You can switch existing Custom Fields between location and Custom Fields by task type.
This process can hide the values set on tasks, but your data will not be deleted.

Before you begin
This process can hide the values set on tasks, but your data will not be deleted.
When an existing Custom Field by location is switched to a Custom Field by task type:
- The Custom Field is available everywhere in your Workspace, but only on tasks that use the selected custom task types.
- The Custom Field is hidden on any existing tasks that do not use the selected task types.
- Switching Custom Fields does not delete any values set on tasks.
Before you move a Custom Field by location to a Custom Fields by task type, you'll see a warning letting you know how many tasks will be impacted by the change.
Recommendations
Before switching a Custom Field by location to a Custom Field by task type:
- Review the Spaces, Folders, and Lists where the Custom Field has been added.
We recommend documenting these locations, in case you need to switch back to a location Custom Field later. -
Look at the tasks in each location to confirm how the Custom Field and task types are being used.
If a Custom Field is available on all tasks in your Workspace, use a view at the Everything level.
- Update any existing tasks to use the appropriate custom task type.
- Set the default task type for any Lists.
Switch an existing location Custom Field
To switch an existing Custom Field, you'll need to:
- Access the Custom Field's advanced settings.
- Edit the Field belongs to setting.
- Click Save.
- Review the details, then click Yes, proceed.
Access Custom Field advanced settings
You can edit Custom Fields from a task or from Custom Field Manager.
From a task:
- In the Custom Field section of the task, hover over a location Custom Field.
- Click the pencil icon.
- Click Advanced Settings.
From Custom Field Manager:
- Find and hover over a Custom Field.
- Click Edit.
Switch a Custom Field by location to a Custom Fields by task type
From the Custom Field editor:
- In the Field belongs to section, click Task Type.
- Click Add task type.
- Select one or more task types.
- Click Save.
- Review the details, then click Yes, proceed.
You can repeat these steps later to add the Custom Field to additional task types.
After switching to a Custom Fields by task type
After switching a Custom Field by location to a Custom Fields by task type:
- Use a view at the All tasks level to review your tasks.
- Add a filter to show items based on their custom task type.
- Add the new Custom Fields by task type as a column.
View hidden fields and their original values
You can make fields and their original values appear on tasks by:
- Updating tasks to use the selected task type.
- Add the Custom Fields by task type to additional custom task types.
- Or switch the field back to a location Custom Field.
For example:
- A task in the Accounts Payable List has the Paid? Custom Field set to Not paid.
- The Paid? field is switched from a Custom Field by location to appear on tasks using the Invoice task type.
- The Paid? Custom Field and it's value (Not paid) are hidden on the task.
To make the field and values visible on the task again, you can either:
- Update the task to use the Invoice task type, or
- Switch the Paid? Custom Field back to a location based field on the Accounts Payable List.
