Protecting a page or Doc prevents unwanted changes to the content of your pages!
You can enable protection to prevent accidental edits to the content you've shared with others.
By combining protected Docs with specific permissions, you can ensure company policies and SOPs are safe from unauthorized changes.
When a Page or Doc is protected, you can still add comments to capture feedback and export it!
What you'll need
Protecting Docs and pages is only available on our Business Plus and Enterprise Plans.
Only people with edit permissions to the Doc can protect or unprotect pages and Docs.
Guests can't protect or unprotect pages or Docs.
Protect an entire Doc
To protect an entire Doc, including all its subpages:
In the upper-right corner, click the ellipsis ... icon.
- Click the Protect Doc toggle.
- Add an optional note.
- To control who can unprotect the Doc, click Manage Permissions.
- Click Protect Doc.
Protect a page
To protect a page, from the pages sidebar:
- In the left sidebar, hover over a page.
- Click the ellipsis ... icon.
- Click the Protect page toggle.
- Add an optional note.
- To control who can unprotect the page, click Manage Permissions.
- Click Protect page.
To protect a page from the Doc settings menu:
In the upper-right corner, click the ellipsis ... icon.
- Select This page.
- Click the Protect page toggle.
- Add an optional note.
- To control who can unprotect the page, click Manage Permissions.
- Click Protect page.
Edit a protected Doc
If a Doc has protected pages, they must be unprotected separately.
To edit a protected Doc:
In the upper-right corner, click the ellipsis ... icon.
- Click the Protect Doc toggle.
- Click Unprotect Doc.
- Make your changes.
After making changes, you can protect the Doc again.
You can also add a note, manage permissions, and unprotect a Doc by clicking the shield icon above the page title.
Edit a protected page
To edit a protected page:
- In the left sidebar, click on a protected page.
- Click the ellipsis ... icon.
- Click the Protect page toggle.
- Review the warning, then click Unprotect page.
- Make your changes.
After making changes, you can protect the page again.
You can also add a note, manage permissions, and unprotect a page by clicking the shield icon in the left sidebar.
Allow people to protect and unprotect Docs
Want to delegate protecting Docs to other people?
Any Workspace member or admin with edit permissions can protect and unprotect Docs and the pages within them. Pages always inherit permissions from the Doc.
Click the Share button at the top right of a Doc.
Give other people Edit permissions.
Your Doc can now be protected and unprotected by other people.
Protect Doc views
When a Doc is shared with a Location or created as a Doc view, you can protect the Doc and the Doc view!
Protected Docs that are shared with a Location in your Workspace hierarchy are automatically created as protected views.
You'll see the same shield icons as you would for a protected view, and also the shield icon on the Doc itself.
To set a Doc view as protected:
- From the sidebar, next to the Doc, click the ellipses ... menu.
- Select Sharing & Permissions.
- Click the Protect Doc toggle.
