Create, access, and share Whiteboards

Whiteboards are collaborative work areas you can add at the Everything, Space, Folder, or List level as views.

You can add internal and external content, including tasks.

What you'll need

  • Whiteboards are available on every ClickUp plan.
  • The number of Whiteboards that can be created depends on your plan:
    • Free Forever: 3 Whiteboards.
    • Unlimited: 10 Whiteboards.
    • Business, Business Plus, and Enterprise: Unlimited Whiteboards.
  • Guests can use Whiteboards, but cannot create new ones.
  • If using Google Chrome, you must enable hardware acceleration.
  • Whiteboards Hub is only available on ClickUp 3.0.

Create a Whiteboard using ClickUp 2.0

You can create a Whiteboard from the Sidebar or Views Bar.

When creating a Whiteboard from the Sidebar, a new List called Whiteboard will automatically be created. The Whiteboard will be set as the default view.

To create a Whiteboard from the Sidebar:

  1. From the Space, Folder, or List you want to add a Whiteboard to, click the ellipsis ... menu.
  2. Select Create new, then Whiteboard.
  3. The Whiteboard is added as a List view, a List in the Sidebar, and also a Whiteboard view.
    • If you change the name of the List view, the name is also saved to the Sidebar List.

To create a Whiteboard from the Views Bar:

  1. Open the location where you want to add the view.
  2. From the Views Bar, click + View.
  3. Select Whiteboard.
    • Choose Private view to keep your Whiteboard for your own use.
    • Choose Pin view to display it at the beginning of your Views Bar.
  4. Click Add View.

Create a Whiteboard using ClickUp 3.0

You can create a Whiteboard from the toolbar, the Sidebar, the Whiteboards Hub, and the Views Bar.

From the toolbar:

  1. Click New and select the Whiteboard tab.
  2. By default, Whiteboards are added to the Everything level as a view. You can pick a different location using the location drop-down menu.
  3. Give your Whiteboard a name.
  4. Whiteboards are available to everyone in your Workspace. You can make your new Whiteboard private to you by clicking the Private toggle.
  5. Click Create Whiteboard.

From the Sidebar:

  1. From the Space, Folder, or List you want to add a Whiteboard to, click the ellipsis ... menu.
  2. Select Create new, then Whiteboard.
  3. The Whiteboard is added as a List view, a List in the Sidebar, and also a Whiteboard view.
    • If you change the name of the List view, the name is also saved to the Sidebar List.

From the Whiteboards Hub:

  1. In the upper-right corner, click New Whiteboard.
  2. Select a location for the Whiteboard.
  3. Name the Whiteboard.
  4. Make the Whiteboard private by clicking the Private toggle in the lower-left.
  5. In the lower-right of the modal, click Create whiteboard.
  6. You'll be automatically redirected to the new Whiteboard.

From the Views Bar:

  1. Open the location where you want to add the view.
  2. From the Views Bar, click + View.
  3. Select Whiteboard.
    • Choose Private view to keep your Whiteboard for your own use.
    • Choose Pin view to display it at the beginning of your Views Bar.
  4. Click Add View.

Use a Whiteboard template

Once you create a Whiteboard, you have the option to apply a pre-made Whiteboard template to Start from scratch.

You can also create your own Whiteboard template in the Template Center.

Access a Whiteboard using ClickUp 2.0

You can access Whiteboards from the Command Center, Views Bar, or the Sidebar.

To open a Whiteboard from the Command Center:

  1. Use the shortcut Cmd + K to open Command Center.
  2. Select Whiteboards from the top row of options.
  3. All of the Whiteboards in your Workspace will display.
  4. Navigate your search results.
  5. Press Return or click with your mouse to open.

In the Views Bar, hover over the name of a Whiteboard view and click the ellipsis ... Choose one of the following options for storing your Whiteboard to find it easily again in the future:

If you created your Whiteboard from the Sidebar, you can find it there as a List:

  1. From the Sidebar, select the Space where you created the Whiteboard.
  2. To open, click the Whiteboard List.

Access a Whiteboard using ClickUp 3.0

You can access Whiteboards from the Command Center, Views Bar, the Sidebar, or Whiteboards Hub.

To open a Whiteboard from the Command Center:

  1. Use the shortcut Cmd + K to open Command Center.
  2. Select Whiteboards from the top row of options.
  3. All of the Whiteboards in your Workspace will display.
  4. Navigate your search results.
  5. Press Return or click with your mouse to open.

In the Views Bar, hover over the name of a Whiteboard view and click the ellipsis ... Choose one of the following options for storing your Whiteboard to find it easily again in the future:

If you created your Whiteboard from the Sidebar, you can find it there as a List:

  1. From the Sidebar, select the Space where you created the Whiteboard.
  2. To open, click the Whiteboard List.

If you're using ClickUp 3.0, you can access Whiteboards from the Whiteboards Hub:

  1. In the upper-right corner of the Whiteboards Hub, click Search Whiteboards.
  2. Command Center will open with the Whiteboards filter automatically enabled.

Alternatively, use the Search by name... search bar in the upper-right of the Whiteboards Hub table.

Fit to screen

To focus on all of your Whiteboard objects, click the Fit To Screen button in the upper-right.

In the same modal, you can click the minus and plus icons to zoom in and out of the canvas. Or click the Full Screen button to maximize your Whiteboard canvas.

Share Whiteboards and set permissions

You can share a Whiteboard with anyone. They don't even have to have a ClickUp account!

We're working on the full functionality of sharing a Whiteboard view. Currently, public link permissions can be set at View only, but not Comment or Edit.

You can share a Whiteboard that was created in Sidebar or as a Whiteboard view. Sharing a Whiteboard that was created in Sidebar gives you the full options available for List views.

Share a Whiteboard with people who don't have ClickUp accounts

You can access public links from other locations but this is the quickest.

  1. From the upper-right of the Views Bar, click the share icon. 
  2. From the Share this view modal, enable Public link or copy the Private link. 
    • If copying the public link, you can choose from the advanced settings.

  3. Email or message the link.
  4. The person clicks the link and the Whiteboard displays in their web browser.

Share a Whiteboard with people from your Workspace

This is the quickest way to share with a person from your Workspace.

You can also share via private link or create a private view.

  1. From the Views Bar, click the ellipsis ... next to the Whiteboard.
  2. Select Sharing & Permissions
  3. From the Share this view modal, scroll down and click Permissions.
  4. Search for or scroll to find a person or Team.
  5. To give edit or view only permissions, click the dropdown to the right of their avatar.
  6. The Whiteboard is shared with them.
