Set permissions for and share your Docs and pages. Choose who can see your Docs and pages and their permissions.
What you'll need
- Docs and pages are available on all ClickUp plans.
- You can share Docs and pages with:
- Everyone in the Workspace, excluding guests.
- Specific people and Teams, including guests.
- People you invite to your Workspace while sharing a Doc or page.
- Specific tasks or locations.
- Individuals outside your Workspace by inviting them.
- Guests with edit permissions can edit and delete Docs and pages.
- Guests cannot protect or unprotect Docs or pages.
- Docs can be made private on our Business Plan and up.
- Docs created in Docs Hub are private by default on our Business Plan and up.
Docs and wikis
A wiki is a Doc that's prioritized as the source of truth. Unless specified, anything that applies to Docs also applies to wikis.

Open a Doc
You can open a Doc in the following ways:
- From anywhere in ClickUp: Click a Doc anywhere in ClickUp and select Share in the upper-right corner.
- From the Docs Hub: Click the avatar or share icon in the Sharing column.
Share a Doc with your Workspace
On the Free Forever Plan, Docs are public to your entire Workspace.
To do so:
- Open a Doc.
- Click the toggle to the right of your Workspace name.
- Edit individual user permissions by clicking the caret icon to the left of your Workspace name.
Share a Doc with individual users or Teams
To share a Doc with individual users:
- Open a Doc.
- In the Share this Doc modal, you can do either of the following:
- To the right of Private link, click Copy link. Then give the link to anyone.
- Or, in the Invite by name or email field, type a person's name or email. To the right of the person's name edit their permissions by clicking the dropdown. Then click the Share toggle to on.
Docs can only be shared with Teams on the Business Plus Plan and above.
Share a Doc with people outside ClickUp
To share your Doc with people who aren't in your Workspace:
- Open a Doc.
- In the Share this Doc modal, type the person's full email address and press
Enter
.
- Click the Member dropdown to select a different user role.
- Click the Edit dropdown to give them Comment or View only permissions.
- Click Send Invite.
- They will receive an email with a link to join your Workspace.
Share Docs with tasks or locations
Users on the Unlimited Plan and above can share Docs without a home with specific Hierarchy locations. Docs that have a home Hierarchy location can be moved instead.
You can share Docs without a home location from the Share modal or the Docs Hub.
The Share modal
From the Share modal:
- Open a Doc.
- In the upper-right, click Share.
- In the Share With section, click Select task or location and choose from the available options:
- Task: Add the Doc to a specific task as an attachment.
- List, Folder, or Space (as a view): Add the Doc to a List, Folder, or Space as a Doc view.
- Sidebar: Add the Doc to your Workspace's left Sidebar.
- Search for and select a new location.
Docs Hub
From the Docs Hub:
- Find your Doc and hover over the Location column.
- Click + Add Location.
- From the Add Doc to dropdown, choose from the available options:
- Task: Add the Doc to a specific task as an attachment.
- List, Folder, or Space (as a view): Add the Doc to a List, Folder, or Space as a Doc view.
- Sidebar: Add the Doc to the Sidebar.
- Search for and select a new location.
Move Docs to a different location
You can move Docs with a home Hierarchy location.
To move a Doc to a new Hierarchy location:
- Open the Doc.
- In the upper-right, click Share.
- In the Share With section, click the home Hierarchy location of the Doc.
- Choose a new location from the available options:
- Task: Add the Doc to a specific task as an attachment.
- List, Folder, or Space (as a view): Add the Doc to a List, Folder, or Space as a Doc view.
- Sidebar: Add the Doc to your Workspace's left Sidebar.
- Search for and select a new location.
Remove Docs from tasks or locations
You can remove a Doc from its Hierarchy location using the Share modal, the Docs Hub, Doc views, the Sidebar, and tasks.
When you remove a Doc from its Hierarchy location, the Doc can still be accessed from the Docs Hub.
Share modal
To remove a Doc from its Hierarchy location using the Share modal:
- Open a Doc.
- In the upper-right, click Share.
- Under Share With, click the home Hierarchy location of the Doc.
- Click Remove current location.
Docs Hub
To remove a Doc from its Hierarchy location using your Docs Hub:
- In the + column of the Docs Hub table, click the ellipsis... icon.
- Click Move to.
- Choose Remove current location.
Docs view
To remove a Doc from its Hierarchy location using the Doc view:
- Open the Doc view.
- At the top, click the Doc view name.
- Click Move.
- Click Remove current location.
Sidebar
To remove a Doc from its Hierarchy location in the Sidebar:
- In the Sidebar, hover over the Doc.
- Click the ellipsis... icon to the right of your Doc.
- Click Move to.
- Click Remove current location.
Tasks
Remove a Doc attached to a task:
- Open the Doc attached to the task.
- In the upper-right, click Share
- Under Share With, click the home Hierarchy location of the Doc.
- Click Remove current location.
Export a Doc or page
You can export Docs in PDF, HTML, or Markdown format from the right sidebar or Share modal. You can export pages in PDF, HTML, or Markdown format from the right sidebar or Pages sidebar.
Export a Doc or page from the right sidebar
To export a Doc or page from the right sidebar:
- Open a Doc or page.
- In the collapsed or expanded right sidebar, click the Exports & Imports icon.
- Select This Page or All Pages.
- Select your preferred file format and your download will begin.
Export a Doc from the Share modal
To export a Doc from the Share modal:
- Open a Doc.
- In the upper-right, click Share.
- Select Export.
- Select your preferred file format and your download will begin.
Export a page from the Pages sidebar
If your Doc has more than one page, you can export from the Pages sidebar.
- Open the Doc.
- From the Pages sidebar, hover over a page.
- Click the ellipsis ... menu.
- Click Sharing & Permissions.
- Select Export.
- Select your preferred file format and your download will begin.
Share a Doc publicly
You can share your Doc publicly from the Share modal or the Docs Hub.
The Share modal
From the Share modal:
- Open a Doc.
- In the upper-right corner, click Share.
- Click the toggle next to Share link with anyone.
- Click Copy public link.
- Choose from the following advanced settings:
- Expire link: Enterprise Workspaces can set a time for the link to deactivate.
- Share link with search engines: Allow search engines to include the link in search results.
- Public duplication: Allow users to duplicate your shared Doc.
- Autosize embed height: Embedding the Doc takes up the full available width and height.
- Embed code: Embed the Doc in any website by pasting this code.
The Docs Hub
From the Docs Hub:
- Under the Sharing column in the Docs Hub table, click the share icon or avatar.
- Toggle on Share link with anyone.
- Click Copy link.
Share a page
You have similar sharing options for individual pages. To share pages, you must have Edit permissions.
Pages inherit permissions from the Doc they live in.
You can do the following with pages:
- Share pages with individual users using a Private link. This process is identical to sharing Docs with Workspace members using a Private link.
- Share individual pages publicly.
- The process of sharing pages publicly is identical to sharing Docs publicly. When sharing individual pages, however, the only options under Advanced settings are:
- Share link with search engines
- Public duplication
Navigating a publicly shared Doc
Once you open a publicly shared Doc, you'll see a header at the top and a Pages sidebar on the left.
Publicly shared Doc header
Use the Doc header to download your Doc and more.
In the upper-right corner of the header, you can download the Doc or access the ellipsis ... menu.
Pages sidebar
If you have multiple pages in your Doc, you'll see the Pages sidebar on the left.
You can expand the Pages sidebar by clicking Show pages. From the expanded sidebar, you can access individual pages.
To collapse the Pages sidebar, click the collapse icon on the right.
Protect Docs and pages
Users on the Business Plus and Enterprise Plans can prevent unwanted edits by protecting Docs and pages.
Workspace admins and members with Edit permissions can protect and unprotect Docs and pages. Guests cannot protect or unprotect Docs or pages.
