Start and due dates

To appear on the workload canvas, tasks must have either a start date or due date.

Tasks with at least a start or due date and that meet the group by criteria automatically appear in the Workload canvas.

For example, a new task is created from List view with a due date.

Once the task is assigned to Alex, it automatically appears in Workload view in Alex's row, on the selected due date.

Workloads per task

Each task's workload represents the amount of work required to complete the task.

For example, a task with a time estimate of 8 hours has a workload of 8 hours.

The workload for each task is divided evenly between the available weekdays from the start date to the due date.

For example, a task is scheduled to start on Monday and is due on Tuesday. The task has a time estimate of eight hours.

On the workload canvas, the task is displayed as four hours on Monday and four hours on Tuesday.

Working weekends

Saturdays and Sundays have no capacity by default. Tasks scheduled on a day with no capacity display in red.

On Business Plus or Enterprise Plans you can set daily capacity for specific days, including weekends.

Add tasks

You can easily add new or existing tasks to a Workload view:

  • Click anywhere on the workload canvas to add a task.
  • You can either search for an existing task or create a new one.

The grouping, start, and due dates of a new task automatically update to match what is set for the row and columns where the task is added.

For example, in a Workload view grouped by Assignee, creating a task by clicking in Alex's row will automatically assign the new task to Alex.

Update tasks

You can quickly update tasks from Workload view:
  • Click and drag the left end of a task to adjust the start date.
  • Click and drag the right end of a task to adjust the due date.
  • Click the drag a task to schedule both the start and due dates.
  • Click and drag a task into another group to update the group by value. For example, drag a task into a different row to reassign it to someone else.

Use the tasks sidebar

Drag and drop tasks from the sidebar on the right to set or update their due date.

The tasks sidebar includes:

  • Overdue: Tasks where the due date is earlier than today.
  • No estimate: Tasks without time estimates.

    This section is only displayed when using Time Estimates to measure workload.

  • Unscheduled: Tasks without a start or due date.
