Add items to a Whiteboard

After you've added a Whiteboard view, you can get to work adding items with the toolbar. Items can be further customized using the Item menus.

What you'll need

  • Whiteboards are available on every ClickUp Plan.

  • The number of Whiteboards that can be created depends on your plan:

    • Free Forever: 3 Whiteboards.

    • Unlimited: 10 Whiteboards.

    • Business, Business Plus, and Enterprise: Unlimited Whiteboards.

  • Guests can use Whiteboards.

  • If using Google Chrome, we recommend enabling hardware acceleration.

Use the Whiteboard toolbar

Items are the building blocks of Whiteboards. From your Whiteboard, access the toolbar to view the following options.

Select/Move: This button toggles between two modes Select and Move.

  • Select (V): Select is the default mode. This mode allows you to select one or more items on the Whiteboard.

    • While Select mode is enabled, you can use your mouse to scroll around your Whiteboard.

    • To temporarily switch to Move mode, press and hold the Spacebar.

  • Move (M): Click the arrow icon to switch to Move mode. Press to grab then drag to scroll around the Whiteboard.

  • To zoom in or out of the Whiteboard canvas from either mode:
    • Press + or -.
    • Press Cmd for Mac or Ctrl for Windows while scrolling down or up.
    • In the upper-right of the canvas, click the minus or plus icon. You can also see what percentage you are zooming in or out. Use the Fit to screen button to the right in the zoom settings to display all items that have been added to this canvas.

ClickUp Cards (Shift + T): Add a dynamic Task or Doc Card. Embed tasks and Docs directly onto your Whiteboard and edit them without leaving the canvas!

People and Lists Cards are coming soon!

Draw (Shift + D): Draw with three convenient pen sizes and a range of vibrant colors.

Shapes (Shift + S): Add a square, diamond, triangle, circle, or trapezoid shape to your Whiteboard. Shapes automatically scale vertically to the amount of text you type.

Resize shapes by dragging the corners of the item.

Type / for the available /Slash Commands.

Sticky Notes (Shift + N): Add sticky notes in a variety of fun colors. Sticky notes automatically scale vertically to the amount of text you type.

Resize sticky notes by dragging the corners of the item.

Type / for available /Slash Commands.

Text (Ctrl + T): Add a text box. Boxes scale vertically to the amount of text you type.

Resize horizontally by clicking into the text box and dragging out from the square on the right or left.

Pasting text onto your Whiteboard automatically adds a text box!

Connectors (Shift + C): Use to connect any items. Add lines and arrows in a variety of sizes and colors to represent relationships.

Mind Map: Visualize and analyze a central concept with this hierarchical diagram. Collaborate with your team in real time right alongside your tasks.

Templates: Choose from a selection of ready-to-use templates from a blank or in-progress Whiteboard.

Website Cards: Add a dynamic website, item, or app card.

  • Website is the default option. You can also add a Figma, Google Doc, Google Sheet, Google Slide, or YouTube file. Edit Google Docs, Sheets, and Slides live from your Whiteboard! 
  • Upload: Upload a JPG, PNG, or SVG image file.

Embed an existing or new task or subtask

Tasks and subtasks on a Whiteboard are fully editable. They also have the same functionality as the other Whiteboard items, you can duplicate, connect, and draw on them!

To embed an existing task or subtask into a Whiteboard:

  1. From the Whiteboard toolbar, select ClickUp Cards.
    • You can also use the shortcut Shift + T.
  2. Search for a task by name, ID, or URL, or browse recently viewed tasks.

  3. Click to embed the task or subtask into your Whiteboard.

  4. You can open and edit the task from your Whiteboard!

To embed a new task or subtask to a Whiteboard:

  1. From the Whiteboard toolbar, select ClickUp Cards.
    • You can also use the shortcut Shift + T.
  2. From the lower-right of the Item menu, click + Add New.
    • From the dropdown, you have the option to select a different List.
  3. Name the task. You can add an assignee.
  4. Click Create.  
  5. The embedded task opens on your Whiteboard. 
  6. From the task's Item menu, click the Open icon to edit the task from your Whiteboard!

    • If you created the task in a different location, it won't be embedded in your Whiteboard. 

Embed an existing Doc

Docs on a Whiteboard are fully editable. They also have the same functionality as the other Whiteboard items, you can duplicate, connect, and draw on them!

To embed an existing Doc into a Whiteboard:

  1. From the Whiteboard toolbar, select ClickUp Cards.
    • You can also use the shortcut Shift + T.
  2. Search for a Doc by name, or browse recently viewed tasks.

  3. Click to embed the Doc into your Whiteboard.

Copy and paste items

You can use keyboard shortcuts to copy and paste items.

  • For Macs use the shortcut Cmd + C to copy and Cmd + P to paste.

  • For Windows use the shortcut Ctrl + C to copy and Ctrl + V to paste.

Duplicate items

You can use keyboard shortcuts to quickly duplicate items. This creates an evenly-spaced horizontal line of items that's great for flowcharts!

  • For Macs use the shortcut Cmd + D.

  • For Windows use the shortcut Ctrl + D.

You can also use the Whiteboard ellipsis ... menu to duplicate items.

  1. From an open Whiteboard, click into an item.

  2. Click the ellipsis ... to open the menu.

  3. Select Duplicate.
