Backlog options in ClickUp

You can manage your team's backlog a few different ways in ClickUp. 

Options include:

  • Create a dedicated backlog List. All your team's work lives in the Backlog List.
  • Use multiple Lists to manage your work.

When you plan and run sprints, you can:

  • Add tasks from your backlog or other Lists to the sprint.
  • Move tasks from your backlog or other Lists into the sprint.
  • Add or move spillover tasks to the next sprint.

Create a backlog List

Create a dedicated backlog List inside your Sprint Folder.

Lists with tasks can live alongside sprints inside a Sprint Folder.

You can create new tasks in the Backlog List, or add them from other Lists.

Add tasks from other Lists to your backlog List

For example, you have a separate List that represents your team's projects. 

The Projects List has Custom Fields used to surface projects for stakeholders in filtered views.

Each project task has subtasks to breakdown the work. You can add each subtask to your Backlog List using Subtasks in Multiple Lists.

You can add tasks and subtasks to your Backlog List manually, or use Automations with the Add to List action.

Use multiple Lists for your backlog

You can always add tasks from other Lists to each sprint.

For example, bugs are created and maintained in a centralized Bugs & Defects List. 

You can add tasks from the Bugs & Defects List directly into each sprint.

As you rollout a new feature, you create a Beta customer feedback List with a Form to capture feedback from beta testers.

As you refine feedback into actionable tasks, you can add those tasks directly into each sprint.

Manage spillover tasks

When a sprint ends, you can add or move unfinished tasks to the next sprint.

Add or move a task to the current sprint

To add or move a task to the current sprint:

  1. From the task, click the Add or Move buttons in the location header.
  2. Select Add to Current Sprint or Move to Current Sprint.

Add a task to the current sprint from a view

To add a task to the current sprint from a view:

  1. Right-click on a task.
  2. Select Add To.
  3. Click Add to Current Sprint.

Move a task to the current sprint from a view

To move a task to the current sprint from a view:

  1. Right-click on a task.
  2. Select Move To.
  3. Click Move to Current Sprint.

Add or move multiple tasks to the current sprint

To add or move multiple tasks to the current sprint, from a view:

  1. Select one or more tasks.
  2. From the Bulk Action Toolbar, select Move/Add.
  3. Move to Current Sprint:The selected tasks are moved to the current sprint.
  4. Add to Current Sprint: The selected tasks remain in their current List and are added to the current sprint.

Add or move a task to a Sprint List using Automations 

To add a task to a Sprint List using Automations:

  1. From the Space, Folder, or List, create an Automation using the Add to Current Sprint Action.
  2. Tasks triggered by the Automation will be added to the current sprint and remain in their original sprints.

To move a task to a Sprint List using Automations:

  1. From the Space, Folder, or List, create an Automation using the Move to List Action.
  2. Uncheck the Move and keep in current List checkbox.
  3. Tasks triggered by the Automation will be added to the sprint and removed from their original sprints.
