Record, send, and transcribe Voice Clips

Use Voice Clips in task comments to record and send audio files to your team in or outside of ClickUp. 

If your Workspace has ClickUp AI, your Voice Clips are automatically transcribed!

What you'll need

  • Voice Clips are available on every plan.
    • If you're on the Free Forever Plan, Voice Clip recordings use storage space.
  • Before using Clip screen recording, an owner or admin must enable the Clips ClickApp for the Workspace.
  • Voice Clips are not available on the desktop app.
  • Guests can create Voice Clips on the mobile app.
  • Voice Clips have a 20-minute limit.
  • Voice Clips are kept in your Workspace forever, unless they are manually deleted.

Record, save, and send Voice Clips

Record yourself and share the recording in a task comment!

To record and send a Voice Clip:

  1. Open the task.
  2. In the lower-right corner, click in the Write a comment field.
  3. Click the microphone icon.
  4. The Voice Clip immediately starts recording.
    • Click pause at any time to pause the recording. Click the microphone icon to resume recording.
    • Click the x at any time to cancel and delete the recording.

      If you refresh the page while recording, the Clip will be deleted.

  5. When you're done speaking, click the checkmark to save the file.

    You can add additional Voice Clips, text, images, or attachments to your comment.

  6. To attach the Voice Clip to the task and send the comment, click Send
  7. After you stop recording, the Clip is saved in your Clips Hub.

Use ClickUp AI to transcribe Voice Clips

If your Workspace has ClickUp AI, Voice Clips are automatically transcribed and displayed below the comment. Transcripts are available after the Voice Clip's comment is sent.
To copy the transcript:
  1. From a sent comment, below the Voice Clip file click View transcript. Or from the file, click Aa.

  2. In the upper-right corner of the transcript, click Copy all. Or to copy a section of the transcription, hover over that section and click the copy icon.

Use ClickUp AI with a Voice Clip

ClickUp AI is available after the Voice Clip's comment is sent.

ClickUp AI can assist you by summarizing the Voice Clip or creating a task or Doc from the transcript. You can also ask AI questions about the content of the Voice Clip!

To use this feature:

  1. In a sent task comment, hover over Voice Clip. 
  2. Click the AI icon.
  3. AI automatically provides a summary. 
  4. After the prompt is generated, you can edit the content using the following options:
    • Create: Create a task or Doc from the content of the Voice Clip. Take a look at our article Create a task or Doc with ClickUp AI for the next steps. 
    • Copy: Copy the content and manually paste it into another location. You can also manually copy any part of the generated text.
    • Retry: Click to generate a different response from the same prompt.
    • Follow ups: Select one of our suggested prompts. 
    • Tell AI what to do next: Reprompt AI by typing a related prompt or giving AI more direction. For example, you could type Do these meeting notes mention any action items for me or my team?

Play, copy, or download a Voice Clip

To play a Voice Clip:

  • On the left side of the Voice Clip file, click the play button.

To skip forward or backward:

  • Click anywhere in the audio wave.

To download or copy the link to a Voice Clip:

  1. To the right of a Voice Clip, click the ellipsis ... icon.
  2. Click Download or Copy link.

If you click the ellipsis... icon on a Voice Clip you've recorded, you'll also see the option to delete the file. 

Delete a Voice Clip

You can only delete Voice Clips you've created.

To delete a Voice Clip without deleting the comment:

  1. Hover over the comment with your Voice Clip.
  2. In the upper-right corner, click Edit.
  3. To the right of the Voice Clip, click the ellipsis ... icon.
  4. Click Delete.

 To delete a Voice Clip from a comment you are drafting:

  1. To the right of the Voice Clip, click the ellipsis ... icon.
  2. Click Delete.
