Intro to Custom Fields by task type

Add details to your work based on the type of work you're doing. Custom Fields by task type appear on tasks based on their custom task type.

Tailor your tasks to show the Custom Fields that matter most, without extra clutter of fields that aren't relevant to the work being done.

Accounts, bugs, and campaigns can each have their own set of distinct and relevant Custom Fields, even if the tasks all live in the same List.

Custom Fields by task type is currently available in beta. Pricing and feature availability is subject to change. You can request to join the beta here.

Using Custom Fields by task type

You can use both Custom Fields by task type and Custom Fields by location on tasks.

Custom Fields can be either task type or location based, but not both. You can convert fields between these two types.

Supported Custom Field types

Nearly all of our Custom Field types are supported to be used as Custom Fields by task type.

The following Custom Field types are not supported:

  • Button.
  • Files.
  • Formula Fields.
  • List to List Relationship.
  • Tasks.

Custom Fields on tasks

In the details section of a task, below the task description, two Custom Field tables are displayed:

  • Custom Fields by task type: Custom Fields are available based on the custom task type.
  • Custom Fields by location: Custom Fields are available based on the task's List, Folder, Space, and Workspace.

For example, when a task uses the custom task type of Invoice, the Vendor Custom Field is displayed.

When the task is moved to the Accounts Payable List, the Paid/Not Paid Custom Field is also displayed on the task.

Tasks that aren't using a custom task type will only display Custom Fields by location.

Task type Custom Fields on subtasks

Tasks and subtasks can use different task types. The Custom Fields by task type available on subtasks and parent tasks may vary based on their custom task type.

For example, a parent task called Green Leaf Packaging has Custom Fields by task type from the Vendor custom task type.

The subtasks include Custom Fields by task type from the Invoice custom task type.

Both the parent task and subtasks have the same set of Custom Fields by location because they all belong to the same List.

Set task type Custom Fields

You can set Custom Fields by task type anywhere you can set location Custom Fields, including on tasks, subtasks, and views.

Switch Custom Fields

You can switch individual Custom Fields between task type and location:

View and restore Custom Field values

Once fields are switched over, your tasks may have data stored in Custom Fields which are no longer visible on the tasks.

If that happens, you can always view and restore the hidden Custom Field values. Your data in Custom Fields is not deleted by switching them.
