Organize your Hierarchy for GTD

For GTD, we recommend creating one Folder to hold your various Lists.

We recommend the following Lists or a variation of them to support your work:

ListDescription
Inbox

Your Inbox List is where all of your well-defined individual tasks live.

Start in the Inbox List and capture everything in your head. If a task can be done in less than two minutes, do it immediately!

Project List

Create one List for each of your projects.

If you don't want to use Lists, you can create tasks for projects. Break down these projects using subtasks.

ReferenceCreate tasks in this List for reference materials, like articles you must review, that aren't connected to specific tasks or projects.
Scheduled on Calendar

This List is for tasks and events that need to happen at a certain time.

All tasks in this List should have a start or due date so they are displayed in Calendar view.

Tickler/Someday Maybe

This List is for things that could be done in the future.

There are two types of items that go in this List:

  • Tickler: An item that you want to be reminded of in the future. Set a due date and forget about it, knowing it will be brought back to your attention when necessary.
  • Someday Maybe: A task or project that might be worth pursuing in the future, but you aren't yet sure.

You can create separate Lists for these two item types if you prefer.

Waiting On/DelegatedTasks that have been delegated.
Weekly ReviewThis List holds all items that must be completed for your weekly review.
