Open AI settings
To open AI settings:
- In the upper-left corner, click your Workspace avatar.
- Select Settings.
- In the All settings sidebar, scroll to the AI section.
You can also click AI Settings in the AI Sidebar.
Under AI, you'll see several pages:
- AI in My Workspace: Turn AI features on or off for everyone in the Workspace.
- AI Models: Choose which AI models the Workspace can use, and which roles can use each one.
- People: Set AI access and monthly AI Credits limits for individual people.
- Roles: Set the AI permissions for each user role.
- Super Agents: See each Super Agent's performance and set its monthly spend cap.
- AI Notetaker: Manage AI Notetaker for the Workspace.
Role-level AI permissions open in Security & Permissions, under Admin in the same sidebar. Roles under AI takes you to the same table.
Turn AI features on or off for the Workspace
To open the Workspace-wide switches, click AI in My Workspace under AI in the All settings sidebar. When AI in My Workspace opens, you'll be viewing one switch for all AI features, with a switch for each feature below it.
Use the following controls on the page:
| Action | How |
| Turn every AI feature on or off for everyone in the Workspace | Click the All AI Features in This Workspace toggle at the top of the page. |
| Turn one feature on or off | Click its toggle at the right end of its row. |
| Turn AI Notetaker on or off | Click the AI Notetaker toggle under Additional AI Settings. |
| Manage AI Notetaker recording, sharing, and retention | Click AI Notetaker settings under Additional AI Settings. Workspace-wide Notetaker settings are on the Admin settings tab. My settings holds your own. |
| Track what your Workspace spends on AI | Click AI Usage in the line under the page title. The Analytics page opens. |
Each feature row describes what its switch controls:
- Custom Skills: Package prompts and workflows into reusable Skills for your Workspace.
- Seedance 2.0: Have Brain generate videos with Seedance 2.0 by ByteDance. Data sent to this model can be kept by its provider.
- ElevenLabs: Generate speech and music with ElevenLabs models. These models don't offer zero data retention, and data sent to them can be kept by their provider and used to train its models.
- Ambient Replies: After you @mention Brain or a Super Agent, they keep replying without another @mention.
Speech and music generation can use ElevenLabs models. These models don't offer zero data retention, so data sent to them can be kept by the provider and used to train its models. To keep them out of your Workspace, turn off the ElevenLabs switch on this page.
Set AI access for a role
The AI Permissions section in custom role permissions sets the default for everyone in a role.
To set what a role can do with AI:
- In the All settings sidebar, click Security & Permissions. Or, under AI, click Roles.
- At the top of the page, click the Role Permissions tab.
- Scroll down to the Custom Role Permissions table, then to its AI Permissions section.
- In the role's column, click the toggle for each permission. The section has four:
- Create Super Agents, under Brain & Super Agents.
- Create Artifacts, Create AI Skills, and Connect MCP Servers, under AI Tools.
Choose which AI models your Workspace can use
To choose which AI models the Workspace can use and which roles can use each one, read Manage AI models in your Workspace.
Set AI access for one person
Models and providers that are off on the AI Models page stay blocked for everyone, whatever you choose here.
To open the per-person table, click People under AI in the All settings sidebar. When the page opens, you'll be viewing the per-person access and spend caps table with one row per person and one column per AI permission.
To show one role, click its name above the table, such as Members. To find one person, type their name in Search people in the upper-right corner of the table.
To set which models a person can use in Brain:
- In the person's row, click the setting in the Brain column.
- Select Role default to follow the role, or select an override:
- All models: Adds the latest premium models, which draw on the shared allowance.
- Standard models: Fast, low-cost models only.
- None: Switches Brain off for this person.
- Selected models: Check the models, then click Apply at the bottom of the list.
Models and providers turned off on the AI Models page stay blocked, whatever you choose here.
Use the other columns of the person's row to take the following actions:
| Action | How |
| Set which models a person can pick for the Super Agents they create | Click the setting in the Can Create Super Agents column and select an option. The options match the Brain menu, except None blocks new agents and keeps the ones they already built running. |
| Turn Artifacts on or off for a person | Click the setting in the Artifacts column and select Role default, On, or Off. On lets them create and edit Artifacts, Live Artifacts included. |
| Let a person run Super Agents | Click the setting in the Can Interact with Super Agents column and select Role default, On, or Off. Off stops them from running agents, and agents they built stay in place. |
| Change any other AI permission for a person | Click its setting in that column and select Role default or an override. |
The other columns set one permission each:
- Create Agent Workflows
- Image, audio, and video generation
- Create AI Skills
- AI in Tasks, Custom Fields, and Automations
- Enable AI Notetaker
- Enable Ambient Answers Agent
- Connect MCP Servers
To change several people at once:
- Check the box next to each person's name. To select everyone shown, check the box in the Member column header.
- In the bar at the bottom of the page, click an action:
- Enable AI
- Disable AI
- Set cap
- Allow creating agents
- Block creating agents
- Allow using agents
- Block using agents
- Reset to role defaults
You can't change your own AI settings.
To show more rows, click See more people at the bottom of the table.
Set a monthly AI Credits limit for a person
A limit resets each month. A limit of 0 AI Credits stops the person from creating Artifacts.
To cap a person's AI Credits:
- In the All settings sidebar, click People under AI.
- Scroll the table to the right to the AI Credits Limit column, and click the person's current limit.
- Select Role default to follow the role, or select an override:
- 0 AI credits
- 50,000 AI credits
- 100,000 AI credits
- 500,000 AI credits
- Unlimited
- For another amount, enter it under Custom amount in whole AI credits per month and click Set.
To change the limit for everyone in the person's role, click the option under Role default that names the role, such as Change the Admins default.
The AI Credits Used and AI Credits Remaining columns show the person's usage for the period. To switch periods, click This month or Last month in the upper-right corner of the page.
Set a monthly budget for a Super Agent
Super Agents without a budget of their own follow the Members default, which has no limit.
To open the Super Agent table, click Super Agents under AI in the All settings sidebar. When Super Agents opens, you'll be viewing the Super Agent Performance table with the following columns:
- Total Runs
- Actions Completed
- Time Saved
- Money Saved ($)
- Cost
- Monthly Spend Cap ($) (Monthly Budget ($) once the budget hotfix ships)
- Creator
To set a Super Agent's budget:
- In the upper-right corner of the table, type the Super Agent's name in Find agent, or click My agents to show only the ones you created.
- Scroll the table to the right to the Monthly Budget ($) column, and click the Super Agent's current budget.
- Select Role default to follow the Members default, or select an override:
- $0
- $50
- $100
- $500
- Unlimited
- For another amount, enter it under Custom amount in $ and click Set.
To change the default for every Super Agent without its own budget, click Change the Members default under Role default. Or, at the top of the page, click the current default in the sentence that names it, such as no limit, and select an amount. The menu shows how many people and agents use the default.
You can also set the budget from the Super Agent's profile. Open the Super Agent, and in the upper-right corner, click Usage. Under Monthly limit, click Set limit, enter a whole-dollar amount, and click Save.
