Use Synced Content

Use Synced Content to keep reusable information aligned across your Workspace.

Create an original synced block once in a Doc or task description, then connect copies wherever the same content is needed. When the original changes, the connected copies update automatically.

Synced Content is available on all ClickUp plans.

People can only see Synced Content if they have access to the Doc or task it originates from. If they don't have access to the original, they'll see a request-access prompt instead of the content.

People with Edit permissions to the Doc or task that the Synced Content originates from can edit the content.

Protecting a Doc or page with Synced Content only protects that individual instance of the Synced Content.

Create Synced Content

You can turn any block of text into Synced Content, or insert a new, empty Synced Content block. The first time you create a block this way, it becomes the original. Every copy you connect to it afterward stays linked back to that original.

Using the /Slash command

In a Doc or task description:

  1. Type /Synced Content.
  2. Select Synced Content from the menu.
  3. Type or paste the content you want to reuse.

From a line of text

In a Doc or task description:

  1. Hover to the left of an existing line of text until the drag handle appears.
  2. Click the drag handle and select Synced Content.

Selecting only part of a block turns the entire block into Synced Content. Selecting across multiple blocks turns all of the highlighted blocks into Synced Content.

Synced Content can't be nested inside another Synced Content block. Some block types, such as columns and tables, can't be turned into Synced Content.

Edit synced content

Synced Content blocks are outlined so you can tell them apart from regular text. When you click into one, a small toolbar appears above it that tells you whether you're editing the original or a connected copy.

Any edit you make, in the original or in any copy, updates every other connected instance immediately. This includes copies in other Docs and in task descriptions, so you don't need to track down and update each location by hand.

Sync content to another location

To connect a new copy to an existing Synced Content block:

  1. Click into the Synced Content block.
  2. In the toolbar, click the copy icon. This copies the block's link to your clipboard.
  3. Go to the Doc or task description and paste the link.

The pasted content becomes a new connected copy. From then on, editing it, or the original, keeps every connected instance in sync.

Duplicating a Synced Content block from its menu also creates another connected copy rather than an independent, disconnected block. The duplicate stays synced to the original.

Manage synced content

Click into any Synced Content block and open its ... menu to see where else it's synced and to manage it. Options include:

  • Duplicate: Adds another connected copy of the block.
  • Unsync (on a copy): Immediately disconnects that copy from the sync group, with no confirmation modal. The text stays in place, but it stops updating other copies.
  • Unsync all (on the original): Opens a confirmation modal, then disconnects every copy from the sync group. The text stays in place everywhere, but the blocks stop updating one another.
  • Copy Block Link: Copies the block's URL without opening the sync toolbar shortcut.
  • History: Shows past versions of the content. This option is only available on the original block.
  • Delete: Removes that instance of the block. See Delete Synced Content below for what happens to connected copies.

Delete synced content

What happens when you delete depends on whether you're removing a copy or the original:

  • Delete a copy: The copy is removed immediately.
  • Delete an original with no copies: The block is removed immediately.
  • Delete an original that has copies: ClickUp shows a confirmation modal. By default, the connected copies are converted to normal content and left in place. Select the checkbox in the modal to also remove the content from every other location.

If an original is deleted without unsyncing first, its copies display an Original Synced Content Deleted banner so people know the source is gone.

Comment on synced content

Comments you leave on a Synced Content block are routed to the original host Doc or task, so the conversation stays in one place no matter which copy you comment from. Commenting isn't available on synced blocks that live in a task description.

Editing access and protected Docs

Editing permissions for Synced Content are tied to the original block.

If you have edit access to a copy but not to the original Doc or task, ClickUp will warn you that access to the block may be limited. You may not be able to edit it even though the copy itself lives somewhere you can access.

Protecting a Doc or page only protects the version of the content in that specific Doc or page. It doesn't extend protection to the original block or to other synced copies elsewhere, so make sure to protect every location that needs it.

On mobile, Synced Content is read-only. You can view synced blocks, but you must edit them from the desktop app or web.
