Add or move tasks to Sprints

Add or move tasks and subtasks to a Sprint from another Sprint or List easily. You can also use the Bulk Action Toolbar to add or move multiple tasks. 

What you'll need 

  • Sprints are available on every ClickUp plan.
  • Everyone, including guests, can add tasks to Sprints.
    • Guests must have edit or full permissions to the task they are moving.
    • Guests must have full permissions to the Sprint.
  • Guests cannot create Sprints. 
  • To add tasks to Sprints while retaining their original locations, an admin or owner must first enable the Tasks in Multiple Lists ClickApp.

Sprint Lists and Lists

Sprints are Lists inside of Sprint Folders. Tasks and subtasks in a Sprint can be moved between Sprints and Lists like they are moved from List to List. 

Add or move

Following is the difference between adding and moving a task to a Sprint: 

  • Add: The task is put into another Sprint or List and kept in its original Sprint. This task is in multiple Lists
  • Move: The task is put into another Sprint or List and removed from its original Sprint. 

Sprint status

You can see a Sprint's status in the Sprint's location header and the Sidebar next to the Sprint. These statuses are distinct from task statuses and cannot be changed. 

Following are the three Sprint statuses:

  • Not started: The icon is a gray, dashed circle.
    Automatically changes to In Progress on the sprint start date.

  • In progress: The current Sprint. The Sprint has started but hasn't ended. You can click the In Progress button to manually mark Sprint as Done
    The icon is a blue circle that starts partially filled. The icon fills in as the sprint progresses. The rate the icon fills depends on the duration of the sprint. 
  • Ended: Automatically changes to Ended on the sprint end date.
    The icon is a filled green circle. 

Add or move tasks

Adding and moving tasks differs by task status and location.

Location

Tasks in regular Lists and current Sprints: Add and move these tasks the same way you'd add or move any task. 

Status

Tasks in Not Started and Ended Sprints: These statuses also have a menu option allowing you to quickly add them to the current Sprint. 

Access the task

When moving tasks between Sprints, the following are the quickest ways to access the tasks:

You can also move the task from a List, Board, or Calendar view, the Bulk Action Toolbar, the breadcrumbs, or the ellipsis ... menu of an open task. 

Add and move tasks in a List or current Sprint from a view

If the task is in a regular List or current Sprint you'll add it in the following way:

  1. Right-click the task name. 
  2. Click Add to
  3. Select Another List
  4. Search for and select a Sprint or List. 
  5. The task will be added to the List or Sprint and remain in its original location.

If the task is in a regular List or current Sprint you'll move it in the following way:

  1. Right-click the task name. 
  2. Click Move
  3. Search for and select a Sprint or List.
  4. The task will be moved to the List or Sprint and removed from its original location. 

Add and move multiple tasks in a List or current Sprint

If the tasks are in a regular List or current Sprint you'll add them the following way:

  1. In List view, hover to the left of the tasks you want to move and click the selector button.
  2. In the Bulk Action Toolbar, click the Move tasks button.
  3. Select the Add to Lists tab.
  4. Select a Sprint or List. 
  5. The tasks will be added to the current Sprint and remain in their original location.

If the tasks are in a regular List or current Sprint you'll move them the following way:

  1. In List view, hover to the left of the tasks you want to move and click the selector button.
  2. In the Bulk Action Toolbar, click the Move tasks button.
  3. Select the Move Tasks tab.
  4. Select a Sprint or List. 
  5. The tasks will be moved to the current Sprint and removed from their original location.

Add and move tasks in a Not Started or Ended Sprint from a view

If the task is in a Not Started or Ended Sprint you'll add it to the current Sprint in the following way:

  1. Right-click a task or subtask name.
  2. Click Add to.
  3. Select Add to Current Sprint.

  4. The task will be added to the current Sprint and remain in its original location.

If the task is in a Not Started or Ended Sprint you'll move it to the current Sprint in the following way:

  1. Right-click the task name. 
  2. Click Move.
  3. Select Move to Current Sprint.
  4. The task will be moved to the current Sprint and removed from its original location.

Add and move multiple tasks in a Not Started or Ended Sprint

To add or move tasks from Not Started or Ended Sprints using the Bulk Action Toolbar:

  1. In List view, hover to the left of the tasks you want to move and click the selector button.
  2. In the Bulk Action Toolbar, click the Move tasks button.
  3. Select one of the following options:
  • Add to Current Sprint: Click to add the task to the current, In progress Sprint without removing it from this one.  
  • Add to Another List: Click to add the tasks to the Sprint or List you select without removing it from this one.

  • Move to Current Sprint: Click to remove the task from this Sprint and move it to the current, In progress Sprint. This does not automatically remove the task from the original Sprint. 
    • To remove the task from its original Sprint, in the lower-left corner pop-up click Remove from Sprint.

  • Move to Another List: Click to remove the task from this Sprint and move it to the Sprint or List you select. 
    • To move the tasks and keep them in the current List, at the bottom of the Move modal click Move and keep in current List

Add or move a task to a Sprint List using Automations 

To add a task to a Sprint List using Automations:

  1. From the Space, Folder, or List, create an Automation using the Add to Current Sprint Action.
  2. Tasks triggered by the Automation will be added to the current Sprint and remain in their original Sprints.

To move a task to a Sprint List using Automations:

  1. From the Space, Folder, or List, create an Automation using the Move to List Action.
  2. Uncheck the Move and keep in current List checkbox.
  3. Tasks triggered by the Automation will be added to the Sprint and removed from their original Sprints.

Add the Sprints column to List and Table views

Catch all of the tasks that need to be in a Sprint! 

Add the Sprints column to your List and Table views. This is especially helpful for planning and managing your product roadmap.

Using a backlog List with Tasks in Multiple Lists is a great way to see which tasks have been added to Sprints.

To add the column to a List or Table view:

  1. In the upper-right corner of the view, click the plus icon.Screenshot of plus icon used to add the Sprint column to a List or Table view.
  2. In the Create field modal, browse or search for Sprints.
  3. Click the toggle next to Sprints to add the column.

Use the Sprints column

You can manage tasks using the Sprints column in a Sprint List or regular List. For example, you can add tasks from a backlog List to a Sprint List.

Use the Sprints column in a Sprint List

To use the Sprints column in a Sprint List:

  1. Tasks created in a Sprint List are automatically added to that Sprint List. You can also add these tasks to other Sprints.
    • To add the task to another Sprint, in the Sprints column click the + icon.

Use the Sprints column in a regular List

To use the Sprints column in a regular List:

  1. To add a task from a regular List to a Sprint, in the Sprints column click Add to Sprint

  2. From the dropdown, select a Sprint.
  3. The new location displays as a button labeled with the Sprint location.
    • To add the task to another Sprint, click the plus icon.
    • Each subsequent location the Sprint is added to displays as a button with a plus icon and a number. Hover over the button to see the location. You can click the button to go to that Sprint.

Use the Sprints column to remove tasks from a regular or Sprint List

To remove a task:

  • From the Sprints column hover over the button. Click the x
  • To remove a task from additional Sprints, click the button with a plus icon and a number. Then click the x on the Sprint.

  • The Sprint has been removed from that location. 

Use Sprint spillover tasks

Sprint spillover tasks is a related feature that reminds you to move unfinished tasks from your current Sprint to the next!
