Protect Docs and pages

Protecting a page or Doc prevents unwanted changes to the content of your pages!

You can enable protection to prevent accidental edits to the content you've shared with others.

By combining protected Docs with specific permissions, you can ensure company policies and SOPs are safe from unauthorized changes.

When a Page or Doc is protected, you can still add comments to capture feedback and export it!

Docs and wikis

A wiki is a Doc that's prioritized as the source of truth. Unless specified, anything that applies to Docs also applies to wikis.

What you'll need

  • Protecting Docs and pages is only available on our Business Plus and Enterprise Plans.

  • Only people with edit permissions to the Doc can protect or unprotect pages and Docs.

  • Guests can't protect or unprotect pages or Docs.

Protect Docs and pages

You can Protect entire Docs and individual pages. Protection applies at both the Doc and Page level.

  1. Expand the right sidebar or click the Page Details icon.

    • In the right sidebar, scroll down to the Protect section.
    • In the page settings, click Sharing & Permissions.
  2. Click the toggles to open the protect modal.

  3. Add a message to anyone attempting to unprotect the Doc or Page.

  4. Set who can unprotect this Doc by granting members and admins Edit permissions.

    • Pages always inherit permissions from the Doc level and can't be edited.

  5. Click Protect Doc or Protect Page.

  6. Your Doc or Page is now protected!

Unprotect Docs and pages

Unprotect a Doc to make changes. If a Doc has protected pages, they must be unprotected separately.

  1. Expand the right sidebar or click the Page Details icon.

  2. Scroll down to the Protect section.

  3. Click the toggles to open the unprotect modal.

  4. Click Unprotect Doc or Unprotect Page.

  5. Your Doc or Page is now unprotected! Changes can be made by anyone with Edit permissions.

Edit protected Docs or pages

Want to make changes to your Doc? Simply unprotect it and edit away!

  1. Expand the right sidebar or click the Page Details icon.

  2. Scroll down to the Protect section.

  3. Unprotect the Doc or page.

  4. Make your changes.

  5. After making changes you can protect the Doc or page again.

Allow people to protect and unprotect Docs

Want to delegate protecting Docs to other people?

Any Workspace member or admin with edit permissions can protect and unprotect Docs and the pages within them. Pages always inherit permissions from the Doc.

  1. Click the Share button at the top right of a Doc.

  2. Give other people Edit permissions.

  3. Your Doc can now be protected and unprotected by other people!

Protect Doc views

When a Doc is shared with a Location or created as a Doc view, you can protect the Doc and the Doc view!

Protected Docs that are shared with a Location in your Workspace hierarchy are automatically created as protected views.

You'll see the same shield icons as you would for a protected view, and also the shield icon on the Doc itself.

To set a Doc view as protected, simply:

  1. Open a Doc view.

  2. Click the view settings ellipsis.

  3. Click the Protect view toggle to protect or unprotect the view

  4. Add a message to anyone attempting to unprotect the Doc view

  5. Click Protect Layout.

  6. Your Doc and Doc view are now protected!
