashboard must be in Edit mode to see all options. In the upper-left corner, click the toggle to enable or disable Edit mode.

Export Time Tracking data

To export time tracking data, click the ellipsis ... menu in the upper-right corner of your card and select Export to download its data in CSV format. On legacy Time Tracking cards, click the download icon in the upper-right corner.

You'll see the following columns when you export:

Column name Description
Username The name of the person who tracked time on the entry.
Time Entry ID The unique ID associated with the entry.
Description If a description was added to the entry, see it in this column.
Billable If the entry was marked billable, TRUE appears in this column. If it was not, FALSE appears.
Time Labels Any labels applied to this entry.
Start Text The exact start time and date of the entry.
Stop Text The exact stop time and date of the entry.
Time Tracked The amount of time tracked for this entry in milliseconds.
Time Tracked Text The exact amount of time tracked for this entry.
