Use ClickUp for marketing campaign management

Marketing teams run on deadlines, handoffs, and approvals. When campaign tasks live in one tool, creative files in another, and approvals in email, things fall through the gaps.

Set up your Workspace for marketing

The right structure means every campaign, channel, and deliverable has a clear home. A reliable starting point:

Once your Lists are created, add Custom Fields to each campaign List. These fields capture the context your team needs at a glance without opening every task:

Custom Fields set at the List level are inherited by every task in that List. When you create the next campaign, duplicate the List and the entire field structure comes with it.

Plan content with Calendar view

Once tasks have publish dates, Calendar view turns your content List into a live publishing schedule.

To set this up:

  1. Open the campaign List and click + View in the Views bar.
  2. Select Calendar. Tasks with due dates appear on the calendar immediately.
  3. Open Customize in the upper-right corner, select Fields, and enable Channel, Owner, and Status to show on each calendar card.
  4. Use the time period selector in the upper-left corner to switch between Day, Week, and Month. Week view works best during active production weeks. Month gives the clearest picture of publishing density.

 

From the calendar, dragging any task to a new date reschedules it instantly. No manual status update or separate edit required. To create a new piece of content, click any empty day and a new task is created with that date already set.

To filter the calendar by channel or person:

  1. In the upper-right corner, click Filter or the filter icon.
  2. Select Assignee and choose a team member to see only their tasks, or select your Channel Custom Field and filter to a specific platform.

Run campaign stages in Board view

Board view gives every campaign a visual workflow where the status of every piece of work is clear at a glance. To set it up:

  1. Open the campaign List and click + View in the Views Bar.
  2. Select Board.

 

Move tasks between columns by dragging them. The status updates instantly and any Automation triggered by that status change fires automatically.

During planning, switch the board from a workflow view to a Workload view by clicking the current grouping option in the upper-left corner and selecting Assignee.

Each team member becomes their own column, showing everything they own in one place. Switch back to Status grouping for weekly campaign reviews using the same button.

To control what appears on each card:

  1. In the upper-right corner, click Customize or settings icon.
  2. Select Fields.
  3. Show your Channel and Owner Custom Fields.

 

The team can see what platform a task belongs to and who owns it without clicking into the task.

Run creative reviews with Proofing

When design mockups, ad creatives, or PDF briefs need feedback, email chains create ambiguity. "The button in the bottom right of the hero" means something different to everyone. Proofing pins feedback directly on the file so there is no ambiguity about what needs to change.

Assigned Proofing comments stay open until the assignee marks them resolved. When resolved, the comment stays in the history so there is a permanent record of what was requested and what was addressed.

Guests with comment permissions can use Proofing, so freelancers and external stakeholders give feedback directly on the file without accessing anything else in your Workspace.

Proofing works on images including PNG, GIF, JPEG, and WEBP, videos including MP4, WEBM, and OGG, and PDFs. Unlimited use requires the Business plan.

Automate campaign handoffs

The manual steps that slow campaigns down most are the ones that happen on every task, every time. To create any of the Automations below, click the Automate button or lightning bolt icon from the campaign List, then click Create Automation.

Auto-assign tasks on status change

Set this up so reviewers are notified the moment something is ready for them, without anyone sending a message.

To auto-assign tasks on status change:

  1. Set the Trigger to Status changed.
  2. Set the Condition to Status is In Review.
  3. Set the Action to Update assignees and select the approver.
  4. Add a second Action: Add comment with the text "@[approver] this is ready for your review."
  5. Click Create.

Flag overdue content automatically

To flag overdue content automatically:

  1. Set the Trigger to Due date arrives.
  2. Add a Condition: Status is not Approved and Status is not Published.
  3. Set the Action to Add comment with the text "This task is overdue and has not been approved. Please update."
  4. Click Create.

Route new tasks by channel

To route new tasks by channel:

  1. Set the Trigger to Task or subtask created.
  2. Add a Condition: Channel is Social.
  3. Set the Action to Update assignees and select the social media manager.
  4. Click Create.
  5. Repeat with separate Automations for Email, Paid, and SEO.

 

Every new task lands with the right owner automatically, regardless of who created it.

Build a campaign Dashboard

A campaign Dashboard shows every marketing lead whether the campaign is on track without anyone pulling data manually. Open or create a Dashboard and click + Card to build it.

Card Description
Task List card This gives a live view of every task, its status, and its owner sorted by deadline. Pin it at the top of the Dashboard. Anyone opening it sees immediately what's in flight and what's late.
Workload by Status card If one person is carrying 14 tasks and two others are carrying three each, the imbalance is visible immediately rather than surfacing when someone misses a deadline.
