Managing multiple calendars means keeping project deadlines, team schedules, and external meetings visible in one place without toggling between tools.
In ClickUp, Calendar view can pull tasks from multiple Lists, Folders, or Spaces into a single calendar, and the Google Calendar and Outlook Calendar integrations display external events alongside your project work.
What you'll need
- Calendar view is available on every ClickUp plan.
- The Google Calendar and Outlook Calendar integrations are available on every plan.
- The iCal sync is available on every plan.
View multiple project calendars in one place
By default, a Calendar view added to a List shows only the tasks in that List. To see tasks across multiple projects at once, add Calendar view at a higher level of your Workspace Hierarchy:
- Folder-level Calendar view shows all tasks across every List in that Folder. Useful for a single team managing multiple parallel workstreams.
- Space-level Calendar view shows all tasks across every Folder and List in that Space. Useful for a department or function seeing their full calendar in one place.
- Everything-level Calendar view shows tasks across your entire Workspace. Useful for managers who need visibility across multiple teams simultaneously.
To add Calendar view at any of these levels:
- Open a Space, Folder, List, or All tasks.
- In the Views Bar at the top, click + View and select Calendar.
Once the view is open, use filters to focus on what matters. Click Filter in the upper-right corner to filter by:
- Assignee: See one person's full workload across all projects.
- List: Isolate a specific project within the combined view.
- Priority: Surface only urgent or high-priority deadlines.
- Status: Hide completed work and see only what's active.
Save any filtered configuration as a named view so the team can switch between views like "My deadlines," "Team launches," or "Client milestones" without rebuilding the filters each time.
How to sync external calendars
Project tasks are only part of the picture. Meeting schedules, client calls, and personal commitments all affect how much capacity actually exists on any given day. ClickUp's calendar integrations bring those events into the same view as your tasks.
Add Google Calendar events to Calendar view
The Google Calendar integration is available on every plan and syncs both ways. Events created or updated in Google Calendar appear in ClickUp's Calendar view, and tasks synced from ClickUp appear in Google Calendar.
After you've connected your Google Calendar account:
- Open a Calendar view.
- In the right sidebar, scroll down and click Your calendars to expand available calendars.
- Select the Google Calendar you want to show.
- Google Calendar events will sync with all of your Calendar views.
Google Calendar events appear alongside your ClickUp tasks on the same calendar. The integration is personal, meaning your Google Calendar is visible only to you, not to other members of your Workspace.
Outlook Calendar and iCal
The Outlook Calendar integration works the same way as Google Calendar and is available on every plan. Connect it from the App Center by searching for Outlook Calendar.
For Apple Calendar and other iCal-compatible tools, ClickUp's iCal sync exports your tasks as a calendar feed you can subscribe to from any iCal-compatible app. The iCal sync is one-way. Changes made in ClickUp appear in your external calendar, but changes in the external calendar do not sync back to ClickUp.
How to organize overlapping schedules
Once multiple sources are feeding into a single Calendar view, visual organization becomes important. Two tools help here.
Color coding by List
To set task colors to display by List:
- In the upper-right corner of Calendar view, click Customize or the settings icon.
- Click Color tasks by.
- Select List.
Each project gets a distinct color on the calendar, making it immediately clear which tasks belong to which work stream without opening them.
Saved filtered views
Create a saved view for each common perspective your team uses. A project manager might save three versions of the same base calendar:
- "All active work" showing every task from every List with no filters.
- "My assignments" filtered by their own name as assignee.
- "This week's deadlines" filtered to the current week with high and urgent priority only.
Pin the views you use most to the Views bar so they stay accessible from any location in your Workspace.

FAQ
Common questions about managing multiple calendars in ClickUp.
Can I see my Google Calendar events and ClickUp tasks on one calendar?
Yes. Connect Google Calendar from the App Center, then open any Calendar view and enable your Google calendars from the right sidebar. Events and tasks appear together on the same grid. The integration is personal and two-way: changes in either tool sync to the other automatically.
How do I share a combined calendar with my team?
Create a Calendar view at the Space or Folder level and share it via a public link. Anyone with the link can view the calendar without a ClickUp account. For internal sharing, add the view to a shared Space so team members can access it directly from their sidebar.
Can I manage personal and work calendars separately in ClickUp?
Yes. Connect multiple Google Calendars from the App Center and toggle each one on or off from the Calendar view sidebar. You can show your work calendar on a shared team view and keep a personal calendar visible only on your individual view using the Private view setting.
