Manage tasks with the Bulk Action Toolbar

Eliminate repetitive steps by managing your tasks in bulk.

Select multiple tasks and make changes to all of them at once with the Bulk Action Toolbar. For example, you can move batches of tasks into other Lists representing each phase of your project.

Set the same start date, due date, and priority for a handful of tasks with the same importance in your project!

The Bulk Action Toolbar used to be called the Multitask Toolbar.

What you'll need

Bulk actions

You can take the following actions on one or more tasks and subtasks.

  • Set Watchers: Watchers are those who can see notifications and stay aware of everything happening within a task, even if they are not an assignee.

    • To add or remove one watcher from multiple tasks: Select all the tasks. From the Bulk Action Toolbar, click the eye icon, then click the person's or Team's avatar.

  • Set Assignees: Quickly change or add people to be in charge of a task. Need to move multiple tasks to a new member? Check the tasks and take care of them with one click!

  • Set Status: This allows you to push multiple tasks through your workflow. When looking at your progress in List View at the end of the day, check what needs to be moved and quickly push it forward.

  • Set Tags: Apply one or more Tags in bulk. This is the fastest way to add more structure to your task organization.

  • Convert to subtasks: Often multiple associated tasks clutter up our views. Convert these tasks into subtasks and keep your view organized!

  • Move tasks or Add tasks: Move your tasks to a new List, Folder, or Space or use the Tasks in Multiple Lists ClickApp to add a task to another List, Folder, or Space.

    You can move tasks and add them back to their current List using the Bulk Action Toolbar or Automations.

  • Duplicate Tasks: Copy multiple tasks at once and customize exactly what content you copy over.

  • Set Start & Due Dates: Quickly apply a start date and/or due date to a group of tasks. Just click on the date icon in the toolbar, and you'll get a drop-down to select the date of your choice.

  • Set Priority: Find a group of important items and adjust priorities at the same time!

  • Set Milestones: Mark or unmark groups of tasks as Milestones!

  • Remove Tasks: Nothing is more frustrating than trying to clean out your tasks and having to delete them one by one. Check off all those tasks that are unneeded and quickly have them removed from your list.

  • Add Dependencies: Select multiple tasks to indicate that they're blocking or waiting on other tasks.

  • Merge Tasks: Combine similar tasks to declutter your Workspace! Select which tasks you'd like to combine, and then choose the task they should all merge into.

  • Task Linking: Create a link between related tasks by linking them all together or to one main task

  • Set Custom Fields: Quickly assign or remove Custom Fields on multiple tasks at the same time. If viewing on a Folder or Space level, the Custom Field must be available on each List.

    • When bulk editing Label Custom Fields, check the Overwrite existing values checkbox to overwrite current task labels with the new selection.
  • Archive Tasks: Close tasks and clear them from view instantly. You can find them anytime by going to your search bar!

  • Copy selected items directly to your clipboard

  • Access /Slash Commands to perform quick updates on selected items

Send notifications

When making bulk edits, notifications will be sent to anyone watching the task unless turned off. Uncheck the Send notifications box to avoid sending tons of notifications! Once unchecked, ClickUp will remember your preference.

Manage subtasks in bulk

You can select subtasks from List, Board, and Calendar Views where you've expanded tasks or are showing subtasks as expanded or as separate tasks.

You can also open a task and select one or more of its subtasks to reveal the Bulk Action Toolbar.

Some bulk actions won't be available when you select one or more subtasks, or when you select a mix of tasks and subtasks.

You can also use the Bulk Action Toolbar for subtasks within task view.

Select multiple tasks from views

List View

You can select one or more tasks or subtasks and update them all in bulk from any List view.

  1. Create or open a List view.

  2. Hover to the left of a task and click the selector button.

  3. Select the tasks and/or subtasks you want to update.

  4. Click the bulk action option on the Bulk Action Toolbar.

  5. Your tasks and subtasks will be updated right away!

Press Tab to turn all selected tasks into subtasks of the first task in the List. 

Board View

You can select one or more tasks or subtasks and update them all in bulk from any Board view.

  1. Create or open a Board view.

  2. Hover over a task card and click the selector button in the lower-right corner.

  3. Select the tasks and/or subtasks you want to update.

  4. Click the bulk action option on the Bulk Action Toolbar.

  5. Your tasks and subtasks will be updated right away!

You can also select an entire column of tasks in Board view.

  1. Click on the ellipsis ... in the top-right of a column heading.

  2. Click Select All to select all tasks in that column.

  3. Click the bulk action option on the Bulk Action Toolbar.

  4. Your tasks and subtasks will be updated right away!

Calendar View

You can select one or more tasks or subtasks and update them all in bulk from any Calendar view.

  1. Hold Cmd (Mac) or Ctrl (Windows), then click and drag your mouse to select multiple tasks.

  2. Click the bulk action option on the Bulk Action Toolbar.

  3. Your tasks and subtasks will be updated right away!

Table View

You can select one or more tasks or subtasks and update them all in bulk from any Table view.

  1. Hover over the number row field to reveal the task selector.

  2. Select the tasks you want to update.

  3. Click the bulk action option on the Mulittask Toolbar.

  4. Your tasks will be updated right away!

Gantt View

Hover over the tasks you'd like to edit and click the task selector on the left side, then use the Bulk Action Toolbar to make your edits.

If you're simply looking to make bulk edits to the due date, drag-and-drop those tasks to the correct dates on the Gantt view.

Mind Map view

You can select one or more tasks or subtasks and update them all in bulk from any Mind Map view.

  1. Create a Mind Map view in task mode.

  2. Hold command (Mac) or control (Windows), and select one or more task nodes to reveal the Bulk Action Toolbar.

  3. Click the bulk action option on the Bulk Action Toolbar.

  4. Your tasks will be updated right away!
