Manage Custom Fields

Manage Custom Fields to make sure your data is captured and maintained consistently.

What you'll need

  • 100 uses of Custom Fields are available on the Free Forever Plan.

  • Unlimited uses are available on all paid Plans.

  • Required Custom Fields are available on the Business, Business Plus, and Enterprise Plans.

  • Individual Custom Fields can be hidden from all guests.

Require Custom Fields

Requiring Custom Fields helps enforce process and ensure data integrity for your entire Workspace. You won't be able to create new task without filling out all required Custom Fields.

Only Workspace owners and admins can set Custom Fields to be required.

Required Custom Fields must be filled out when creating tasks in all the locations where the Custom Field is used in your Workspace. Required Custom Fields can be optionally enforced for subtasks.

You can require a custom field from a task or the sidebar.

From a task:

  1. Open a task.

  2. Click + Add or edit fields to open the Custom Fields manager.

  3. Click the Required button.

  4. Click Save.

From the Sidebar:

  1. Click the Space, Folder, or List settings ellipsis ... icon.

  2. Select More.

  3. Click Custom Fields.

  4. Click the Required button.

  5. Your changes are automatically saved!

You can also set Custom Fields as required for subtasks by selecting Require this field for all subtasks in the Custom Field editor. 

Enable manual sorting of Custom Fields

Workspace owners and admins can enable the option to sort Custom Fields manually rather than alphabetically.

Although Custom Fields can be enabled for individual Spaces, this setting applies to all Custom Fields in your Workspace.

To set your sorting preference:

  1. Click your Workspace avatar in the lower-left corner.

  2. Select ClickApps.

  3. Browse or search for the Custom Fields ClickApp.

  4. Check the box to sort Custom Fields manually.

Manually order Custom Fields

Once manual sorting has been enabled, you can manually sort Custom Fields on tasks.

Changing the order won't impact Custom Field columns in List and Table views, but it will update the order of Custom Fields shown on Board view and Calendar view.

Pinned Custom Fields will always be displayed, and Custom Fields with data in them will always appear above empty ones.

You can reorder Custom Fields from a task or the Sidebar.

From a task:

  1. Open a task.

  2. Click + Add or edit fields to open the Custom Fields manager.

  3. Click and drag a Custom Field to reorder it.

  4. Click Save.

From the Sidebar:

  1. Click the Space, Folder, or List settings ellipsis ... icon.

  2. Select More.

  3. Click Custom Fields.

  4. Click and drag a Custom Field to reorder it.

  5. Your changes are automatically saved!

Hide Custom Fields from guests

You can choose to show or hide individual Custom Fields from all guests in your Workspace.

  1. You can access the Custom Fields menu from either a task or the Sidebar.

    • From a task: Open a task, scroll down to the Custom Fields section, and click + Add or edit fields.

    • From the Sidebar: Click the Space, Folder, or List ellipsis to open the settings menu, select More, and then Custom Fields.

  2. Hover to the right of a Custom Field.

  3. Click the Guests icon.

  4. Switch the toggle to hide or show the Custom Field for all guests.Image showing the Guests icon beside a Custom Field.

Moving tasks with Custom Fields

When you move your task, a popup appears asking what you'd like to do with the Custom Fields that exist in your task's current List, but that don't exist in the destination List.

Select one of the following options:

  • Select all: All the custom fields will be added to the destination List.

  • Choose: Pick individual Custom Fields to transfer.

  • Do nothing: Move the task without any of the Custom Fields.
