Set capacity limits in Workload view

Set limits for each person so everyone can visualize if they are over or under capacity. You can only set capacity limits when grouping by assignee.

Workspace members can set capacity for themselves. Admins, Workspace owners, and managers can set capacity for themselves and others.

Each person's capacity limit is applied to Workload views throughout your Workspace.

Workload capacity options

You can set different capacities for:

  • Each person with at least one assigned task.
  • Each method you use to measure your work.
  • Each day of the week. Select which days a person works, and set the hours for each of those days.

Weekly capacity is the total of a person's working days, not a fixed five-day week. For example, someone who works four days at 8h each has 32h of weekly capacity.

Set assignee capacity

To set capacity for an assignee:

  1. Next to the assignee's name on the left, click their capacity, such as 0h/40h.
  2. In the Set capacity menu, enter the assignee's capacity based on the selected measurement:
    • Time estimates: Use natural language to set a capacity limit in minutes, hours, days, weeks, or months. For example, 1h or 1d.
    • Tasks: Set a number of tasks.
    • Sprint points: Set a number of sprint points.
  3. Click Save.

The Set capacity menu contains:

  • Default Work Schedule: The current Workspace default, such as Mon - Fr, 8h/day, 40h/week. Click Edit to make changes.
  • Weekly Hours: The person's weekly capacity. This value is the total of their working days.
  • A checkbox and an hours field for each day of the week. Clear a day to make it non-working. Change a day's hours to give that day its own capacity.

Capacity you set manually remains when the Workspace work schedule changes. Click Reset to return the person to the Workspace default.

Set your capacity from Timesheets

You can set your own capacity outside of Workload view:

  1. In the Sidebar, select Timesheets.
    • If Timesheet is not pinned, click More, then click Timesheets.
  2. Click My timesheet.
  3. In the upper-right corner, click Configure.
  4. Expand Weekly Hours and set your days and hours.
  5. Click Save.

You can only set your own capacity from Timesheets. To set capacity for other people, use Workload view.
