Share Spaces, Folders, Lists, and tasks

You can take control of what people see in your Workspace when sharing Spaces, Folders, Lists, and tasks. You can also set individual permissions to limit what specific users can see and do.

This article covers sharing Spaces, Folders, List, and tasks, but you can also share Docs, Dashboards, Goals, and views!

What you'll need

  • Spaces, Folders, Lists, and tasks can be shared on all plans.

  • Guests cannot share items.

  • Sharing Spaces with Teams is an Enterprise Plan feature.
  • You can only grant full permissions to Spaces.
  • Guests will not have access to any Spaces, even if they're part of a Team.
  • Folders, Lists, and tasks can be shared with anyone, including Teams.

Spaces can only be made public or private. Folders, Lists, and tasks can be shared with specific permissions.

You can publicly share views of a Folder or List.

Share a Space

You can share a Space with all Workspace members or make it private and choose individual members.

You can only grant full permissions to Spaces. You can set permissions on Folders, Lists, and tasks.

Private Spaces will have a lock icon next to them in your sidebar.

There are two ways to see who has access to a private Space:

  • Click your avatar in the lower-left corner and select Spaces.
  • In the left sidebar, hover over a private Space and click its ellipsis ... menu. Then select Sharing & Permissions.

Share Spaces with Teams

Guests will not have access to any Spaces, even if they're part of a Team. You can only grant guests access to Folders, Lists, or tasks.

You can share public and private Spaces with Teams from the Sidebar.

  1. Hover over a Space and click the ellipsis ... menu.
  2. Select Sharing & Permissions.
  3. Use the invite by name or email field to search for a Team.
  4. Click the Team to give the Workspace members in that Team access to the Space.

Share a Folder or List

To share a Folder or List:

  1. In the left sidebar, click the ellipsis ... next to a Folder or List.

  2. Select Sharing & Permissions.

  3. Under the Share with section, click the caret icon to see who has access and edit their permissions.

    • Click Copy link to share the internal link with those who have permission to view the item.

    • Click Edit all to bulk edit permissions.

  4. Add new users by typing their email address into the search bar at the top or remove users by toggling off the slider to the right of their name.

The Workspace owner and whoever created the item will have their own badges. A warning will appear before you remove access from an item's creator.

Share a task

To share a task:

  1. Open a task.

  2. Click Share.

  3. Under the share with section, click the caret icon to see who has access and edit their permissions.

  4. Add a new user by typing their email address into the search bar at the top. Remove a user by toggling off the slider next to their name.
