Customize Whiteboard items

Items are the building blocks of Whiteboards. Use the Item menus to customize them. Item menus display when you click on an item.

The default colors, shapes, and sizes of Whiteboard items aren't for everyone. Maybe your masterpiece needs to be drawn with a wider pen. Connect your flowchart shapes with purple arrows instead of black?

After you've added items to your Whiteboard, you have some choices to make!

What you'll need

  • Whiteboards are available on every plan.

  • The number of Whiteboards that can be created depends on your plan:

    • Free Forever: 3 Whiteboards.

    • Unlimited: 10 Whiteboards.

    • Business, Business Plus, and Enterprise: Unlimited Whiteboards.

  • Guests can use Whiteboards.

  • If using Google Chrome, we recommend enabling hardware acceleration.

The Item menu differs by item. This article covers each item's menu. 

Ellipsis ... menu

Every Item menu has the ellipsis ... option. 

The ellipsis ... menu has the following options:

  • Copy (Mac Cmd + C, Windows Ctrl + C): Copy an item.

    • To paste an item use Cmd + V for Mac or Ctrl + V for Windows.

  • Duplicate (Mac Cmd + D, Windows Ctrl + D): Duplicate an item. This creates an evenly-spaced horizontal line of items that's great for flowcharts!

  • Bring Forward ( ] ): When several items are selected and grouped, use to layer some items on top of others.

  • Bring to Front (Mac Cmd + ], Windows Ctrl + ] ): Brings an item to the upper layer. For example, if three items on the Whiteboard overlap, the selected item will now exist in front of the other two.

  • Send Backward ( [ ): When several items are selected and grouped, use to layer some items under others.

  • Send to Back (Mac Cmd + [ , Windows Ctrl + [ ): Brings an item to the bottom layer. For example, if three items on the Whiteboard overlap, the selected item will now exist behind the other two.

  • Group (Mac Cmd + G, Windows Ctrl + G): Drag to select two or more items. Click Group to move them around the Whiteboard together until you click Ungroup.

    Currently, Docs can't be grouped or ungrouped.

  • Ungroup (Mac Shift + Cmd + G, Windows Return + Ctrl + G): Click into the group of items. Select Ungroup to move previously grouped items individually again.

  • Delete (Del): Remove an item from the Whiteboard.

    Tasks and Docs are only removed from your Whiteboard. They are not deleted from your Workspace.

ClickUp Cards

ClickUp Cards are items you can embed into your Whiteboard and edit from the canvas. 

We currently support adding Tasks and Docs Cards to your Whiteboard. People and Lists Cards are coming soon!

The Task Card menu has the following options:

  • Open: Open the task fully without leaving your Whiteboard.

  • Ellipsis ... menu: Copy, duplicate, delete, or arrange the card in relation to the other items on your Whiteboard.

After embedding, your entire Doc is visible and editable! The Doc Card menu has the following option:

  • Ellipsis ... menu: Copy, duplicate, delete, or arrange the card in relation to the other items on your Whiteboard.

Draw

Select a line width and ink color from the Whiteboard toolbar. Drawings are composed of layered line strokes. You can go back to the Whiteboard toolbar at any time to change the line width. 

To edit, drawings can be selected as a whole or line by line. 

Select a whole drawing and click the Color dropdown to change the ink color of every line.

Click the ellipsis ... to copy, duplicate, delete, or arrange the drawing in relation to the other items on your Whiteboard.

Shapes, sticky notes, and text

Sticky notes and text boxes have one Item menu that offers rich text formatting. Shapes have two Item menus.

All three items can be converted into tasks!

When you first place a shape onto the canvas, the menu defaults to the rich text Item menu. Then, when you click into an existing shape, you're offered the following menu:

  • Color: Change the shape's fill color.
  • Turn into: Add quick text formatting.
  • Convert: Change the shape into a sticky note or text box.
  • Create Task: Convert the shape into a task.

Click into the shape again to display the above options plus rich text formatting. This is also the default Item menu for sticky notes and text.

Use this menu to do the following:

  • Rich text: Bold, italicize, or underline text. 
  • Font color: Change the font or text highlight color. 
  • Alignment: Align or indent a text block.
  • Bulleted List: Format text into a bulleted or numbered list.
  • Insert a Link: Add a link to the item.
  • Create task: Convert the item into a task.

Convert an item into a task

Currently, task conversion works with tasks, sticky notes, text boxes, and shapes. We're working on more item conversions!

To convert a sticky note, text box, or shape into a task:

  1. Add text to the item then click + Task. The text inside the item becomes the task's title.

    After converting an item to a task, you can't convert that task into any other item.

  2. Select a List. Currently, tasks converted from items can only be created on the List level. Task conversion on the Space and Folder level is coming soon!

    • You can also assign Custom Fields using the Custom Fields button.

  3. Click Convert to task
  4. The task opens on your Whiteboard and is also available in the List you chose. 

Connectors

Connectors are lines and arrows. They're great for flow charts and relating items to each other. 

Click into the connector to display the Item menu.

Use this menu to do the following:

  • Color dropdown: Select from nine colors.

  • Connector style menu: Select from three line weights.

  • Arrow menu: Move the arrowhead to the start or end of the line. Or create a line with no arrowhead. 

  • Connector type dropdown: Select a straight, elbow, or curved line.

  • Ellipsis ... menu: Click to copy, delete, or arrange the connector in relation to the other items on your Whiteboard.

Mind Map

Mind Maps are hierarchical diagrams used to visualize and analyze a central idea. Mind Maps start with a main idea, or node. Nodes representing related concepts branch off from it horizontally and vertically.

The Item menu for the main node of a Mind Map has one more option than the related nodes. 

  1. After adding a main node, click the Connector Type button to choose a connector style. Then, type something into the node.
  2. Click one of the plus buttons to add a connector and a new node.

    To add a new line of text, press Shift + Return.

  3. After adding a related node, you can use the following menu items: 
    • Color: Change all of the nodes' outline colors.
    • Align: Automatically position the nodes.
    • Ellipsis ... menu: Click to copy, delete, or arrange the node in relation to the other items on your Whiteboard.

Templates

Templates are made up of shapes, sticky notes, and connectors.

You can use the Template modal that displays when you create a new Whiteboard.

Or from the toolbar, click the Templates icon and choose a ready-to-use option from the Template Center.

You can add any other item to a template. When creating a template, use the Item menus for all items as you normally would.

Website Cards

Website Cards are dynamic website, item, or app cards. 

  1. Select Website Cards to open the card type menu.
  2. Then, select one of the following options:
  • Task
  • Doc
  • Website
  • Figma
  • Google Docs
  • Google Sheets
  • Google Slides
  • YouTube

When interacting with a website card, a toolbar displays at the bottom of your Whiteboard.

Use the toolbar to quickly create new items or website cards. To keep the toolbar at the bottom of your Whiteboard, hover over it and click the pin icon.CustomizeWhiteboardsWebsiteCardsPreview.png

Once the item is embedded, you can fully edit it from your Whiteboard! A new Item menu opens with the following choices:

  • Embed: Embed is the default. You can also choose to add the link to your Whiteboard as a bookmark or text. Only the embed option is editable from the canvas.
  • Open: Open the item in a new tab.
  • Link: Change the item link.
  • Delete: Delete the item.
  • Ellipsis ... menu: Copy, duplicate, delete, or arrange the item in relation to the other items on your Whiteboard.

Upload

Upload a JPG, PNG, or SVG file onto your Whiteboard.

You can upload up to 1 GB of image files!

Multi-select Item menus

Use these menus to customize your items faster and more efficiently! To make bulk changes to multiple items:

  1. Select the items.
  2. From the Item menu, select an option.

    • Some combinations of items have more styling options than others. 

    • Every combination of items has an ellipsis ... menu. Click the ellipsis ... to delete or arrange items in relation to the other items on your Whiteboard.
