Intro to timesheets

Use timesheets to view, track, and review time tracked on tasks across your Workspace.

What you'll need

  • Unlimited uses of timesheets are available on the Business Plan and above.
  • 100 uses of timesheets are available on the Free Forever and Unlimited Plans.
  • Everyone, including guests, can use timesheets.
  • Only the Workspace owner and admins can access the All timesheets tab.
  • The View Team Timesheets custom role permission is available on the Business Plus and Enterprise Plans.

Open timesheets

To open timesheets:

  1. In the Sidebar, click More.
  2. Select Timesheets.
    • To pin timesheets to your Sidebar, click the pin icon.

Edit the date range

To change the date range you're viewing, you can use the left and right arrows or click the currently displayed date range.

Filter tasks 

Use the three filtering options under the date range to filter tasks in your timesheet:

  • Billing: Show time that is billable, non-billable, or both. 
  • Tag: Show time with a specific time tracking label.
  • Tracked time: Show time with a specific amount of tracked time. 

In the All timesheets tab, you can also use the All members dropdown in the upper-right to filter by specific people or Teams

My timesheet

Use the My timesheet tab in the upper-left to see time tracked by task in an organized table.

My timesheet has two display options you can use in the upper-right corner:

  • Timesheet: View time entries based on task for the given time range. This is the default.
  • Time entries: View all time entries by date for the given time range.

Timesheet

Click the Timesheet button in the upper-right corner to display time entries by task. Click the expand icon to the left of any task to expand or collapse its time entries.

Task location is shown directly beneath each task. Click the arrow to the left a task name to expand it and view each time entry individually.

On the right, you can hover over any date to see more information about the task's time tracked on that date:

  • Total capacity: Total capacity for that date.
  • Tracked time: Total tracked time for that date.
    • Billable: Total billable tracked time for that date.
    • Non-billable: Total non-billable tracked time for that date.
  • Remaining/Over capacity: Total amount of time tracked remaining or over the capacity for that date.

Click the total tracked time or the tracked time by date to edit the time entry.

Click any task name or hover over an entry and click the Open task icon to open the task in Task view.

Start, add, or edit time entries

Click the start button to the right of a task to begin tracking time. The timer will always track time for the current day.

Add or edit time entries by clicking the time entry cell for any date and typing the amount of time you'd like to record.

If there is already recorded time in a cell, any time that you add will create a new time entry based on the difference between the original value and the value you add. For example, if a cell has 1 hour and you type 2 hours, a new 1-hour time entry will be added to the cell to reach the new total.

You can also hover over a time entry cell and click the Add entry button to enter time using Time Tracking.

You can use the ellipsis ... at the end of a time entry row to make changes to a time entry:

  • Change date: Move the time entry to a different date.
  • Move to Task: Move the time entry to a different task.
  • Remove from Task: Remove the time entry from the task. This option will move the time entry to a No task selected category on your timesheet.
  • Delete Entry: Delete the time entry.

To delete all time entries for a task, click the ellipsis ... in the Total column and select Delete row. Deleting a row will delete all time entries on a task.

Mark entries as billable, add time labels, and add time entry descriptions

Click the billable icon to mark the time entry as either billable or non-billable.

You can also add time labels or descriptions to each time entry by using the Add tags and Add note icons on each row.

Time entries

Click the Time entries button in the upper-right corner to display time entries by date. Click the expand icon to the left of any date to expand or collapse its tasks.

Edit time entries

You can edit the time tracked for any time entry by clicking the time in the Start Time, End Time, or Tracked Time columns.

Use the ellipsis ... at the end of a time entry row to make changes to a time entry:

  • Change date: Move the time entry to a different date.
  • Move to Task: Move the time entry to a different task.
  • Remove from Task: Remove the time entry from the task. This option will move the time entry to a No task selected category on your timesheet.
  • Delete Entry: Delete the time entry.

Mark entries as billable, add time labels, and add time entry descriptions

Use the following columns to add context to your time entries:

  • Description: Add a description to any time entry.
  • Billable: Mark a time entry as billable or non-billable.
  • Tags: Add labels to any time entry.

Customize your capacity settings

To update your capacity:

  1. Click the settings icon in the upper-right corner.
  2. In the Weekly Hours field, input your capacity.

  3. Click Save.

If you're on the Business Plus Plan and above, you can set a daily capacity using the dropdown menu.

All timesheets

Use the All timesheets tab in the upper-left to see time tracked for all Workspace members. 

Only Workspace owners and admins can see this tab.

On the left, you'll see everyone's weekly capacities below their names. To the right, you can hover over any day to see more information about their time tracked on that date:

  • Total capacity: Total capacity for that date.
  • Tracked time: Total tracked time for that date.
    • Billable: Total billable tracked time for that date.
    • Non-billable: Total non-billable tracked time for that date.
  • Remaining/Over capacity: Total amount of time tracked remaining or over the capacity for that date.

To open someone's individual timesheet, click their name or the Open button.

Edit others' capacity

Admins and owners can edit others' capacity:

  1. Hover over the person's name.
  2. Click the settings icon.

  3. In the sidebar, set a new capacity. 
  4. Click Save.

Timesheet permissions

Workspaces on the Business Plus and Enterprise Plans can enable or disable the View Team Timesheets custom role permission, which determines which user roles can view team timesheets.
