Participant experience
Depending on a meeting's Zoom configuration, participants may see one or more of the following:
- A Zoom recording disclaimer pop-up
- A Zoom audio announcement that recording has started
- Zoom's in-meeting recording indicator
- A chat message from the bot indicating that recording has started
When ClickUp AI Notetaker starts recording a Zoom meeting, the participant notification experience is controlled primarily by Zoom settings.
The exact experience can vary based on whether the participant is internal or external, the host or an invitee, or whether or not the Zoom account already has the required permissions connected. If a user already has Zoom connected and the required permissions are available, Zoom may not show an approval-style prompt before recording begins.
Because of this, some participants may see a disclaimer pop-up, while others may only receive an audio announcement or see an in-meeting recording indicator.
Configure Zoom recording notifications
If you're a meeting organizer who wants participants to see a disclaimer when recording starts, you can review or change recording notifications in Zoom:
- Open Zoom and click the settings icon in the lower-left corner.
- Select Recording.
- Available settings will display in the Notifications section.
